BoldBellowsTidio Google Sheets integration for teams that report on chats from a spreadsheet

Tidio to Google Sheets automation that keeps a permanent chat log and a live status tab, with visitors, operators and bot activity ready to report

A Google Sheets file holds at most ten million cells across all its tabs, and a chat log that grows with every message and every status change reaches that ceiling sooner than people expect. BoldBellows stamps each event with its conversation ID, the project and the operator who held the chat before a row is written, adds a hidden source-key column to every row so a repeated event can be found and never appended again, then builds the sheet as a ledger. One tab appends each chat event once and never edits it; a second tab shows each conversation's current state; a third rolls up the numbers. That is how teams sync Tidio conversations to Google Sheets and still trust the totals when they export Tidio visitors to a spreadsheet for a monthly review.

Chapter 01 the pasted-export problem

A sheet that is retyped every Monday answers last week's question, not this week's

Someone exports chats from Tidio, pastes them under last week's, fixes the columns and filters out the duplicates they can see. Operators who changed department mid-chat show up twice, bot-resolved chats are counted as live ones, and nobody knows whether the total includes the visitor who left a message after hours. The numbers are close enough to argue about and not good enough to settle anything.

When the log stopped changing under our feet, the Monday meeting went from arguing about totals to deciding what to do.

Chapter 02 How it works

How a Tidio chat becomes a row you can report on

The route judges the change first, then finds the Tidio row by its key and writes only what is missing.

Fig. 3. A chat event is keyed, appended and summarized in a sheet.

Read and judge the change

The Tidio event is verified, its account, resource and time are recorded, and the chat event is tested against your written rule.

Read, key, append

The chat event is read, its source key is checked on the log tab, and a new event is appended only if it is not already there.

Update, protect, archive

The status row for the chat is updated by key, formulas stay on a protected range, and old months are archived before the limit.

What we know about Tidio and Google Sheets

  • Contacts carry properties and tags: A Tidio contact holds properties such as name, email and phone plus tags, so the route writes only the properties you agree and treats a tag as a label, never as a command.
  • Ten million cells: A spreadsheet can hold ten million cells in total across its tabs, so a growing chat log is split by month and archived on a schedule before the file slows down or refuses new rows.
  • Repair path: When a write cannot be confirmed, Google Sheets is searched by a hidden source-key column holding the conversation ID before any second attempt.

Only the Tidio values on the written map are shaped for Google Sheets; everything else stays where it began.

Essentials

Event-to-row builder

Appends each chat event to the log tab and updates the matching row on the status tab, with columns typed the way the sheet expects.

Workflow

Source-key matcher

Uses a hidden source-key column holding the conversation ID to tell create, update, already done and unclear apart.

Workflow

Chapter 04 Who this fits

For support managers using Tidio and anyone who reports on chats, visitors and operators from a sheet that stays correct

Tidio records every chat; a spreadsheet is where most small teams do their weekly counting.

Support lead

"Show me workload by operator."

An operators tab counts chats per person and per department, from the log.

Ecommerce manager

"How many chats did the bot close?"

Bot-resolved and handed-over chats are marked and counted apart.

Finance lead

"Numbers I can reconcile."

The log is append-only, so a total can be checked back to events.

Marketing manager

"Which pages start chats?"

The page a visitor was on is stored with each chat.

Agency owner

"Each client gets a sheet."

Spreadsheets are separated per Tidio project and shared per client.

Founder

"I read the totals on the train."

A summary tab stays readable at a small width.

Chapter 05 The options

Tidio to Google Sheets through a manual chat export, a zap or a two-tab chat ledger

Each can hold chat data. Only one keeps an untouchable log, a live status tab and a key that prevents repeats.

Comparison table: Tidio to Google Sheets through a manual chat export, a zap or a two-tab chat ledger
Question A weekly paste A basic zap Our two-tab ledger
What starts the work Someone notices a change Any configured event fires A qualified chat event passes an explicit admission rule
How identity is decided Staff search names or email A visible field is assumed unique A hidden source key with the Tidio conversation ID, on every row
What reaches Google Sheets Whatever someone copies A flat field bundle An append-only event log, a status tab and reports that read from them
After an uncertain result Two people compare both systems The task retries or stops Looks up, compares, then repairs or assigns
By handstops to export, copy, paste, fixAutomatedno stops · every 15 minutes

An older event arrives after a newer state

The event time is compared with the stored state, so a late Tidio change is logged and cannot overwrite a newer row.

A chat is reassigned to another operator after it closes

A new event is appended to the log with the new owner, the status row is updated, and the earlier owner stays visible in the history. A hidden source-key column holding the conversation ID is searched and the candidate is compared with what was intended, then one of four results is recorded.

Connect Tidio to Google Sheets through a hidden source-key column holding the conversation ID first; every row and every repair check depends on it.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tidio to Google Sheets route.

A focused production route for one Tidio environment and one Google Sheets destination, delivering Tidio conversations, visitors, operators and bot activity written to Google Sheets as a permanent event log plus a current-state tab, keyed on the conversation ID with identity and failure controls from day one.

  • One approved Tidio event family and business-state admission rule within the Tidio to Google Sheets service.
  • One authorized account, workspace, organization, or base boundary within the Tidio to Google Sheets service.
  • One Google Sheets object contract with field and relationship mapping within the Tidio to Google Sheets service.
  • Stable matching through project context plus conversation ID and contact ID and a hidden source-key column and destination row ID
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Tidio to Google Sheets service.
  • Implementation map, test record, and premium PDF operations handover within the Tidio to Google Sheets service.

Adds branching, matching and a bounded historical pass for teams whose route into Google Sheets cannot be one straight-through action, while still delivering Tidio conversations, visitors, operators and bot activity written to Google Sheets as a permanent event log plus a current-state tab, keyed on the conversation ID.

  • Everything in Signal
  • Up to four approved routing or state-transition branches within the Tidio to Google Sheets service.
  • Existing-record resolution and one bounded historical checkpoint within the Tidio to Google Sheets service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Tidio to Google Sheets service.
  • Field, permission, and destination-state validation before mutation within the Tidio to Google Sheets service.

Adds reconciliation and governance for teams that now depend on Tidio conversations, visitors, operators and bot activity written to Google Sheets as a permanent event log plus a current-state tab, keyed on the conversation ID, with drift detection and an exception register for Google Sheets.

  • Everything in Routing
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Tidio to Google Sheets service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For the Tidio to Google Sheets service, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Tidio events should reach Google Sheets?Required

Governed lifecycle set: Use this when several approved Tidio transitions must converge on one Google Sheets row.

How should Google Sheets recognize a Tidio record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Google Sheets guess.

Which Tidio events should reach Google Sheets?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever a Google Sheets write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from a manual export to a sheet that stays right

Six steps, each with a named output, take the route from brief to a monitored launch.

  1. About 30 minutes

    Choose the numbers

We agree which chat events, visitor details and operator fields are logged, and which reports the team needs each week.

  2. Access review

    Approve access

We connect to the Tidio data in scope and to Google Sheets, and agree the identifiers the route will store.

  3. Most of the project

    Agree tabs and protection

Tab layout, column types, protected ranges and the archive rule are written down and signed off.

  4. Before you review

    Test the awkward cases

Repeats, late events, missing values and permission loss are run against a test copy of Google Sheets first, on the Tidio to Google Sheets route.

  5. Handover day

    Launch with notes

Handover closes the project: a live route, a checkpoint to prove it, and documentation to run it.

  6. About 30 minutes

    Watch the first weeks

For the first month we review the checkpoint log with you, look at retries and drift, and fix anything the real data reveals.

Chapter 07 Turnaround

Days to delivery, package by package

On this Tidio to Google Sheets route, the schedule assumes credentials arrive in the first day or two.

Essentials

4 to 7 business days

Workflow

7 to 11 business days

Control

11 to 17 business days

Chapter 08 Getting started

Items to hand over at kickoff

Consent from your Tidio owner to read the agreed records

Edit access to a Google Sheets file, or permission to create one, plus Tidio API credentials

Tidio API access and the events you want the route to use

A written rule for the chat event that counts

A named person who owns exceptions and mapping decisions

Any existing automations in Tidio or Google Sheets that touch the same data

Chapter 09 Trust

Only approved fields travel, and neither product is patched

On this Tidio to Google Sheets route, no product code is patched and no bulk export is made.

Read-only Tidio to Google Sheets access: your data stays yoursA project ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Project ledgerEvery chat, onceREAD-ONLYBehind glass: yours to look at, never to change.

Neither product is modified

Tidio and Google Sheets are reached through their published interfaces; nothing inside either is changed.

Scoped, revocable access

Connections are restricted to the objects on the approved list.

Field minimization

Only allowlisted values reach Google Sheets. Notes, payment details and other Tidio data stay in Tidio.

Repair begins with a lookup

A retry reads Google Sheets by a hidden source-key column holding the conversation ID first, so a doubtful reply never turns into a second row.

Minimal logging

Only technical identifiers reach the run history.

Full handover

The finished route and its explanation are delivered together.

"Reports are only as good as the log underneath them, so the build keeps the log append-only."

Chapter 11 Questions

Tidio, Google Sheets and chat reporting: questions from support teams

The essentials in question-and-answer form, with room for your own in the quote request.

PriceTimeAccessHandover?Every question, answered
Should we just use a Tidio to Google Sheets Zapier recipe?

If you only need every chat pasted into a sheet, a zap will do it. It will not keep a permanent log of chat events apart from a status tab that shows each chat's current state, so reports never overwrite history. Closing those gaps is what this build is for.

How do I connect Tidio to Google Sheets?

The route reads each chat event from Tidio and writes it to your spreadsheet, with a hidden source key so a repeat never adds a row.

Can I export Tidio visitors to a spreadsheet automatically?

Yes. New and updated visitors are written to a contacts tab, matched by their Tidio identifier, so one visitor stays one row.

Why not a plain Tidio to Google Sheets Zapier zap?

A zap appends rows and can append the same chat twice. This ledger finds the existing row by key, protects the log and archives before the file grows too large.

Can I report on operators in the sheet?

Yes. A Tidio operators Google Sheets sync lists chats, handovers and department per person from the log.

What happens when the sheet gets big?

Old months are archived to their own file on a schedule, well before the cell limit, and the totals still add up.

Can someone edit the log by accident?

The log range is protected. Edits happen on report tabs, and the route writes only to ranges it owns.

What does the mapping document contain?

A signed-off Tidio Google Sheets field mapping service output is required before we write to Google Sheets.

Can the route branch on region, value or stage on the Tidio to Google Sheets route?

Yes. Your rules decide what moves, so the route becomes a custom Tidio workflow for Google Sheets. A Tidio Google Sheets integration consultant's advice comes with it, from $415.

Will I be told if something stops working in the Tidio to Google Sheets route?

Dependencies are listed at handover. A breaking change pauses just the part it touches and alerts your owner, and post-review fixes are quoted separately.
