BoldBellowsDelivery, structured from intake

Turn Wix requests into Asana plans—already assigned, divided and dated

A new task is not a delivery system. We use Wix data to choose the project, owner, custom fields and deadline, then build the subtasks and dependencies required to finish the work.

From $450, paid once.
No monthly connector fee.

  • Subtasks divided by role, not left flat
  • External ID keeps updates matched
  • Plans go live in 3 to 14 business days

The guarantees baked into every Wix to Asana build

  • Owner selected earlyno orphan tasks
  • Subtasks match deliverywork splits by role
  • Project context preservedcustom fields remain reportable
  • Deadlines calculatedservice levels drive dates
  • External ID retainedupdates find the task

01The one-task trap

One large task just pushes planning back on the team

Staff still interpret the Wix request, create subtasks, assign people and calculate dates by hand. Sound familiar?

"The new task sits unassigned until someone claims it."

The connector pastes Wix details into one new task, and work remains unassigned until a person intervenes.

"Custom fields are empty because the task isn't in the right project."

Custom fields lack project context when a task never gets added to the project that owns them.

"Every job gets the same due date, whatever it needs."

Delivery dates are inconsistent when nothing calculates a deadline from the actual service selected.

Creating a task is not the same as staffing it. What matters is whether someone can act on it the moment it lands.

Same intake, same Asana account. The difference is whether the plan gets built before the task ever reaches a person.

Before

New Wix Request Assignee: none Due date: none
  • Work remains unassigned
  • Custom fields lack project context
  • Delivery dates are inconsistent

After

Website Redesign · JOB-7428 3 subtasks · due Oct 10 ✓ Design brief — @design-team ✓ Build pages — @dev-team ○ QA review — @qa-team
  • Every action has an owner
  • Fields and sections support reporting
  • Milestones expose delivery risk

02How it works

How intake becomes an owned plan

We map delivery into projects and subtasks, configure ownership and dates, then test new, changed, canceled, duplicated and completed requests before anything is live.

Execution retested on change STEP 1Map delivery Wix choices becomeprojects and subtasks STEP 2Configure ownership Assignees, fields, sections, due dates STEP 3Asana plan Parent task, subtasksand dependencies built STEP 4Execution tested New, changed andcanceled requests run STEP 1Map delivery Projects and subtasks STEP 2Configure ownership Assignees and dates STEP 3Asana plan Parent, subtasks built STEP 4Execution tested Canceled cases run first Retested on any change
Nothing enters the workspace as a raw request. Every task lands with an owner, fields and a due date already set.

Asana object quirks

  • Subtasks don't inherit context for free. A subtask needs to belong to the project itself before project-specific custom fields will apply to it.
  • A task can live in several places. One task can belong to multiple projects and can also be a subtask of another, which is how cross-team work stays visible.
  • External IDs make matching deterministic. Attaching the Wix record ID as an external custom ID is what lets updates find the right task instead of creating a new one.

03Inside the delivery plan

What each Wix request builds, and how ownership is decided

Assigned Intake Task starts with one complete task. Delivery Plan Builder adds dynamic subtasks and routing. Cross-Team Fulfillment adds multi-project membership, escalation and completion callbacks.

04Who it's for

Built for the teams who deliver, not just track

Agency delivery leads, booking businesses, operations managers and founders who need Wix intake to arrive as work, not a note.

Agency delivery lead

"Every new client task needs the same six setup actions." Subtasks appear automatically.

Booking business

"Different services have different preparation owners." Routing selects the proper team.

Operations manager

"Work exists, but reporting fields are empty." Project-context custom fields are populated.

Founder

"Canceled Wix jobs stay active in Asana." Lifecycle rules flag or close the matched plan.

05Compare

Manual Asana entry vs a basic task Zap vs BoldBellows

A basic task Zap can put one task on the board. Designing the hierarchy beneath it, ownership rules, fields, dependencies, update behavior, escalation and callbacks is the part that takes real thought.

The unshared-field trap

A subtask needs project custom fields but is only attached to its parent. The build adds the subtask to the required project before setting project-specific fields.

The mid-delivery upgrade trap

A Wix service upgrade adds work after delivery has started. The matched parent task receives only the newly required subtasks while existing completion history remains intact.

One Wix event creates a complete task in one Asana project.

  • One Wix trigger and one project
  • Task name, notes and source link
  • Up to eight custom fields
  • One assignee and due-date rule
  • Wix external ID for matching
  • Test cases, handoff and 3 free revisions

Each Wix record creates a parent task plus role-owned subtasks.

  • Everything in Assigned Intake Task
  • Up to 10 dynamic subtasks
  • Section and project routing
  • Up to six assignee rules
  • Dependency or milestone route
  • Duplicate and unassigned-work queue

  • Everything in Delivery Plan Builder
  • Up to five Asana projects
  • Multi-project task membership
  • SLA and overdue escalation
  • Completion status returned to Wix
  • Audit dashboard and administrator handoff

Portfolios, enterprise permissions, resource-management systems or more than five projects. Tell us the real scope and we will price it for your build.

How should the work be broken down?Required

Cross-project plans need more structure than a single completion action.

How should tasks be assigned?Required

Capacity-aware triage needs a review queue a fixed owner doesn't.

How should deadlines be calculated?Required

Multiple delivery milestones need dependency logic a fixed offset can't provide.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your delivery plan needs, watch the total, switch it back off.

06The process

Five steps, from delivery workshop to handoff

Assigned Intake Task takes about 3 to 5 working days, Delivery Plan Builder about 6 to 9, and Cross-Team Fulfillment about 9 to 14. Pricing lets you pick a faster lane when you need one.

Your handover notes Every project, role-mapped Due-date logic, explained Who reviews unassigned work What happens on cancellation Plain English, no jargon Plan summary Test set: 20 requests run Plans built 18 Subtasks assigned 64 Unassigned tasks 0 Ready for handoff
  1. Delivery workshop

We document projects, roles and service-level commitments.

  2. Task blueprint

Parent, subtask, field and dependency rules are approved.

  3. Build

Wix events and Asana operations are connected.

  4. Acceptance

Normal, changed, canceled and overdue work is tested.

  5. Handoff

Workspace owners receive mapping and recovery instructions.

Just about 10 minutes needed upfront

  • Wix and Asana authorization.
  • Project, section, member and custom-field decisions.
  • Task/subtask templates and representative Wix requests.

07Security and ownership

Your workspace stays scoped. Your projects stay yours.

Access stays limited to the approved projects and events. Unrelated teams and broad Wix edit rights are never part of the scope.

Project boundaries

Only named projects receive work.

Credentials held server-side

Nothing sensitive lives in client-facing code.

Narrow callback scope

Only the approved completion outcome can reach Wix.

No automatic deletion

Work history is preserved.

Traceable identity

Wix and Asana IDs remain paired.

Client ownership

Projects, tasks and automation assets remain yours.

09FAQ

Wix to Asana questions, answered

Still unsure? We reply in plain English.

Can one Wix order create several Asana tasks?

Yes. The preferred design uses one parent task and role-owned subtasks so the order stays coherent.

Can tasks go to different projects?

Yes. Routing can choose projects by service or add a task to several approved projects.

Wouldn't a Zapier task creator do the job?

It'll get one task onto your board, sure. Getting the ownership right, splitting work by role, sequencing dependencies, catching duplicates and returning status to Wix is the part a template can't cover.

Can attachments move from Wix?

Approved file URLs or accessible assets can be attached or linked, subject to Wix access and Asana file limits.

Does the price include ongoing charges?

No recurring BoldBellows charge. Wix, Asana or your chosen automation platform may still carry their own subscription costs.

What if an assignee leaves?

The owner map is updated and retested. Capacity-aware designs can send unknown owners to triage.

What happens if Asana updates its platform?

The handoff documents task and project operations so future compatibility work can be scoped precisely. It is also the answer to wix orders to asana task, wix asana integration and wix asana automation.
