BoldBellowsTally to Microsoft Teams automation with routed cards

Tally to Microsoft Teams automation that sends each response as a card to the chat or channel that owns it

A form answer is only useful in Teams if it reaches the people who can act on it. BoldBellows reads the finished Tally response, builds an Adaptive Card or structured post with an owner and a link back to the source, routes it to the correct chat or channel by your rules, and carries the response ID in the card facts so a repeat updates the existing card instead of posting a second one.

Chapter 01 the lost-in-chat problem

A form answer dropped into Teams is easy to miss and hard to act on

Teams is where teams talk, not where they keep records. A plain message with pasted answers scrolls away, has no owner and sits in whichever channel it was wired to, often the wrong one. Somebody has to read it, decide who it is for and forward it.

Facilities requests were posted in a channel that only finance read.

From a Teams admin's review

It went to the wrong channel

One channel received every form, so facilities requests were read by finance and ignored.

Nobody owned the message

The post named no person, and three people each assumed someone else would reply.

The detail was buried

The important answer was on line nine of a long pasted block.

Before

  • Every response lands in a single channel as plain text
  • No owner and no link back to the source
  • A repeated delivery puts a second message in the channel

After

  • Rules choose the chat or channel from the resolved answers
  • The card names an owner and links to the response
  • The response ID in the facts makes a repeat an update

Chapter 02 How it works

How a submitted form becomes a card in the right room

The route decides where the response belongs, builds a card with an owner, posts it once and records what it did.

Decide the room and the owner

The finished submission decides the room and the responsible person, with both recorded.

Build the card

A title, the few facts that matter and a source link are assembled, and sensitive answers are left out.

Post once and record it

The card is posted through the workflow, the response ID is stored in its facts, and any repeat checks that record first.

Behaviour of Tally and Microsoft Teams we design around

  • Adaptive Cards: Teams supports Adaptive Cards, which allow structured facts and actions rather than plain text.
  • Workflows in Teams: A Teams workflow can post to a chat or channel, which is the delivery route this build uses.
  • Hidden fields in Tally: Site or severity can be hidden from the respondent and still decide where the card goes.

Chapter 03 What ships in the build

Card by card: how the Tally Teams workflow is assembled

Foundation picks the room and keeps the card key, Operations builds and routes the card, and Governance compares cards with the form from month to month.

Foundation

Card identity resolver

Pairs every Tally record with its Microsoft Teams counterpart in a ledger you can read.

Foundation

Adaptive Card builder

Builds a card or structured post with routing, ownership and source evidence.

Operations

Tally replay guard

Identity for the submission is reserved before a card is built, so a repeat delivery refreshes the existing card.

Operations

Undelivered-card register

Captures any response whose card failed to post, with the reason and age, until resolved.

Governance

Channel-drift monitor

Watches for a removed owner, a renamed channel or a revoked workflow permission ahead of the first missed card.

Governance

Turn Tally responses into a Teams notification with a Tally Microsoft Teams integration, raise a Tally Teams alert automation and post a Tally Teams channel message whenever an answer needs action. A Tally Teams automation, Tally Teams workflow, Tally Teams notification setup and Tally submissions Teams webhook can connect Tally to Microsoft Teams through a Tally Microsoft Teams API integration, planned with your Teams admin in place of a Tally to Teams Zapier setup.

Chapter 04 Who this fits

For teams that hear about issues through Tally and coordinate the fix in Microsoft Teams

If the conversation is in Teams, the form should deliver something a person can act on there.

Teams administrator

"If the target changes, tell me."

A renamed channel or departed owner raises a case instead of a silent failure.

Facilities coordinator

"The request must reach my channel, not everyone's."

The resolved location decides the room, so each team sees only its own requests.

Team lead

"Name the person who should pick this up."

Every card carries an owner, which removes the usual wait to see who replies.

Operations manager

"I want one card per request, updated in place."

The response ID keeps later changes on the original card.

Chapter 05 The options

Teams notifications from Tally: paste, zap or routed card

All three reach Teams. Only one reaches the right person with something they can use.

The answers change after posting

A corrected location or priority changes where the request belongs; Operations updates the existing card and notes the move rather than posting a new one.

The card went up but no confirmation came back

The card facts and workflow log are searched for the response ID; on finding the card, the route records its reference and the retry cannot post another.

Connect Tally to Teams through the response ID in the card facts first; routing, updates and repairs depend on it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tally to Microsoft Teams route.

A focused production route for one Tally environment and one Microsoft Teams destination, delivering structured Teams cards routed to the right channel from resolved Tally responses with identity and failure controls from day one.

  • One authorized Tally form and one Microsoft Teams target
  • Eligibility rule for a Tally response whose conditional path, hidden attribution fields, and calculated answers are fully resolved; this control is tested inside the Tally to Microsoft Teams acceptance boundary
  • Replay identity: form ID, response ID, and submission timestamp; the Tally to Microsoft Teams workflow treats this as a destination-specific control
  • Destination output: Adaptive Card or structured channel post with routing, ownership, and source evidence; this boundary is explicit in the Tally to Microsoft Teams field map
  • Normal, duplicate, missing-value, and permission tests
  • Written administrator handoff for the Tally Microsoft Teams route

Adds branching, matching and a bounded historical pass for teams whose route into Microsoft Teams cannot be one straight-through action, while still delivering structured Teams cards routed to the right channel from resolved Tally responses.

  • Everything in Microsoft Teams Foundation
  • Three routing or qualification branches tied to real form answers; in Tally to Microsoft Teams, this is measured during release testing
  • Response export reconciliation against the retained Tally response ID for the Tally to Microsoft Teams route
  • One bounded historical-entry pass
  • Owned handling when the workflow owner, channel, or card schema changes after deployment; the Tally to Microsoft Teams recovery path preserves this exact decision
  • Mapping-change and field-ownership notes

Adds reconciliation and governance for teams that now depend on structured Teams cards routed to the right channel from resolved Tally responses, with drift detection and an exception register for Microsoft Teams.

  • Everything in Microsoft Teams Operations
  • Scheduled comparison against current Tally state
  • Destination lookup before replaying uncertain requests
  • Volume, timeout, and rate-limit protection
  • Exception summary with named repair ownership
  • Thirty-day launch review and premium PDF handover notes; within Tally to Microsoft Teams, that rule protects the destination record

Multiple business entities, regulated retention, unsupported third-party extensions, bidirectional synchronization, or destinations beyond this page receive a custom quote with separate acceptance criteria; for Tally to Microsoft Teams, the condition remains visible to its named owner.

Submission boundary: which option fits your Tally to Microsoft Teams route?Required

Full eligible lifecycle: Covers the full eligible lifecycle of a Tally response, with a reconciliation pass against Microsoft Teams.

How should Microsoft Teams recognise a Tally record it has already handled?Required

Ambiguity quarantine: Holds an ambiguous Microsoft Teams match for a person instead of letting the route guess.

What should happen when a Microsoft Teams write can't be confirmed?Required

Open an operator case: Opens a case with an owner and the evidence whenever a Microsoft Teams result is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Five steps from a channel review to cards that run themselves

For Tally to Microsoft Teams, we front-load the questions so the build can proceed without interruptions, then hand everything over.

  1. About 30 minutes

    Review your channels

We look at the channels and chats involved and decide which form responses belong in which room, with which owner.

  2. Access review

    Approve access

Together we approve what the route may read in Tally and where it may write in Microsoft Teams.

  3. Most of the project

Agree routes, owners and card fields

The channels, routing rules, owner rules and the facts each card shows are written down and signed off.

  4. Before you review

    Test with awkward requests

Edited answers, reassigned owners, renamed channels, bursts and repeat deliveries are tried in a test channel.

  5. Handover day

    Launch with notes

We switch the route on at a checkpoint you approve and leave you with written notes on how it works.

Chapter 07 Turnaround

Timing for the Microsoft Teams build

The clock starts once Tally and Microsoft Teams access are approved.

Card Foundation

4 to 6 business days

Route Operations

6 to 10 business days

Teams Governance

10 to 14 business days

Chapter 08 Getting started

What you supply to begin

Chapter 09 Trust

Nothing modified in either product

Teams and Tally are used through documented interfaces, and apart from the workflow nothing is installed in your tenant.

Scoped, revocable access

Scopes are reviewed with you before launch and again at handover.

Named fields on the card

Cards show mapped facts only; personal details and uploads stay in Tally unless you add them.

Look before posting

The route looks for the existing Tally card before it posts, so a doubtful reply cannot put a second one in the channel.

Minimal logging

Logs hold identifiers, times and error types, not your customer content.

Full handover

Handover includes the rules, the owners and the repair steps in one PDF.

"A message in the wrong channel is the same as no message, so the build puts its effort into choosing the room."

Chapter 11 Questions

Tally, Teams and routing: questions from Teams admins

A handful of honest answers before you spend anything.

?How long does it take?Asked most often4 to 6 daysSet date, no surprisesAnswers, straight away
We tried a Tally to Microsoft Teams Zapier flow; what changes?

A plain text message in one channel is a job for a zap. Routing by the answers, naming an owner on the card and absorbing a repeated delivery are beyond it.

Can Tally responses post to different Teams channels?

Yes. The resolved answers choose the chat or channel, and the same rule names the owner shown on the card.

What if a channel is renamed or removed?

The monitor notices the change, raises a case and holds the affected cards instead of losing them.

Will you map custom fields as well on the Tally to Microsoft Teams route?

Absolutely. Nothing reaches Microsoft Teams until the Tally Microsoft Teams field mapping service has your approval on the page.

Is a tailored workflow possible, or only a standard one on the Tally to Microsoft Teams route?

Yes. Anything you can state as a rule can become part of a custom Tally workflow for Microsoft Teams. That includes Tally Microsoft Teams integration consultant advice, from $395.

What happens if Tally or Microsoft Teams changes something later?

You get a list of the interfaces we rely on. When one shifts, the affected records hold and you are told. Later maintenance is quoted on its own.
