BoldBellowsDone-for-you WooCommerce bookkeeping

WooCommerce to QuickBooks, set up for you so every payout reconciles itself

Our WooCommerce to QuickBooks integration reads your store over its own API and posts daily sales, the fees Stripe, PayPal or WooPayments take, refunds and sales tax into QuickBooks Online on their own. Because each gateway settles to the bank on its own schedule, we hold every payout in a clearing account that empties to zero, so the deposit and your sales finally agree. No manual journals, no monthly sync plugin. We build it, prove it against your WooCommerce reports, and hand over books you own.

Chapter 01The deposit that never matches

Why your Stripe or PayPal deposit never equals your WooCommerce sales

WooCommerce takes the order, but the money arrives through a separate processor. Stripe, PayPal and WooPayments each pay you a net figure: sales, minus their fees, minus refunds, batched on their own timetable. Record only gross sales, or only the bank deposit, and the two will never meet. Sound woocommerce quickbooks reconciliation means parking each payout in a clearing account and letting the deposit empty it, to the cent.

Stripe deposits one number, PayPal another, and neither of them is what my store says I sold.

The month-end scramble every WooCommerce seller knows

Several gateways, one bank

Most stores run more than one processor. Each pays out separately, so a single week's takings can land as three unrelated deposits that no one figure explains.

Fees taken before it lands

The processor keeps its cut before the money reaches you. Book the deposit as income and your revenue is short and your gateway fees never reach the profit and loss.

Refunds in a later batch

A refund a fortnight after the order rides out in a later payout. Booked to the wrong month, it flatters one month's profit and quietly dents the next.

Fig. 2b. Sales in, fees, refunds and tax out, deposit transferred, balance zero, in the WooCommerce to QuickBooks route.

Before

  • Each gateway deposit posted as a lump, with fees and refunds hidden inside
  • Revenue understated, Stripe and PayPal fees missing from the profit and loss
  • Sales tax collected sitting in the wrong account, or in none at all
  • An afternoon of detective work across two or three processors every month-end

After

  • Each payout split into sales, fees, refunds and tax, then matched to its deposit
  • A separate clearing account per gateway that returns to zero every cycle
  • Sales tax collected tracked as a liability, ready to file with WooCommerce to QuickBooks
  • Month-end that takes minutes because the books already tie out for WooCommerce to QuickBooks

Chapter 02How it works

How we sync WooCommerce orders to QuickBooks, in plain English

One direction, three parts. We read your store through the WooCommerce REST API, split each gateway payout into the entries an accountant expects, and post them into QuickBooks Online against your own chart of accounts. Your WordPress site and your ledger stay exactly as they are; we only add clean, checked entries. That is the whole of this woocommerce quickbooks automation.

Your WooCommerce store Orders · gateway fees · refunds sales tax · payouts Read-only API keys The sync we build Splits each payout into sales, fees, refunds and tax, then checks it Journal + clearing Your QuickBooks Sales · fees · tax · clearing on your chart of accounts Your WooCommerce Orders, gateway fees, refunds, tax, payouts Read-only API keys The sync we build Splits each payout, then checks it Journal + clearing Your QuickBooks Sales, fees, tax and a clearing account
Fig. 3. The flow is strictly one-directional — leaving WooCommerce, arriving in your ledger.

Your store: read-only keys

You generate a read-only consumer key and secret in WooCommerce, following the short written guide we send, or add a small connector plugin. It can view orders, coupons, fees and tax, but write nothing. Because you host WooCommerce yourself, there is no 60-day cap: your whole order history is available whenever we back-post it.

The sync: an accountant's logic

Each gateway payout is split into sales income, the processor's fees, refunds and the sales tax you collected, then the net is transferred to the bank. We run it on a proper server cron rather than WP-Cron, so a quiet trading day never means a skipped post, and a scheduled re-check catches any order changed after the fact.

Your QuickBooks: mapped to you

This woocommerce quickbooks accounting sync fits your books, rather than asking your books to bend around it.

Chapter 03The ledger

What posts to QuickBooks, account by account

Every part of a sale lands in the right account, so your reports come out correct without a single manual journal. Which accounts you get depends on your package, and each mapping can be tuned during your rounds of changes.

Chapter 04Who it is for

Made for whoever signs off the month

If month-end means chasing a Stripe deposit that will not tie out, a proper woocommerce quickbooks integration hands that afternoon back.

Bookkeepers

Payouts that reconcile on their own and a clearing account per gateway that zeroes, so woocommerce quickbooks bookkeeping is a review, not a monthly rebuild.

Store owners and finance leads

A profit and loss you can trust on the first of the month, with gateway fees and refunds sitting where they belong.

Accounting firms

A repeatable build for every WooCommerce client, mapped to the chart of accounts your firm already works from.

Multi-currency stores

Orders in several currencies posted in your home currency, with the classes to keep each store or brand apart.

Chapter 05The options

Four ways to get WooCommerce into QuickBooks, side by side

Each route can post something. The difference shows up at month-end, when the gateway payout has to match the bank and the sales tax has to match your filing.

Comparison of manual entry, a sync plugin such as MyWorks, Zapier or Make, and a BoldBellows build for WooCommerce to QuickBooks
Question Manual entry Sync plugin Zapier or Make BoldBellows build
Reconciles payouts to the bank By hand, every gateway Some do, once you build the clearing yourself Not really its job A clearing account per gateway that zeroes
Fees and refunds split out Only if you remember Sometimes, in its own layout Rarely Every payout, on named accounts
Sales tax tracked to file A separate spreadsheet Basic tax handling Not handled Liability, split by state if you need it
Access to your store None needed, all by hand Two-way, can write back into WooCommerce Depends on the scopes you grant Read-only API keys, never writes back
Multi-currency Converted by hand Varies by plugin Depends on the setup Posted in your home currency
Cost over time Free, but hours every month A recurring plugin subscription Monthly, and tasks add up One-off price from $745
Where it lives In your head and a spreadsheet A plugin on your site, their rules Runs on their service Your own QuickBooks company

A note on sync plugins. WooCommerce has no free connector from Intuit the way Shopify does; the best-known option is a paid, two-way sync plugin that can write back into your store and bills you every month, and you still design the clearing and tax logic yourself. If you would rather feed a live sheet than a ledger, our WooCommerce to Google Sheets automation covers reporting, and UK, Australian and New Zealand books are usually better kept with WooCommerce to Xero automation. A woocommerce to quickbooks zapier build, by contrast, posts one event at a time and rarely reconciles a payout.

The three packages differ by how far the accounting reaches, from a tidy summary of sales up to a fully reconciled ledger.

Your WooCommerce sales in QuickBooks, split the way your accountant reads them.

  • A daily summary journal: gross sales, coupons, refunds, shipping and tax collected
  • Gateway fees from Stripe, PayPal or WooPayments posted to their own expense account
  • Mapped to one QuickBooks Online edition and your own chart of accounts
  • Sales tax collected tracked as a liability, ready to file
  • Every posted month checked against your WooCommerce reports
  • Premium handover notes (PDF) explaining every account and journal
  • Two rounds of changes after you see the first month posted

Every gateway payout matched to the bank, with a clearing account per gateway that zeroes.

  • Everything in the Clean Books package
  • A clearing account for each gateway that returns to zero after each payout
  • Each Stripe, PayPal or WooPayments payout posted as its sales, fees and refunds, then transferred to the bank
  • Per-order detail, so any line traces back to the WooCommerce order behind it
  • Sales tax split by US state for multi-state filing
  • Refunds and partial refunds posted on the date they happened
  • Premium handover notes (PDF) covering the reconciliation routine
  • Three rounds of changes after you see it running

Cost of goods, inventory and multi-currency, for a store that is scaling up.

  • Everything in the Reconciled package
  • Cost of goods and an inventory journal drawn from your WooCommerce products and variations
  • Multi-currency orders posted in your home currency, with gains and losses
  • Classes or locations split by sales channel, store or brand
  • Gift cards, tips and rounding posted to the right liability accounts
  • Premium handover notes (PDF) covering every account, class and journal
  • Four rounds of changes after you see it running

Several stores or WordPress sites, QuickBooks Desktop, a warehouse or ERP system feeding stock, or a mapping none of the packages describe. Tell us how your books are kept and how your store is hosted, and we will price it.

Which QuickBooks Online edition do you use?Required

Your edition decides which features we can post into, such as classes, locations and inventory tracking.

How should your gateway payouts be recorded?Required

WooCommerce has no payout of its own; Stripe, PayPal and WooPayments each settle to the bank net of their fees, so the deposit is always less than gross sales. This is how we make it tie out.

How should sales tax be handled?Required

We post what your WooCommerce tax settings actually collected, so your filing figures come from real orders.

How much past history should we bring in?Required

WooCommerce is self-hosted, so your WordPress database holds every order you have ever taken. There is no 60-day limit, and back-posting older months is only a matter of time.

How soon do you need it live?Required

Standard runs to the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each of these starts switched off. Turn on what earns its place, watch the price, turn it back off.

Chapter 06The process

From a short brief to books that post themselves

Six steps. You spend about an hour in total across the whole project, starting with roughly ten minutes to hand over access. We build, check and post the rest, and you sign off a full month before we step back.

  1. About 30 minutes

Brief: how are your books kept?

A short online brief. You tell us which gateways you run, share your chart of accounts and how you file sales tax today, and we agree exactly which account each part of a sale will land in.

  2. About 10 minutes

You hand over the Read-only keys

You generate a read-only consumer key and secret in WooCommerce and connect QuickBooks Online. Each step comes with a written guide, and we never ask for your bank login.

  3. Most of the project

We build the mapping and clearing

We connect the store, build the accounts, a clearing account for each gateway and the tax handling, and back-post the history you asked for from your WordPress database.

  4. Before you see it

    We check a full month

Sales, gateway fees, refunds and tax are matched to your WooCommerce reports for the same dates, and each clearing account is proven to return to zero.

  5. Two to four rounds

    You review with your accountant

Account names, tax treatment, the depth of detail: that is what the rounds of changes are for.

  6. Handover day

    Handover, and it keeps posting

Premium handover notes as a PDF, covering every account and the month-end routine, and books that carry on posting themselves long after we step away.

What we need from you: about ten minutes, and no accounting jargon required

  • Admin on your WordPress site, to create read-only WooCommerce API keys
  • Your QuickBooks Online company, connected with read and post access for WooCommerce to QuickBooks
  • A list of the payment gateways you take money through
  • How you file sales tax today, so the liability matches your returns with WooCommerce to QuickBooks

Chapter 07Trust

Read-only keys on your store, and your books stay yours

Your ledger and your customer list are sensitive, and it is your own server. We take the least access that does the job, keep personal details out of the books unless you ask for them, and hand everything back the moment you say so.

CustomerEmail on file A. Patela••••@••••.com J. Morenoj••••@••••.com S. Okafors••••@••••.com L. Chenl••••@••••.com Read-only

Read-only on WooCommerce

The API keys read orders, coupons, fees and payouts. They cannot change orders, products or prices in your store, even by accident.

Personal details optional

Customer names and emails can be left out of QuickBooks entirely, or masked, so the books hold figures rather than personal data, in the WooCommerce to QuickBooks route.

We never touch the bank

We post entries; we do not connect to or move money in your bank or your gateways. The deposit is matched, never initiated.

Revoke us whenever

Delete the API key in WooCommerce, or disconnect QuickBooks, and our access ends that minute. Nothing else to cancel.

No copies kept

The sync moves data from WooCommerce into your QuickBooks. We do not keep copies of your orders or your ledger on our servers.

Yours, with no subscription

The WooCommerce mapping and the posting rules live in your own QuickBooks company. There is no plugin fee and no monthly charge to keep the books current.

"We prove every gateway's clearing account zeroes on a real month before your books ever become ours to hand over."

Chapter 09Questions

WooCommerce to QuickBooks questions, answered

What WooCommerce owners and their bookkeepers ask us most before they start.

A plugin already syncs WooCommerce to QuickBooks. Why pay for a build?

A sync plugin is a fair start, but it bills you every month, syncs two ways so it can write back into your store, and still leaves you to design the clearing account per gateway, the tax treatment and the mapping to your own accounts. We build all of that around your books, use read-only keys, check it against WooCommerce, and you pay once instead of maintaining a subscription.

Will my Stripe and PayPal payouts finally reconcile in QuickBooks?

Yes, and that is the heart of a proper woocommerce quickbooks reconciliation. Each gateway gets its own clearing account: a payout posts its sales, fees and refunds there, and the net transfer to the bank empties it back to zero. When every clearing balance is zero, each payout and its deposit agree to the cent.

Do you post a woocommerce quickbooks invoice per order, or a summary?

Either. If you need order-level detail, or a sales receipt or invoice per WooCommerce order for B2B customers, we post that instead. You choose the depth of detail in the pricing above.

Can you sync woocommerce customers quickbooks records as well?

We can, when order-level posting is turned on, so WooCommerce customers appear in QuickBooks against their sales. If you want a full CRM rather than a ledger, our WooCommerce to HubSpot automation is the better home for WooCommerce customer records.

Why not just set up WooCommerce to QuickBooks with Zapier?

A woocommerce to quickbooks zapier build posts one event at a time and rarely reconciles a payout, because a gateway payout is a net figure spanning many orders, fees and refunds. Each WooCommerce event can burn a task on those tools, and the cost climbs the more you sell. We post balanced journals and prove each clearing account zeroes, which a single-event tool is not built to do.

We have years of history. Can you back-post it?

Yes, and this is simpler on WooCommerce than on a hosted platform. Because the store is yours to host, your WordPress database keeps every order the business has ever taken, free of any 60-day limit to design around.

How do you connect, and will it slow my site down?

We connect through the WooCommerce REST API using read-only consumer keys, or a small connector plugin, and read in the background rather than on every page load. We schedule the work on a proper server cron instead of WP-Cron, which is unreliable on quieter sites, so posting never depends on someone visiting your store.

Is my data safe, and am I tied to a monthly fee in the WooCommerce to QuickBooks route?

We use read-only API keys on WooCommerce, never touch your bank or gateways, and can mask or omit customer details. The WooCommerce mapping and posting rules live in your own QuickBooks company, so there is no subscription and nothing stops working if you part ways with us. This is woocommerce quickbooks bookkeeping you own outright.
