BoldBellowsTally to Discord automation for community and team alerts

Post each Tally response to Discord as one embed people can read at a glance

Raw form data pasted into a channel is noise. BoldBellows compresses each finished Tally response into a webhook embed with a title, severity, a few compact fields and a link back to the source, sends it to the channel your rules choose, and keeps the response ID in the embed footer so a repeat is recognised and skipped rather than posted again.

Chapter 01 the noisy-channel problem

A channel that shows every form answer becomes background noise, and the urgent one scrolls away

Pushing Tally into Discord is easy. Making the result useful is harder. A long block of raw answers gets skimmed, the important field sits on line nine, and a busy day buries the one message that needed a person.

The one message that mattered was the forty-first in a row.

From a moderator's weekly notes

The urgent report was lost

A high-severity report arrived between forty routine ones and was noticed the next morning.

Everything went to one channel

Support, sales and feedback all posted together, so every team muted it.

Private details were exposed

A full answer, including an email and a phone number, was pasted where forty members could read it.

Before

  • Every field of every response is dumped into one channel
  • Nothing shows which message matters most
  • A slow delivery results in the same message twice

After

  • A short embed carries severity, key fields and a source link
  • Rules send each response to the channel that owns it
  • The footer and ledger make a repeat a no-op

Chapter 02 How it works

How a submitted form becomes a message someone can act on

The route decides whether the response is worth a post, writes a compact embed, chooses the channel and records what it sent.

Decide whether it is worth a post

Routine or incomplete responses are filtered out after the logic settles; what remains is judged against your post-worthiness rule, with the reason logged.

Compress and route

A title, severity and a few fields are chosen, sensitive answers are left out, and the channel comes from your rules.

Send once and record it

The embed is sent by webhook, the footer carries the response ID, and the delivery ledger notes the result for any retry.

What we know about Tally and Discord

  • Webhook embeds: Discord webhooks can post embeds with a title, fields, colour and footer, which is the format used here.
  • Footer as a marker: The embed footer is a natural place to keep the response ID, so a human and the route can both read it.
  • Hidden fields in Tally: A hidden campaign or plan value can set the colour and the channel while staying out of the respondent's view.

Chapter 03 What ships in the build

Channel by channel: what the Tally Discord route contains

Foundation decides what earns a post and records the key, Operations composes and places the embed, and Governance checks the ledger and the channels as they change.

Tally post-worthiness reader

Judges whether a response deserves a post at all, and stores the judgement.

Foundation

Delivery ledger

Turns a Tally record into a traceable Discord entry by storing both identities together.

Foundation

Embed composer

Builds a compact embed with channel placement, severity colour, key fields and a source link.

Operations

Tally replay guard

A delivery ledger entry is written ahead of the post, so the second arrival of a webhook finds it and stays silent.

Operations

Missed-post register

Captures any response that should have posted but did not, with the reason, until someone resolves it.

Governance

Webhook-health monitor

Checks for a deleted webhook, renamed channel or changed permission so messages do not stop without notice.

Governance

Send Tally responses to a Discord notification through a Tally Discord integration, raise a Tally Discord alert with a Tally Discord channel message and a Tally Discord webhook, and run a Tally Discord bot automation where one is wanted. A Tally Discord notification setup, Tally submissions Discord automation and a Tally Discord API integration are scoped with your community owner, who can connect Tally to Discord in place of a Tally to Discord Zapier setup.

Chapter 04 Who this fits

For communities and teams that collect input in Tally and talk about it in Discord

If the conversation happens in a channel, the form should start it with something worth answering.

Community manager

"Give me a message I can answer, not a data dump."

Each embed carries the few fields a moderator needs and a link to the full response.

Support lead

"Urgent reports must not be buried."

Severity is set from the answers and colours the embed, so the serious ones stand out.

Server admin

"Keep member details out of public channels."

Sensitive answers are excluded by the written map, and only approved fields are posted.

Operations lead

"One form, several channels."

Routing rules send each response to the channel that owns it.

Chapter 05 The options

Tally to Discord as raw paste, a zap or a composed embed

All three can reach a channel. Only one makes the message worth opening.

Comparison table: Tally to Discord as raw paste, a zap or a composed embed
Question A pasted block of answers A zap that forwards each submission to one place BoldBellows composed embed
What gets posted Every field as typed Every submission Only responses that earn a post
How it reads A long block of text A list of raw fields A title, severity and compact fields

A repeated delivery Posted again Posted again Recognised by the footer and skipped
By handstops to export, copy, paste, fixAutomatedno stops · every 15 minutes

The webhook is deleted or rotated

Governance checks delivery health on a schedule, notices the failure and raises a case before the next responses are silently lost.

The webhook delivered but the answer never arrived

Before anything is resent, the ledger is read for the response ID, the message is marked as delivered and the retry stands down.

Connect Tally to Discord through the delivery ledger and the embed footer first; routing and repeat protection both depend on them.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tally to Discord route.

A focused production route for one Tally environment and one Discord destination, delivering one readable Discord embed per Tally response, routed to the channel that needs it with identity and failure controls from day one.

  • One authorized Tally form and one Discord target
  • Eligibility rule for a Tally response whose conditional path, hidden attribution fields, and calculated answers are fully resolved; this control is tested inside the Tally to Discord acceptance boundary
  • Replay identity: form ID, response ID, and submission timestamp; the Tally to Discord workflow treats this as a destination-specific control
  • Destination output: webhook message or embed with channel placement, severity, compact fields, and source link; this boundary is explicit in the Tally to Discord field map
  • Normal, duplicate, missing-value, and permission tests
  • Written administrator handoff for the Tally Discord route

Adds branching, matching and a bounded historical pass for teams whose route into Discord cannot be one straight-through action, while still delivering one readable Discord embed per Tally response, routed to the channel that needs it.

  • Everything in Discord Foundation
  • Three routing or qualification branches tied to real form answers; in Tally to Discord, this is measured during release testing
  • Response export reconciliation against the retained Tally response ID for the Tally to Discord route
  • One bounded historical-entry pass
  • Owned handling when a webhook URL rotates or an oversized response exceeds message structure limits; the Tally to Discord recovery path preserves this exact decision
  • Mapping-change and field-ownership notes

Adds reconciliation and governance for teams that now depend on one readable Discord embed per Tally response, routed to the channel that needs it, with drift detection and an exception register for Discord.

  • Everything in Discord Operations
  • Scheduled comparison against current Tally state
  • Destination lookup before replaying uncertain requests
  • Volume, timeout, and rate-limit protection
  • Exception summary with named repair ownership
  • Thirty-day launch review and premium PDF handover notes; within Tally to Discord, that rule protects the destination record

Multiple business entities, regulated retention, unsupported third-party extensions, bidirectional synchronization, or destinations beyond this page receive a custom quote with separate acceptance criteria; for Tally to Discord, the condition remains visible to its named owner.

Submission boundary: which option fits your Tally to Discord route?Required

Full eligible lifecycle: Covers the full eligible lifecycle of a Tally response, with a reconciliation pass against Discord.

How should Discord recognise a Tally record it has already handled?Required

Ambiguity quarantine: Holds an ambiguous Discord match for a person instead of letting the route guess.

What should happen when a Discord write can't be confirmed?Required

Open an operator case: Opens a case with an owner and the evidence whenever a Discord result is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Five steps from a form to channel alerts that people read

With Tally to Discord in place, the work is staged so you approve decisions, not details: scope first, then access, mapping, tests and launch.

  1. About 30 minutes

    Choose what deserves a post

Together we decide which responses are worth a message, which channel owns each, and what must never be shown.

  2. Access review

    Approve access

We connect to the Tally data in scope and to Discord, and agree the identifiers the route will store.

  3. Most of the project

    Agree channels, severities and fields

The channels, severity rules, compact fields and anything to keep out of public view are written down and signed off.

  4. Before you review

Test with noisy and urgent cases

Routine responses, urgent ones, repeats, long answers and a revoked webhook are tried in a private test channel.

  5. Handover day

    Launch with notes

Handover closes the project: a live route, a checkpoint to prove it, and documentation to run it.

Chapter 07 Turnaround

Days to delivery, package by package

With Tally to Discord in place, the schedule assumes credentials arrive in the first day or two.

Alert Foundation

3 to 5 business days

Embed Operations

5 to 8 business days

Channel Governance

8 to 11 business days

Chapter 08 Getting started

Items to hand over at kickoff

Consent from your Tally owner to read the agreed records

A webhook or bot permission for each target channel

The severity rules and what counts as urgent

Someone to decide what stays out of public channels

Chapter 09 Trust

Only approved fields are posted, and nothing is installed in Discord

With Tally to Discord in place, no product code is patched and no bulk export is made.

Read-only Tally to Discord access: your data stays yoursA form ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Form ledgerEvery entry, onceREAD-ONLYBehind glass: yours to look at, never to change.

No bots added to your server

Posts use a standard webhook; Tally and Discord are otherwise left exactly as they were.

Scoped, revocable access

Connections are restricted to the objects on the approved list.

A short list of fields

Embeds carry mapped fields only, so emails, phone numbers and uploads stay out of the channel unless you choose them.

Ledger first, then retry

The delivery ledger is checked before any resend, so uncertainty about a post can never produce a second message.

Minimal logging

Only technical identifiers reach the run history.

Full handover

The finished route and its explanation are delivered together.

"A channel works when each message is worth a glance, so the build spends its effort on deciding what to say and where."

Chapter 11 Questions

Tally, Discord and alerts: questions from community owners

The essentials in question-and-answer form, with room for your own in the quote request.

PriceTimeAccessHandover?Every question, answered
Should we just use a Tally to Discord Zapier recipe?

Relaying every submission into one channel needs nothing more than a zap. Shortening the answers into an embed, choosing a channel by rule and ignoring a redelivery need more.

Can one Tally form feed several Discord channels?

Yes. The resolved answers choose the channel, and the same rule sets the severity colour and which fields are shown.

How do you stop the same response posting twice?

The response ID is stamped in the embed footer and held in a delivery ledger, and a match means the route skips the send.

What does the mapping document contain?

A signed-off Tally Discord field mapping service output is required before we write to Discord.

Can the route branch on region, value or stage on the Tally to Discord route?

Yes. Your rules decide what moves, so the route becomes a custom Tally workflow for Discord. A Tally Discord integration consultant's advice comes with it, from $295.

Will I be told if something stops working in the Tally to Discord route?

Dependencies are listed at handover. A breaking change pauses just the part it touches and alerts your owner, and post-review fixes are quoted separately.
