BoldBellowsTidio Klaviyo integration for stores that want chat questions to drive the right emails

Tidio to Klaviyo integration that creates profiles, sends chat events to flows and subscribes people only when your consent rule is met

Klaviyo identifies a profile by an email address, a phone number or an external ID, and subscribing someone to marketing is a separate act from creating the profile. A Tidio chat starts with neither. BoldBellows saves the contact ID and the exact consent wording the visitor saw before a profile is touched, creates or updates the Klaviyo profile by its identifier first so one shopper stays one profile, then builds the Tidio to Klaviyo workflow in three parts: the profile is created or matched, the chat becomes an event such as a product question or an abandoned-cart conversation that flows and segments can use, and a subscribe request is sent only when the visitor agreed in a way your team defines and the route can show.

Chapter 01 the add-everyone problem

Adding every chat visitor to a list is a fast way to lose the list

A visitor asks whether a jacket comes in blue, and a loose connector puts their email into the newsletter. Another asks about a late parcel, and a welcome flow fires. The profile has no record of what the person agreed to, and the only trace of the question that mattered, the product they wanted, never reached the tool that could have followed up on it.

Once chat questions became events, the back-in-stock email finally went to the people who had asked.

A welcome flow after a complaint

The chat was not an event.

Chapter 02 How it works

How a Tidio chat becomes a profile, an event and a consent record

Nothing is written until the change is judged and the profile has been looked for.

How Tidio to Klaviyo automation works: chats in, one clean profile each, on a scheduleChats travel as letters from your Tidio project through a post office, the sync we build, which checks and cancels each one, into the mailbox that is your Klaviyo list.PROJECTLISTYour Tidio projectChats, visitors, flows, operators, handoversThe sync we buildAdds new chats, fixes editedones, double-checks on ascheduleYour Klaviyo listChats, segments, dailytotals, reportsREAD-ONLYACCESSONE PROFILEPER CHATCHECKEDHow Tidio to Klaviyo automation works: chats in, one clean profile each, on a schedule, stacked: project, post office, then mailbox.PROJECTYour TidioprojectChats, visitors, flows, operators, handoversThe sync webuildAdds new chats, fixesedited ones,double-checks on aLISTYour KlaviyolistChats, segments, dailytotals, reportsREAD-ONLYACCESSONE PROFILEPER CHAT

Admit only what counts

Each Tidio event is verified and logged; anything outside the agreed scope is set aside with a reason.

Read, match, record

The contact is read, the Klaviyo profile is found or created by its identifier, and the consent wording and time are stored.

Send, segment, subscribe

The chat is sent as an event, and a subscribe request follows only if your consent rule is met.

Three facts that drive the Klaviyo design

  • Flows are the visual chatbot builder: Tidio Flows are built on a canvas from triggers, conditions and actions, and a single flow may branch many ways, so the build names the flow and the step that produced each event.
  • Profiles need an identifier: Klaviyo needs at least an email address, a phone number or an external ID to hold a profile, and its API is versioned by a revision date in a header, so the build pins a revision and writes only when it has an identifier.
  • Retry rules: Retries are preceded by a check of Klaviyo using the Klaviyo profile ID paired with the Tidio contact ID, so repeating a request cannot repeat its effect.

Chapter 04 Who this fits

Made for ecommerce brands collecting emails through Tidio that then send chat contacts and their questions into Klaviyo as profiles and events, with consent recorded and nothing subscribed by guesswork

Tidio hears what shoppers ask; Klaviyo decides what they hear back, as long as consent travels with them.

Email marketing lead

"Do not subscribe by guesswork."

A subscribe runs only when the consent you define is recorded.

Ecommerce manager

"Use the questions people ask."

A product question becomes an event a flow can react to.

Support lead

"Keep complaints out of promotions."

A support topic holds marketing flows for that profile.

Compliance contact

"Show where consent came from."

Each subscribe carries its source, wording and time.

Agency owner

"Each client has an account."

Accounts on both sides are matched in pairs for every client.

Founder

"Fewer unsubscribes."

Only people who agreed hear from the list.

Chapter 05 The options

How Tidio gets into Klaviyo: a newsletter checkbox in a chat form, a connector, or a consent-aware profile and event route

Each can add a contact. Only one matches the profile, sends the chat as an event and proves the consent.

An old change turns up late

A delayed Tidio event is compared with what Klaviyo already holds and is set aside if it would undo something newer.

A visitor gives a phone number but no email

A profile is created on the phone number as the identifier, the chat event is attached, and no email subscribe is attempted. The Klaviyo profile ID paired with the Tidio contact ID turns the question into a lookup, and the answer is one of four: nothing, right, wrong or unclear. Everything else is an update, a no-op or a case for a person.

Before fields or branches are discussed, the Klaviyo profile ID paired with the Tidio contact ID is fixed, because every later decision reads from it.

Build your Tidio to Klaviyo price

Pick a package, answer three short questions about how Tidio data should reach Klaviyo, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tidio to Klaviyo route.

A focused production route for one Tidio environment and one Klaviyo destination, delivering Tidio contacts written to Klaviyo as profiles with chat events for flows and segments, and subscriptions made only where the consent your team defines is recorded with identity and failure controls from day one.

  • One approved Tidio event family and business-state admission rule within the Tidio to Klaviyo service.
  • One authorized account, workspace, organization, or base boundary within the Tidio to Klaviyo service.
  • One Klaviyo object contract with field and relationship mapping
  • Stable matching through project context plus conversation ID and contact ID and Tidio contact identity paired with Klaviyo profile ID
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Tidio to Klaviyo service.
  • Implementation map, test record, and premium PDF operations handover within the Tidio to Klaviyo service.

Adds branching, matching and a bounded historical pass for teams whose route into Klaviyo cannot be one straight-through action, while still delivering Tidio contacts written to Klaviyo as profiles with chat events for flows and segments, and subscriptions made only where the consent your team defines is recorded.

  • Everything in Core
  • Up to four approved routing or state-transition branches within the Tidio to Klaviyo service.
  • Existing-record resolution and one bounded historical checkpoint within the Tidio to Klaviyo service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Tidio to Klaviyo service.
  • Field, permission, and destination-state validation before mutation within the Tidio to Klaviyo service.

Adds reconciliation and governance for teams that now depend on Tidio contacts written to Klaviyo as profiles with chat events for flows and segments, and subscriptions made only where the consent your team defines is recorded, with drift detection and an exception register for Klaviyo.

  • Everything in Managed
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Tidio to Klaviyo service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

In this Tidio to Klaviyo design, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Tidio events should reach Klaviyo?Required

Governed lifecycle set: Use this when several approved Tidio transitions must converge on one Klaviyo profile.

How should Klaviyo recognize a Tidio record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Klaviyo guess.

Which Tidio events should reach Klaviyo?Required
How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from a chat widget to profiles that behave

Six stages, one owner on your side, and a written output at the end of each.

  1. About 30 minutes

    Choose events and lists

We agree which chats become events, which properties travel and which lists a contact may join.

  2. Access review

    Approve access

We review only the Tidio and Klaviyo surfaces the route needs and settle how records will be recognized.

  3. Most of the project

    Agree consent rules

The wording, the proof the route must see and the lists it unlocks are written down and signed off by your team.

  4. Before you review

    Try to make it fail

Every failure we can think of is tried against a test Klaviyo, and the ones that matter become written repair steps.

  5. Handover day

    Launch with notes

Go-live begins at an agreed checkpoint, and a PDF then explains each rule and safeguard.

  6. About 30 minutes

    Thirty-day look-back

A review at the end of the first month covers volume, exceptions, retries and anything that drifted.

Chapter 08 Getting started

Inputs we need from you

Someone with authority over Tidio to grant read access

A Klaviyo private API key limited to the scopes we agree, and your Tidio API credentials

Tidio credentials we can use for the agreed resources and events

The trigger you want: what must happen in Tidio before anything is sent

A decision on which Tidio values must never reach Klaviyo

Confirmation of which environment is production

Chapter 09 Trust

Your data stays in its place, except what the map allows

Security here means a short permission list, a Tidio field allowlist and logs that hold no customer content.

Read-only Tidio to Klaviyo access: your data stays yoursA sealed envelope marked private and yours to open, with a read-only stamp.PrivateYOURS TO OPENREAD-ONLY

Your tools stay as they are

We work with the supported connection points of Tidio and Klaviyo and leave the products exactly as you run them today.

Scoped, revocable access

The route asks for read rights where it only needs to read.

Less data, less exposure

Each field sent to Klaviyo has a stated purpose. Sensitive values are excluded or masked before anything is written.

Look, compare, then act

An unclear write is settled by finding the profile and comparing it with the intended values, not by sending again.

Minimal logging

Diagnostics record status codes and checkpoints, nothing sensitive.

Full handover

At the end you receive the full documentation and can run the route without us.

"A list is a promise to the people on it, so the build writes down who agreed before it adds anyone."

Chapter 11 Questions

Tidio, Klaviyo and chat contacts: questions from email and ecommerce teams

If you are weighing this up, these are the points that usually matter.

Do I need to be there? No. You send one short brief. Then you review a finished result.Search any question
Could a Tidio to Klaviyo Zapier template do the same job?

A simple connector can give you every chat visitor on a mailing list. It will not create the profile, send the chat as an event for flows and segments and subscribe someone only when your consent rule is met and recorded. These are the parts the build adds.

How do I sync Tidio with Klaviyo?

The route creates or matches a profile for each contact and sends the chat as an event with properties your flows can use.

Will every chat visitor be subscribed?

No. A subscribe request is sent only when the consent your team defines is present and recorded.

Do we need a Tidio to Klaviyo API integration, or will a Zapier alternative do?

A Zapier alternative can pass fields along. Matching, consent records and revision handling are what this route adds.

What does a chat event contain?

The topic, the product mentioned, the outcome and a link back to the chat, as properties that flows and segments can filter on.

What if the visitor has only a phone number?

The profile is created with that identifier, and email-based actions wait until an address exists.

Can Klaviyo changes edit Tidio?

No. Klaviyo only receives data, so editing a profile there leaves every Tidio chat and contact as it was.

How do you handle fields that do not fit on the Tidio to Klaviyo route?

It is built into the price. The Tidio Klaviyo field mapping service covers every field that crosses, and anything not listed stays in Tidio.

Do you build conditional logic?

Yes. From simple filters to layered branches, a custom Tidio workflow for Klaviyo is what you receive. We double as your Tidio Klaviyo integration consultant, from $540.

Who is responsible for maintenance?

Each external dependency is recorded. If one changes, the route refuses to guess and flags the record. Repair after the review period is a new, priced task.
