BoldBellowsTally to email automation with delivery receipts

Tally to email automation that chooses the message, the recipient and the reply path from what the form resolved

A confirmation, a team alert and a follow-up to the requester are three different emails, and a form should trigger the right one. BoldBellows reads the finished Tally response, selects the template, recipient and reply behaviour from your rules, sends once, and keeps the outbound Message-ID beside the response ID so a repeated delivery is recognised and no one is emailed twice.

Plate I. A Tally response choosing its template, recipient and receipt.
  • Template from the answers the resolved path picks the acknowledgement, the alert or a follow-up
  • The right inbox recipients and reply-to come from rules, not a single shared address
  • Sent once a receipt key and the stored Message-ID stop a repeat delivery sending again
  • Suppression honoured bounced or opted-out addresses are checked before anything leaves
  • Your budget stays put from $285, and the configurator keeps the running total in view

Chapter 01 the double-send problem

A form notification is easy to send, and easy to send twice, to the wrong person, or not at all

Email looks simple until a form is in front of it. The same submission should thank the requester, alert the owner and sometimes stay silent. A fixed notification sends one thing to one address, and a retry sends it again.

The customer had two receipts and the owner had none.

From a customer service debrief

The customer got two receipts

A delayed delivery was retried, and the same acknowledgement arrived twice, a minute apart.

The alert went to a shared inbox

Everything landed in one mailbox, where an urgent quote request waited behind newsletters.

A bounced address kept being used

A mistyped email failed silently, and the requester never received anything.

  • A retry sends the message a second time

Chapter 02 How it works

How a form response becomes the right email, sent once

The route decides which message applies, checks who may receive it, sends, and stores proof before it considers the job done.

Fig. 3. The stored Message-ID is the proof that a send already happened.

Decide which message applies

Once the form has resolved, its answers select a template and a recipient, and a response that needs no email is logged as such.

Check who may receive it

The suppression list, the recipient address and the reply path are checked, and a blocked address becomes a case instead of a silent failure.

Send once and keep the receipt

The email goes out, the Message-ID is stored beside the response ID, and any retry consults that receipt first.

Platform behaviour the build accounts for

  • Message-ID is unique: Each outbound message has its own identifier, which is what lets a stored receipt prove a send happened.
  • Reply-To is separate: A reply address can differ from the sender, so answers reach the owner rather than an unmonitored address.
  • Tally passes the context: Hidden and calculated fields arrive with the submission, so the template can depend on more than the visible answers.

Chapter 03 What ships in the build

What sends, to whom and when: the Tally email build

Foundation picks the message and claims the key. Operations writes and sends it. Governance compares what was sent with what the form asked for.

Tally message selector

Chooses the template and recipient for each response and stores the choice.

Foundation

Receipt key resolver

Stores the module, record ID and modified time beside the Email reference, so every write traces back to its source, on the Tally to Email route.

Foundation

Recipient-aware composer

Builds a recipient-specific message with a reply path, delivery evidence and suppression state.

Operations

Tally replay guard

A send is recorded against the submission's identity before it leaves, so the repeat arrival is recognised and dropped.

Operations

Unsent-message register

Captures any response that should have triggered an email but did not, and ages it until it is resolved.

Governance

Sender-drift monitor

Notices a changed sender, a retired template or a reply address that has started to bounce.

Governance

Send Tally responses as an email notification, set up a Tally auto reply email and a Tally confirmation email, and keep a Tally notification email and Tally email alert setup for your team. A Tally email automation with a Tally custom email response, a Tally submissions email trigger, auto email from Tally form data and a Tally email API integration can replace a Tally to email Zapier setup, scoped with your operations owner.

Chapter 04 Who this fits

For teams that collect enquiries in Tally and answer them by email

If the right email should follow the right answer, the message has to be chosen rather than fixed.

Customer service lead

"Acknowledge the request once, and tell the right person."

Two templates go out from one response, and a receipt stops either from repeating.

Sales manager

"A hot enquiry must reach someone who can reply."

Recipients and reply-to come from the answers, so the message lands with an owner.

Compliance owner

"Show me what was sent, and why."

Each send records the response, the rule that chose the template and the Message-ID.

Marketing operations

"Do not email anyone who opted out."

Suppression is checked before sending, and a blocked address is logged, not retried.

Chapter 05 The options

Fixed notification, zap or receipted email: Tally to email compared

Each can send something. Only one knows what it sent and to whom.

Comparison table: Fixed notification, zap or receipted email: Tally to email compared
Question A built-in form notification A zap that mails each submission BoldBellows receipted build
Which message Always the same One template Chosen from the resolved answers
Who receives it One fixed address One mapped field Recipient and reply-to by rule
A blocked address Fails unnoticed Fails or retries blindly Recorded and assigned
A repeated delivery Sent again Sent again Stopped by the stored receipt
By handAutomated37 files · 12 errors1 inbox · 0 errors

The respondent corrects their address

A corrected email changes where the message should go; Operations re-checks the receipt and suppression state before any further send.

The message left but the acknowledgement was lost

The stored Message-ID is looked up, the send is confirmed and logged, and nothing further is sent.

Connect Tally to email through the receipt key first; suppression, repeat protection and proof of delivery all hang from it.

Pick a package, answer three short questions about how Tally data should reach Email, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tally to Email route.

A focused production route for one Tally environment and one Email destination, delivering the right email to the right recipient for each resolved Tally response with identity and failure controls from day one.

  • One authorized Tally form and one Email target
  • Eligibility rule for a Tally response whose conditional path, hidden attribution fields, and calculated answers are fully resolved; this control is tested inside the Tally to Email acceptance boundary
  • Replay identity: form ID, response ID, and submission timestamp; the Tally to Email workflow treats this as a destination-specific control
  • Destination output: recipient-specific message, reply path, delivery evidence, and suppression state; this boundary is explicit in the Tally to Email field map
  • Normal, duplicate, missing-value, and permission tests
  • Written administrator handoff for the Tally Email route

Adds branching, matching and a bounded historical pass for teams whose route into Email cannot be one straight-through action, while still delivering the right email to the right recipient for each resolved Tally response.

  • Everything in Email Foundation
  • Three routing or qualification branches tied to real form answers; in Tally to Email, this is measured during release testing
  • Response export reconciliation against the retained Tally response ID for the Tally to Email route
  • One bounded historical-entry pass
  • Owned handling when delivery is uncertain and a blind resend could create a duplicate reply; the Tally to Email recovery path preserves this exact decision
  • Mapping-change and field-ownership notes

Adds reconciliation and governance for teams that now depend on the right email to the right recipient for each resolved Tally response, with drift detection and an exception register for Email.

  • Everything in Email Operations
  • Scheduled comparison against current Tally state
  • Destination lookup before replaying uncertain requests
  • Volume, timeout, and rate-limit protection
  • Exception summary with named repair ownership
  • Thirty-day launch review and premium PDF handover notes; within Tally to Email, that rule protects the destination record

Multiple business entities, regulated retention, unsupported third-party extensions, bidirectional synchronization, or destinations beyond this page receive a custom quote with separate acceptance criteria; for Tally to Email, the condition remains visible to its named owner.

Submission boundary: which option fits your Tally to Email route?Required

Full eligible lifecycle: Covers the full eligible lifecycle of a Tally response, with a reconciliation pass against Email.

How should Email recognise a Tally record it has already handled?Required

Ambiguity quarantine: Holds an ambiguous Email match for a person instead of letting the route guess.

What should happen when an Email write can't be confirmed?Required

Open an operator case: Opens a case with an owner and the evidence whenever an Email result is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Five steps from a notification audit to emails that send themselves

For Tally to Email, you spend an hour or two across the project.

  1. About 30 minutes

    Audit your messages

We go through the emails the form triggers today, who gets each one and which of them should exist at all.

  2. Access review

    Approve access

Access to Tally and Email is set up with limited scope, and the fields that identify each record are chosen.

  3. Most of the project

    Agree templates, recipients and rules

The templates, recipient rules, reply paths and suppression sources are agreed and signed off first.

  4. Before you review

    Test with test recipients

Repeated deliveries, bounces, opted-out addresses, edited answers and missing fields are tried with test recipients.

  5. Handover day

    Launch with notes

After the final test we enable the route and give you notes that name every owner and repair path.

Chapter 09 Trust

Messages carry approved fields, and your mail stays in your hands

Tally keeps its data, Email receives only the approved subset, and we keep nothing beyond identifiers and outcomes.

Nothing added to your mail system

Tally and the sending service are reached through standard interfaces only; no extension is installed in either.

Scoped, revocable access

Least-privilege access is the default, and it is documented.

Only the fields you approve

Templates use mapped answers only; private values and uploads stay out unless you include them.

Receipt before resend

The stored Message-ID is consulted before anything is sent again, so doubt about a send cannot become a second email.

Minimal logging

The audit trail is made of IDs and decisions, not personal data.

Full handover

After handover you can maintain, change or retire the route on your own.

"The value of an automated email is trust, so the build treats a duplicate or a missed send as a fault to be proven away."

Chapter 11 Questions

Tally, email and receipts: questions from the people who send

Short answers to what people ask before they book. Anything else can go in your quote request.

?How long does it take?Asked most often3 to 5 daysSet date, no surprisesAnswers, straight away
What does this add over a Tally to Email Zapier connection?

A fixed message to a fixed address is within reach of the form's own notification or a zap. Picking a template from the answers, checking suppression and keeping a receipt are not.

Can Tally send different emails depending on the answers?

Yes. The resolved path chooses the template, recipient and reply path, and a receipt records each message sent.

How is a double send prevented?

The response ID and the outbound Message-ID are stored together, and a match means the route records the send instead of repeating it.

Can I see the Tally field map first?

We do it for every route. The Tally Email field mapping service gives you a document, not a promise, listing each field that will cross.

Will it handle rules specific to our business in the Tally to Email route?

Yes. Each branch you need is documented, giving a custom Tally workflow for Email. We act as the Tally Email integration consultant on the project, from $285.

What happens after a platform update?

We write down what the route assumes. When an assumption stops being true, the route stops that step and says so, rather than improvising.
