BoldBellowsBoards that actually track work

Send Wix work to Trello—and move the card instead of duplicating the job

A Trello board should show where work stands, not how many times Wix fired. We anchor each card to the Wix record ID, build the required checklist and move the same card as the order, booking or request advances.

The standing rules of every Wix to Trello build

  • One-card identityWix ID controls matching
  • Dynamic checklistswork reflects real order detail
  • Status-based movementlists show current stage
  • Owner and due datecards arrive actionable
  • Duplicate queueuncertain matches stop safely

01The trigger-equals-card trap

Creating a card is easy. Maintaining it is the job

Repeated Wix events turn simple boards into duplicate lists where nobody knows which card is current. Sound familiar?

"This order has three cards on three different lists."

Each order update or form event opens another card, and status ends up scattered across duplicates.

"The checklist gets retyped every time it updates."

Without a matched card, checklist work gets repeated instead of updated on the record it belongs to.

"A closed job reappeared as new intake."

Without lifecycle logic, completed jobs come back to life every time Wix resends the same event.

A card that appears isn't the same as work that's tracked. What matters is whether it's the only card for that job.

Same Wix events, same Trello board. The difference is whether the Wix ID controls what happens to the card.

Before

02How it works

How a card earns its move

We map the board to real Wix states, build card identity around the Wix ID, then test new, repeated, changed, completed and unmatched records before anything is live.

Movement retested on change STEP 1Map the board Lists, owners, labelstied to real states STEP 2Build card identity Wix ID stored beforeany create or update STEP 3Matched card Created once, then moved and updated STEP 4Movement tested New, repeated andunmatched cases run STEP 1Map the board Lists tied to states STEP 2Build card identity Wix ID stored first STEP 3Matched card Created once, then moved STEP 4Movement tested Repeated cases run first Retested on any change
A card only earns a new list when its status change is a confirmed Wix state, not a guess.

Trello mechanics that matter

  • IDs, not titles, do the matching. A card is found and updated by its retained card ID; matching on a title alone invites false matches.
  • Checklists belong to cards. Checklist items are created and updated through the API as their own objects, which is what lets us rebuild them safely on update.
  • Custom fields carry structure. Text, number, date, checkbox and option values all have dedicated custom field types we use instead of stuffing everything into the description.

03Inside the board

What each card carries, and how it stays current

Work Card Creator starts with one structured card. Moving Job Board adds matching, checklists and routing. Trello Delivery System adds multi-board escalation and a completion callback.

04Who it's for

Built for teams who run production off a board

Made-to-order sellers, booking teams, agencies and operations leads who need Trello to show real bottlenecks, not just activity.

Made-to-order seller

"Each product option creates different production steps." Dynamic checklists convert options into work.

Booking team

"We need appointments assigned by service and date." Routing selects list, member and deadline.

Agency

"Client requests create cards, but later edits open duplicates." Wix-key matching updates the original.

Operations lead

"The board shows activity, not bottlenecks." Aging and list status expose stalled jobs.

05Compare

Doing it by hand vs a basic Zap vs BoldBellows

A basic Zap can create a card quickly. The larger implementation designs identity, status mapping, checklist construction, duplicate control, escalation and callbacks.

Where a manual card, a basic Zap and the BoldBellows build part ways
What separates themA manual cardA basic ZapBoldBellows build
CreationManualRe-keyedBasicAutomaticYesAutomatic with required fields
UpdatesNoHuman searchNoOften another cardYesMatched by Wix ID
Work stepsManualTyped manuallyFixedFixed checklistYesDynamic from record content
CompletionManualUpdated by handOne-wayOne-wayYesOptional controlled callback

The duplicate-ID trap

Two Trello cards already contain the same Wix ID. The workflow stops in the duplicate queue and requests a human merge decision rather than guessing which is current.

The mid-checklist cancellation trap

A canceled Wix order has a partly completed production checklist. The lifecycle rule moves the existing card to a cancellation list and preserves completed work history.

More than three boards, complex Butler coordination, enterprise administration or thousands of active cards. Tell us the real scope and we will price it for your build.

How should a card's lifecycle work?Required

Moving and closing a card by status needs more than a one-time create.

How should work be broken down?Required

Complex multi-team delivery needs more than one card holding everything.

How should boards be routed?Required

Several departments need source tracking a single board doesn't.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your board needs, watch the total, switch it back off.

09FAQ

Wix to Trello questions, answered

Still unsure? We reply in plain English.

Can each Wix order create a Trello card?

Yes. The card can include customer-approved details, order link, fields, member, date, labels and a checklist.

Can later Wix updates move the same card?

Yes. The workflow stores and searches the Wix ID before updating or moving the matched card.

Would a plain Zapier setup cover this?

Getting one card onto a board is a fine Zap. Making that card the correct one, keeping its checklist honest, catching duplicates, escalating overdue work and reporting completion back is the harder job.

Can line items become checklist items?

Yes. The checklist route expands supported line items or selected form answers into individual actions.

Does BoldBellows charge a monthly rate for this?

No. Wix, Trello or an automation host may have their own fees.

What if someone moves a card manually?

The rule defines whether Wix state may move it again, leave it alone or flag a conflict. We do not assume every manual move should be overwritten.

What if Trello changes its API?

The handoff identifies card, checklist and custom-field operations so affected steps can be repaired under a focused quote. If you searched for wix orders to trello card, wix trello integration and wix trello task creation, this is the service that delivers it.
