BoldBellowsTidio Trello integration for teams that run follow-up from a board

Tidio to Trello automation that creates one follow-up card per chat, in the right list with an owner and due date, and updates it as the chat changes

A Trello card has a list, members, labels and a due date, but nothing in Tidio knows about any of them, and Trello's API allows about one hundred requests every ten seconds per token. BoldBellows notes the conversation and the board it should land on before a card is drafted, stores a source fingerprint on the card so a repeated event updates the card instead of adding a second, then builds the Tidio Trello task creation around the follow-ups your team actually owes: a refund to review, a quote to send, a booking request to schedule. The card is put in the list that matches the topic, assigned to the member who owns it, given a due date by your rule, and updated when the chat is closed.

Chapter 01 the forgotten-follow-up problem

A promise made in chat needs a card to survive the afternoon

An operator tells a visitor the quote will arrive tomorrow and closes the chat. Whether it arrives depends on a sticky note, a memory or a message to a colleague. A board is where the team already tracks work, but every follow-up has to be typed there by hand, usually at the end of a long shift. The tool that heard the promise and the tool that tracks work never talk.

The first Friday with no 'did anyone send that quote?' message, I knew the board was working.

Chapter 02 How it works

How a Tidio chat becomes a card that someone owns

A Tidio event becomes a card in three stages, each with its own evidence.

Fig. 3. A chat is judged, keyed and turned into a card.

Judge before acting

Before anything is prepared for Trello, the Tidio chat event is checked against the agreed admission rule.

Read, decide, key

A follow-up rule is applied to the chat, and the fingerprint is compared with the cards that already exist.

Create, assign, update

The card is created in the right list with its member, labels, checklist and due date, and updated when the chat changes.

Constraints from Tidio and Trello

  • Triggers start on visitor behavior: A flow can start when a visitor opens a page, stays a while or clicks a button, so many chats begin with no message from the visitor, and the route must tell a trigger from a real question.
  • Rate limits per key and token: Trello allows about three hundred requests per ten seconds for an API key and about one hundred per ten seconds for a token, so a rush of follow-ups after a campaign is queued instead of sent at once.
  • Replay safety: Because a source fingerprint stored on the card is stored with each record, replaying an event leaves Trello unchanged if the work exists.

Chapter 03 What ships in the build

Event triage

Looks at each Tidio chat event and chooses between act, wait and discard, with notes.

Basic

Stable identity ledger

Gives each Tidio record a stable identity inside Trello that survives edits and retries.

Basic

Approved-fields list

Keeps one reviewed list of Tidio fields that may reach Trello and refuses additions without sign-off.

Basic

Card builder

Creates the card with a title, a summary, labels, a checklist and a link to the Tidio chat.

Branch

Fingerprint matcher

Finds the existing card through a source fingerprint stored on the card, or proves there is none.

Branch

List and due-date matrix

Chooses the list, member and due date from the topic and priority of the chat.

Branch

Board register

Tracks mismatches between Tidio and Trello until someone closes them.

Guardian

Board drift monitor

Notices a renamed list or removed member before cards start landing in the wrong place.

Guardian

Operations board

Gives the team one place to see blocked work between Tidio and Trello.

Chapter 04 Who this fits

Aimed at small service businesses on Tidio that want to turn chats that need follow-up into cards with a list, a member and a due date, and keep the card moving

Tidio hears the promise; Trello is where the team makes sure it is kept.

Operations lead

"No promise left behind."

Every follow-up becomes a card with an owner.

Operator

"Do not make me retype."

The card is created from the chat, with a link back.

Project coordinator

"Keep the board clean."

Cards close or move when the chat does.

Shop manager

"See what is owed today."

Due dates follow the rule your team agreed.

Agency owner

A client keeps boards of its own, matched to one project.

Founder

"One board I can check."

Open follow-ups from every chat sit in one place.

Chapter 05 The options

What a to-do someone remembers to write down, a zap and a follow-up card route with an owner and a due date each do for Trello

Each can add a card. Only one adds a single card per follow-up, in the right list, with an owner and a date.

Comparison table: What a to-do someone remembers to write down, a zap and a follow-up card route with an owner and a due date each do for Trello
Question A sticky note A basic card zap Our follow-up card route
What starts the work An admin on a busy day Anything the trigger matches Only changes on your in-scope list
How identity is decided Checked against old notes A lookup that may return several A conversation fingerprint stored on the card and checked before each create
What reaches Trello A handwritten note turned digital The default field set One card per follow-up with list, member, due date and a link back
After an uncertain result An email thread to sort it out Fails quietly Uses a source fingerprint stored on the card to settle what already exists
By handAutomated37 files · 12 errors1 board · 0 errors

A slow event catches up

A late Tidio notice is compared with the stored checkpoint; anything older than the current card is closed with a note.

A visitor asks for a quote and then cancels the request in the same chat

The existing card is moved to the cancelled list with a note, and no second card is created. It searches Trello on a source fingerprint stored on the card, weighs what it finds against the plan and logs the verdict. Only when nothing is found does the route make a new Tidio card.

A source fingerprint stored on the card links each Tidio record to its Trello card for the life of the route.

Pick a package, answer three short questions about how Tidio data should reach Trello, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Tidio to Trello route.

A focused production route for one Tidio environment and one Trello destination, delivering Tidio conversations that need follow-up created as Trello cards with the right list, member, labels, due date and checklist, one card per chat, updated as the chat moves on with identity and failure controls from day one.

  • One approved Tidio event family and business-state admission rule within the Tidio to Trello service.
  • One authorized account, workspace, organization, or base boundary within the Tidio to Trello service.
  • One Trello object contract with field and relationship mapping within the Tidio to Trello service.
  • Stable matching through project context plus conversation ID and contact ID and a source fingerprint stored in a card custom field
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Tidio to Trello service.
  • Implementation map, test record, and premium PDF operations handover within the Tidio to Trello service.

Adds branching, matching and a bounded historical pass for teams whose route into Trello cannot be one straight-through action, while still delivering Tidio conversations that need follow-up created as Trello cards with the right list, member, labels, due date and checklist, one card per chat, updated as the chat moves on.

  • Everything in Signal
  • Up to four approved routing or state-transition branches within the Tidio to Trello service.
  • Existing-record resolution and one bounded historical checkpoint within the Tidio to Trello service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Tidio to Trello service.
  • Field, permission, and destination-state validation before mutation within the Tidio to Trello service.

Adds reconciliation and governance for teams that now depend on Tidio conversations that need follow-up created as Trello cards with the right list, member, labels, due date and checklist, one card per chat, updated as the chat moves on, with drift detection and an exception register for Trello.

  • Everything in Routing
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Tidio to Trello service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For Tidio to Trello, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Governed lifecycle set: Use this when several approved Tidio transitions must converge on one Trello card.

How should Trello recognize a Tidio record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Trello guess.

Which Tidio events should reach Trello?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever a Trello write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Six steps from a promise in chat to a card on the board

Six steps, named outputs, and a review after go-live.

  1. About 30 minutes

    Choose the follow-ups

We agree which chat outcomes need a card, which board and list each belongs to and who owns it.

  2. Access review

    Approve access

We inspect the Tidio objects and the Trello target, then fix the identifiers that connect them.

  3. Most of the project

    Agree lists and timing

List mapping, labels, checklist items and due-date rules are written down and signed off.

  4. Before you review

    Try the awkward records

Unusual, incomplete and repeated records are run through a test Trello so the route's answers are known, for this Tidio to Trello route.

  5. Handover day

    Launch with notes

Release is timed to a checkpoint, and the administrator PDF explains what to watch and whom to ask, in the Tidio to Trello route.

  6. About 30 minutes

    First-month watch

On this Tidio to Trello route, the opening weeks are monitored for retries, delays and mismatches, and the results are summarized for you.

Chapter 07 Turnaround

Time to launch, by package

Delivery windows start when the connections are in place, in the Tidio to Trello route.

Basic

4 to 7 business days

Branch

7 to 11 business days

Guardian

11 to 17 business days

Chapter 08 Getting started

To start the Trello build, have these ready

Permission for us to read the relevant Tidio records

A Trello account with an API key and a token for the boards in scope; the Tidio credentials come from you

The Tidio events and object types you want included

Which chat events are urgent and which can wait

The current owner of each Trello area the route will write to

Notes on any past problems between Tidio and Trello

Chapter 09 Trust

Access you can revoke, data you can name

For Tidio to Trello, the connection has a short list of permissions, all written down, all revocable, and none that reach beyond this route.

Read-only Tidio to Trello access: your data stays yoursA visitor table with the email custom field blacked out and a read-only stamp, with a seal noting emails are hidden except from named people.VISITORSNAMEEMAILHANDLEDMaya Chen9Omar Hale14Lena Brooks5Sam Ortiz21Priya Nair7READ-ONLYHidden from everyoneexcept named people

Clean separation

Tidio keeps doing what it does and Trello keeps doing what it does; the connection between them is the only new thing.

Scoped, revocable access

Access is scoped to what the Tidio field map needs and no further.

Allowlist, not blocklist

New fields in Tidio do not flow into Trello until someone adds them to the map on purpose.

Idempotent by design

The same event processed twice gives the same result in Trello, because a source fingerprint stored on the card decides create or update.

Minimal logging

On this Tidio to Trello route, what we log is enough to repair a problem and no more.

Full handover

For Tidio to Trello, the route is yours from day one, and the documentation proves it.

"A promise is only kept when someone owns it, so the build gives every promise a card and a name."

Chapter 11 Questions

Tidio, Trello and chat follow-up: questions from operations teams

Common questions from teams in your position, answered directly, in the Tidio to Trello route.

?How long does it take?Asked most often4 to 7 daysSet date, no surprisesAnswers, straight away
Does a Tidio to Trello Zapier route prevent duplicates?

A card for every chat is something a zap does well. It does not create one card per chat that needs follow-up, put it in the right list with the right member and due date, and update it as the chat changes. If those matter to you, the build is the right fit; if not, we will say a zap is enough.

How do I turn a Tidio chat into a Trello card?

The route reads the chat, applies your follow-up rule and creates one card in the list you map, with a link back to the conversation.

Is a Tidio to Trello Zapier zap enough for these cards?

A zap can add a card per trigger. Fingerprints, due-date rules and board-drift checks keep it to one card per follow-up.

Can I get a card for every new Tidio contact?

Yes. A new Tidio contacts Trello card can be created for leads that need a first touch, with the visitor's details on it.

What if a chat is reopened?

The card is found by its fingerprint and updated, and no second card is created.

Can cards sync with Tidio status?

A Tidio Trello board sync moves the card when the chat closes or is reassigned. Moving a card by hand never edits the chat.

Does Trello change Tidio?

No. The route writes from Tidio to Trello only, so a moved or archived card never touches a conversation.

How do you test the mapping?

Mapping is never an extra. The Tidio Trello field mapping service is included in the fixed price, and every field is matched to a Trello place before anything is written.

How custom can the Tidio to Trello route get?

Yes. Branching by region, value or product gives you a custom Tidio workflow for Trello, scoped and then built by the same Tidio Trello integration consultant. Packages start at $415.

What if Tidio alters a field we depend on?

For Tidio to Trello, the notes name every interface and version assumption.
