BoldBellowsTally to Salesforce automation that chooses the object first

Tally to Salesforce automation that decides whether a response is a lead, a contact or an opportunity before it writes

One form can produce a lead for a stranger, an update for an existing contact and an opportunity for a large account. BoldBellows takes the finished Tally response, applies a written rule to choose the Salesforce object, and upserts on an external ID field that stores the response ID, linking the account, campaign or opportunity the answers justify, so a repeated delivery changes the record it already made.

Chapter 01 the wrong-object problem

A form is not always a lead, and Salesforce punishes a connector that assumes it is

Salesforce holds more than one place for a person. A new enquirer belongs as a lead, an existing customer as a contact under an account, and a big request may need an opportunity. A connector that always creates a lead floods the queue with duplicates of people you already serve.

An existing customer filled in the form and became a brand-new lead.

From a Salesforce administrator's duplicate report

A customer became a lead

An existing contact submitted the form and was created again as a lead, so two teams owned the same person.

The opportunity had no account

The deal was created without an account link, and pipeline reports by account were wrong.

Attribution was blank

The hidden campaign field never reached Salesforce, so campaign influence showed nothing.

Before

  • Each submission creates a lead whatever the person already is
  • Matching relies on email spelling
  • A timeout ends in a second lead with the same email

After

  • A written rule picks the object and links the account or campaign
  • An External ID field holds the response ID for upsert
  • A retry upserts on the ID and changes nothing new

Chapter 02 How it works

How a resolved Tally response becomes the Salesforce record it should have been

The route decides what the response is, resolves any existing record, and upserts on the external ID so it lands once, correctly related.

Fig. 3. The External ID field ties one record to one submission.

Decide what it is

The finished submission is classed by your object rule as lead, contact, opportunity or no write, and the class is recorded.

Resolve what already exists

Email, the External ID and account rules are searched, so an existing person or account is found before anything is created.

Upsert and relate

The record is upserted on the External ID, account and campaign links are added in order, and the rule used is stored as evidence.

What the platforms dictate

  • Upsert by External ID: Salesforce can upsert a record on an External ID field, which is the anchor that makes a repeat an update.
  • Composite requests: Several related records can be sent together, so related writes are batched and ordered sensibly.
  • Tally hidden fields: Campaign and source values pass through hidden fields and are written to the campaign and lead source fields.

Chapter 03 What ships in the build

Object by object: the pieces of the Tally Salesforce route

Foundation classifies the object and reserves the External ID. Operations upserts and relates the record. Governance reconciles the org against the form over time.

Tally object classifier

Reads the resolved answers and decides lead, contact, opportunity or no write, recording the rule used.

Foundation

External ID resolver

Maintains the link between a Tally record and its Salesforce twin, so updates land in the right place.

Foundation

Relationship upserter

Upserts the record and its links to account, campaign or opportunity with destination-native fields.

Operations

Tally replay guard

A reservation on the submission's identity is taken before the upsert, so a redelivered event finds it and changes nothing new.

Operations

Unresolved-record register

Holds any response that could not be classified or related, with the reason and owner, until cleared.

Governance

Field-and-permission monitor

Notices a removed field, a changed picklist or a lost permission before writes start failing.

Governance

Sync Tally responses to Salesforce with a Tally Salesforce integration and a Tally Salesforce CRM sync, run a Tally Salesforce lead capture and a Tally Salesforce contact create rule, and open a Tally Salesforce opportunity only when the answers justify it. A Tally Salesforce automation, Tally Salesforce workflow, Tally submissions Salesforce mapping and a Tally Salesforce API integration are planned with your Salesforce administrator, as a replacement for a Tally to Salesforce Zapier setup.

Chapter 04 Who this fits

For teams that capture leads in Tally and manage accounts and pipeline in Salesforce

If your CRM has more than one place for a person, the form needs to know which one.

Salesforce administrator

"Do not create duplicates, and respect my object model."

The object rule is written with you, and upsert on an External ID keeps one record per response.

Sales operations lead

"I want the opportunity tied to the right account."

Account links are resolved by rule before the opportunity is written.

Marketing operations

"Campaign attribution has to survive."

Hidden campaign values are written to campaign and source fields on the record.

Revenue leader

"Only real opportunities belong in the forecast."

An opportunity appears only if the answers satisfy the rule you signed off.

Chapter 05 The options

Tally to Salesforce as a lead dump, a zap or an object-aware upsert

Each can create a record. Only one checks what the person already is.

Comparison table: Tally to Salesforce as a lead dump, a zap or an object-aware upsert
Question Copying into the CRM A basic zap from Tally into Salesforce BoldBellows object-aware upsert
Which object Whatever the person picks Always a lead Chosen by a written rule
Existing customers Often duplicated Often duplicated Found first, then updated
Account and campaign links Added by hand Often missing Resolved and linked by rule
A repeated delivery A second record A second record Upsert on the External ID
By handstops to export, copy, paste, fixAutomatedno stops · every 15 minutes

The answers change the object

A corrected company size or a follow-up answer turns a lead into an opportunity; Operations promotes by the rule and keeps the same External ID instead of creating a new record.

A record was saved with no acknowledgement

The External ID query returns the record, its ID is stored, and the retry is an update with nothing created.

Connect Tally to Salesforce through the External ID field first; object choice, upsert and repair all depend on it.

Pick a package, answer three short questions about how Tally data should reach Salesforce, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tally to Salesforce route.

A focused production route for one Tally environment and one Salesforce destination, delivering the correct Salesforce object, upserted once on an external ID, for each resolved Tally response with identity and failure controls from day one.

  • One authorized Tally form and one Salesforce target
  • Eligibility rule for a Tally response whose conditional path, hidden attribution fields, and calculated answers are fully resolved; this control is tested inside the Tally to Salesforce acceptance boundary
  • Replay identity: form ID, response ID, and submission timestamp; the Tally to Salesforce workflow treats this as a destination-specific control
  • Destination output: external-ID upsert with lead, contact, account, campaign, or opportunity relationships; this boundary is explicit in the Tally to Salesforce field map
  • Normal, duplicate, missing-value, and permission tests
  • Written administrator handoff for the Tally Salesforce route

Adds branching, matching and a bounded historical pass for teams whose route into Salesforce cannot be one straight-through action, while still delivering the correct Salesforce object, upserted once on an external ID, for each resolved Tally response.

  • Everything in Salesforce Foundation
  • Three routing or qualification branches tied to real form answers; in Tally to Salesforce, this is measured during release testing
  • Response export reconciliation against the retained Tally response ID for the Tally to Salesforce route
  • One bounded historical-entry pass
  • Owned handling when matching finds an existing Lead and Contact or violates an org validation rule; the Tally to Salesforce recovery path preserves this exact decision
  • Mapping-change and field-ownership notes

Adds reconciliation and governance for teams that now depend on the correct Salesforce object, upserted once on an external ID, for each resolved Tally response, with drift detection and an exception register for Salesforce.

  • Everything in Salesforce Operations
  • Scheduled comparison against current Tally state
  • Destination lookup before replaying uncertain requests
  • Volume, timeout, and rate-limit protection
  • Exception summary with named repair ownership
  • Thirty-day launch review and premium PDF handover notes; within Tally to Salesforce, that rule protects the destination record

Multiple business entities, regulated retention, unsupported third-party extensions, bidirectional synchronization, or destinations beyond this page receive a custom quote with separate acceptance criteria; for Tally to Salesforce, the condition remains visible to its named owner.

Submission boundary: which option fits your Tally to Salesforce route?Required

Full eligible lifecycle: Covers the full eligible lifecycle of a Tally response, with a reconciliation pass against Salesforce.

How should Salesforce recognise a Tally record it has already handled?Required

Ambiguity quarantine: Holds an ambiguous Salesforce match for a person instead of letting the route guess.

What should happen when a Salesforce write can't be confirmed?Required

Open an operator case: Opens a case with an owner and the evidence whenever a Salesforce result is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Five steps from an object map to a form that feeds Salesforce cleanly

You bring the intent and the access; we bring the Tally mapping, the testing and the documentation.

  1. About 30 minutes

    Map your objects

We map the objects your process uses and decide when a response is a lead, a contact, an opportunity or nothing.

  2. Access review

    Approve access

The connections between Tally and Salesforce are made with limited, revocable permissions.

  3. Most of the project

Agree the object rule and fields

The object rule, External ID field, account and campaign links and the fields each object receives are written down and signed off.

  4. Before you review

    Test in a sandbox

Existing customers, new enquirers, large accounts, edited answers and repeat deliveries are run in a Salesforce sandbox.

  5. Handover day

    Launch with notes

Once tests pass, the route goes live from a set checkpoint and the documentation is delivered.

Chapter 07 Turnaround

How many days each package needs

Days are counted from approved access, not from Tally payment.

Object Foundation

6 to 9 business days

Upsert Operations

9 to 14 business days

CRM Governance

14 to 20 business days

Chapter 08 Getting started

What you need to hand us

Read access to the Tally data the route will use

A Salesforce integration user with the permissions to create the External ID field

The rule for when a response is a lead, a contact or an opportunity

One owner for ambiguous identity questions

Chapter 09 Trust

Records carry approved fields only, and Salesforce is unmodified

Think of it as a pipe with two labelled ends: Tally on one side, Salesforce on the other, and nothing kept along the way.

Read-only Tally to Salesforce access: your data stays yoursA form ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Form ledgerEvery entry, onceREAD-ONLYBehind glass: yours to look at, never to change.

No managed package or patch

Apart from the External ID field, nothing is installed in your org; Salesforce and Tally are used through published APIs.

Scoped, revocable access

Each connection has the narrowest permissions that work, recorded in the handover.

A field list you approve

Fields on the map are the only ones written; private answers and attachments remain in Tally unless you add them.

Upsert, never blind create

A retry upserts on the External ID, which means a lost answer never yields another lead or opportunity.

Minimal logging

Diagnostic records are deliberately thin, so there is little to protect.

Full handover

There is no lock-in; the notes explain every setting we chose.

"Salesforce is strict about what a record is, so the build decides that first and writes second."

Chapter 11 Questions

Tally, Salesforce and objects: questions from administrators

Read these first; whatever is left can be asked in your quote request.

PriceTimeAccessHandover?Every question, answered
Can a Tally to Salesforce Zapier integration retry safely?

If every submission may safely be a new lead, a zap will work. It cannot apply your object rule, find an existing contact first or upsert on an External ID when a delivery repeats.

Can Tally create leads, contacts and opportunities in Salesforce?

Yes. A written rule decides the object for each response, and the record is upserted on an External ID with its account or campaign links.

Will an existing customer be created again as a lead?

No. The route searches for the person first and updates the existing contact under the right account.

Is there a written map at handover on the Tally to Salesforce route?

Yes, and it is part of every package: our Tally Salesforce field mapping service assigns each Tally field a destination, a type and a format for your sign-off before the build starts.

Can we combine several triggers?

Yes. The route is built around your logic, so it is a custom Tally workflow for Salesforce with a Tally Salesforce integration consultant's care behind it, from $595.

Will an update to Salesforce break the route on the Tally to Salesforce route?

If the platforms change, the route degrades gracefully: it holds the affected record and flags it. Follow-up support once your review window ends is quoted on its own.
