Trello to Jira automation for planning teams that hand work to engineers

Trello to Jira automation that turns cards into one issue each, moves it through the workflow by transition and finds it again by a card ID

Trello to Jira automation hands planned work to the people who deliver it. Jira creates an issue from a project, an issue type and a summary, takes the description as structured Atlassian Document Format, and cannot set a status directly, only move through a transition. BoldBellows saves the action type, the card ID and the received time, leaves a completed card untouched by any older update that follows it, then creates one issue per card, converts the description, and moves it through the transitions its list maps to.

From $875, paid once. Turn Trello cards into Jira issues exactly once.

A Trello card turned into one Jira issue with a mapped transition and a card ID field, built by BoldBellows

What this Jira route promises, and how

  • One issue per card a search of the card ID field comes before every create
  • Status by transition a list move triggers the transition, never a direct status write
  • Description converted card text becomes valid Atlassian Document Format
  • Within Jira's quotas requests are paced and retried on a 429 with its Retry-After
  • Launch review The first weeks are watched against the checkpoint log
  • No subscription $875 to start, then nothing recurring from us

01 · the status-write problem

A status that Jira will not let you set breaks a naive sync on day one

A card moves to Done and a basic step tries to write Done onto the Jira issue. Jira refuses, because status is changed only by a transition that your workflow allows from the current state. The same step pastes card text into a field that expects structured content, creates a second issue on a retry, and goes quiet when Jira starts answering 429.

A status Jira refused

The sync wrote Done where only a transition may.

Two issues for one card

Trello's resend created a second issue.

A description that broke

Plain text was sent where a structured document was expected.

02 · how it works

How a Trello card becomes one Jira issue that moves through its workflow

The path is short: admit, match, write, record.

  1. 01

    Confirm the trigger

The route confirms that the Trello event is authentic and that the card event is one you asked it to act on.

  2. 02

    Verify, qualify, search

After the signature passes, the card's list is checked against your planning rule, and Jira is searched for its card ID field.

  3. 03

    Create, transition, record

The issue is created with a structured description and mapped people, moved through the transition its list maps to, and the issue key is stored on the card.

Why the Trello to Jira route is built this way

  • Moves are updates

A card moving between lists arrives as an update to that card, and a move to another board has actions of its own, so the route reads both.

  • Status moves by transition

Jira changes an issue's status only through a Trello workflow transition available from its current state, so the route reads the allowed transitions before it moves anything.

  • Proof of delivery

Each successful write stores the Jira identifier beside a Trello card ID kept in a custom field and a label, which later checks rely on.

Yesterday's change, today's record

A Trello event older than the state in Jira is logged and closed, so delivery timing never decides which version wins.

A card jumps to a list whose transition the workflow does not allow

The issue stays where it is, the blocked move is flagged to the project lead with the allowed options, and nothing is forced. The issue is located through a Trello card ID kept in a custom field and a label, compared with the intended values and classified.

Decide a Trello card ID kept in a custom field and a label early: it is how the route recognises its own work.

Build your Trello to Jira price

Pick a package, answer three short questions about how Trello data should reach Jira, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Trello to Jira route.

A focused production route for one Trello environment and one Jira destination, delivering one Jira issue per Trello card, moved through the workflow by transition and found again by a card ID field with identity and failure controls from day one.

  • One approved Trello event family and business-state admission rule within the Trello to Jira service.
  • One authorized account, workspace, organization, or base boundary within the Trello to Jira service.
  • One Jira object contract with field and relationship mapping within the Trello to Jira service.
  • Stable matching through board ID plus card ID and source fingerprint in a dedicated issue property or custom field
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Trello to Jira service.
  • Implementation map, test record, and premium PDF operations handover within the Trello to Jira service.

Adds branching, matching and a bounded historical pass for teams whose route into Jira cannot be one straight-through action, while still delivering one Jira issue per Trello card, moved through the workflow by transition and found again by a card ID field.

  • Everything in Launch
  • Up to four approved routing or state-transition branches within the Trello to Jira service.
  • Existing-record resolution and one bounded historical checkpoint within the Trello to Jira service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Trello to Jira service.
  • Field, permission, and destination-state validation before mutation within the Trello to Jira service.

Adds reconciliation and governance for teams that now depend on one Jira issue per Trello card, moved through the workflow by transition and found again by a card ID field, with drift detection and an exception register for Jira.

  • Everything in Operations
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Trello to Jira service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For Trello to Jira, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Governed lifecycle set: Use this when several approved Trello transitions must converge on one Jira issue.

How should Jira recognise a Trello record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Jira guess.

How much Trello context should travel into Jira?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever a Jira write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

06 · process & getting started

Six steps from a planning board to a working Jira project

The plan has six steps and a fixed shape, so timelines stay honest.

  1. Step 01

    Choose the planning lists

We agree which Trello lists create issues, which Jira project and issue type each belongs to and which list moves map to which transitions.

  2. Step 02

    Approve access

The Trello and Jira connections are configured with the narrowest permissions that work.

  3. Step 03

    Agree fields and transitions

The card ID field, label rule, people mapping and transition map are written down and signed off.

  4. Step 04

    Replay the troublemakers

Known problem cases are replayed through a test Jira until each one ends safely, in the Trello to Jira route.

  5. Step 05

    Launch with notes

The live route starts from a fixed boundary, followed by a handover PDF for your administrators.

  6. Step 06

    Confirm it holds

A short review confirms that counts, matches and exceptions behave as they did in testing.

Getting started: what you provide

  • The go-ahead to connect to Trello with limited scope

  • Jira project admin access and permission to create issues, plus a Trello token

  • A named Trello contact who can approve access requests

  • The fields from Trello that Jira must receive

  • Details of any other tools that already write to Jira

  • Permission to document the route in your handover pack

09 · security and ownership

Approved data only, through supported doors only

The route reads what you approve in Trello and writes only where you point it in Jira.

Read-only Trello to Jira access: your data stays yoursA glowing shield with a tick at the centre of rings, with read-only lines in and named-people lines out, keeping your data yours.READ-ONLYYOUR ACCOUNTNAMED PEOPLEYOUR DATA STAYS YOURS

Leaves both tools alone

The build uses supported access on each side and does not alter how Trello or Jira behave for anyone else on your team.

Scoped, revocable access

Access ends the moment you disconnect, with no lingering copies.

Scoped to the route

With Trello to Jira in place, the issue receives the agreed fields for this route alone, which keeps reports and permissions in Jira simple.

Checked before it is repeated

Each retry is preceded by a read of Jira through a Trello card ID kept in a custom field and a label, which keeps a timeout from becoming a duplicate.

Minimal logging

History is kept as outcomes and references, so a leak would reveal little.

Full handover

Nothing is rented back: the configuration and the notes transfer to you.

Trello and Jira: what planning and delivery leads ask

Answers from real scoping conversations, so you can decide faster.

PriceTimeAccessHandover?Every question, answered
How is this different from a Trello to Jira Zapier workflow?

Buying an issue for every card from a connector is fine. Expecting it to create the issue once, move it through the workflow by transition and stay inside Jira's quotas is where they fall short. That is the difference between moving data and running a route.

How do I create Jira issues from Trello cards?

Each card that enters your planning list becomes a single issue, in the project and issue type you pick, with its description, checklist, labels and people brought over.

Why can't a sync just set the Jira status?

The route reads the allowed transitions and uses the one that matches the list.

How does the route avoid a second Jira issue for the same card?

The card ID is stored in a custom field and searched before any issue is created, so a resent webhook finds the issue that exists.

How are assignees matched?

Jira identifies people by account ID, so the route keeps a reviewed map from Trello members to Jira accounts and flags anyone it cannot match.

What happens when Jira returns a 429?

In the Trello to Jira route, the route waits for the Retry-After period, retries with backoff and records the outcome, so nothing is lost or created twice.

Can a Jira status change move a card?

No. Data flows from Trello into Jira only, so transitioning an issue cannot move a card.

Who signs off the mapping?

Think of it as a Trello Jira field mapping service with the results on paper.

Can different records take different paths?

Yes. You describe the logic, we build a custom Trello workflow for Jira, and we advise as a Trello Jira integration consultant along the way. From $875.

What if the interfaces change after launch in the Trello to Jira route?

Nothing is silently patched. A platform change surfaces as a paused step with a clear reason, and remediation after your review window is quoted apart. It is also the answer to custom trello to jira automation.
