BoldBellowsWorkable to Airtable automation for owners who plan hiring in a base

Workable to Airtable automation that builds a linked base of candidates, jobs and stage history, merged on candidate ID and kept inside Airtable's limits

Airtable allows 5 requests per second per base and 50 per second across a user's tokens, and a 429 means a 30-second wait, while Workable limits an account token to ten requests every ten seconds. BoldBellows records the candidate ID, the job shortcode and the stage before a record is written, lists candidates updated since the last run and writes them ten at a time, then upserts each updated candidate into a Candidates table on its ID, links it to a Jobs table, writes each stage move to a Stage History table with its time, marks disqualified and hired candidates, and leaves ratings, comments and personal fields out. Writes go ten records at a time, paced to both services' limits.

01the one-way-export problem

A one-way export tells you where candidates are and nothing about how they got there

A zap that adds a row per new candidate freezes the stage on the day of arrival. The base shows everyone at the first stage, a disqualified candidate looks active and nobody can say how long people wait between steps. With a Workable account token limited to 10 requests per 10 seconds on one side and Airtable's per-base ceiling on the other, a naive sync stalls on whichever it hits first, and the notes and ratings that should stay private end up in a shared base.

Before: duplicates found by hand

  • Whatever Workable sends, Airtable receives
  • Rows are added on arrival and never change with Workable to Airtable
  • Stage history is lost with each overwrite for Workable to Airtable

02how it works

How Workable candidates become linked, merged records in Airtable

Events are filtered, keyed, searched and then written, with a record at each stage.

How Workable to Airtable automation works: candidates in, one clean record each, on a scheduleCandidates, pipeline, stage changes and reports from Workable converge on the sync engine, then land in Airtable.CandidatesPipelineStage changesReportsTHE SYNCSTEP 1Your Workable accountSTEP 2Runs daily, hourly or in minutesSTEP 3Your Airtable baseHow Workable to Airtable automation works: candidates in, one clean record each, on a scheduleFour feeds from Workable converge on the sync engine, then land in Airtable.CandidatesPipelineStage changesReportsSTEP 1 · YOUR WORKABLE ACCOUNTTHE SYNCSTEP 3 · YOUR AIRTABLE BASE
  1. Receive, log, qualify. The event arrives from Workable, is logged with its identifiers, and is qualified or set aside.
  2. List, merge, link. Updated candidates are listed, merged on their ID, and linked to jobs.
  3. Log, protect, pace. Stage moves are logged, private fields are skipped, and writes are paced to both limits.

Behaviour of Workable and Airtable we design around

  • Fifty per token, five per base. Airtable allows 5 requests per second per base and 50 per second across a user's tokens, and a 429 means a 30-second wait, so the route paces writes by base and by token.
  • Two ceilings at once. Workable allows an account token 10 requests per 10 seconds and Airtable allows 5 requests per second per base, so the route plans each run around whichever ceiling would be reached first.
  • Handling timeouts. A timeout triggers a search of Airtable by the Workable candidate ID as the merge field, with the job linked to a Jobs table, not another create.

Old news arrives after new

Each Workable event carries its own time, and the route applies it only if it is newer than what Airtable already shows.

A candidate is moved through three stages in one afternoon

The candidate is updated in place, three stage events are appended with their times, and nothing is created twice. With the Workable candidate ID as the merge field, with the job linked to a Jobs table the route can say whether the work is missing, done, off, or unclear, and it says so in the log. Matching and differing records are handled separately; only a missing one is created.

Choosing the Workable candidate ID as the merge field, with the job linked to a Jobs table is step one; the field map and the branches are built on top of it.

Pick a package, answer three short questions about how Workable data should reach Airtable, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Workable to Airtable route.

A focused production route for one Workable environment and one Airtable destination, delivering Workable candidates, jobs and stage history written to linked Airtable tables, merged on candidate ID, refreshed from updates and kept inside Airtable's limits with identity and failure controls from day one.

  • One approved Workable event family and business-state admission rule within the Workable to Airtable service.
  • One authorized account, workspace, organization, or base boundary within the Workable to Airtable service.
  • One Airtable object contract with field and relationship mapping within the Workable to Airtable service.
  • Stable matching through Workable account plus job, candidate, application, interview, or offer ID and source ID field joined to Airtable record IDs
  • Tests for duplicates, stale events, malformed data, denied access, and timeouts within the Workable to Airtable service.
  • Implementation map, test record, and premium PDF operations handover within the Workable to Airtable service.

Adds branching, matching and a bounded historical pass for teams whose route into Airtable cannot be one straight-through action, while still delivering Workable candidates, jobs and stage history written to linked Airtable tables, merged on candidate ID, refreshed from updates and kept inside Airtable's limits.

  • Everything in Signal
  • Up to four approved routing or state-transition branches within the Workable to Airtable service.
  • Existing-record resolution and one bounded historical checkpoint within the Workable to Airtable service.
  • Lookup-before-replay protection for uncertain writes
  • Named exception ownership and a decision-ready evidence packet within the Workable to Airtable service.
  • Field, permission, and destination-state validation before mutation within the Workable to Airtable service.

Adds reconciliation and governance for teams that now depend on Workable candidates, jobs and stage history written to linked Airtable tables, merged on candidate ID, refreshed from updates and kept inside Airtable's limits, with drift detection and an exception register for Airtable.

  • Everything in Routing
  • Scheduled source-to-destination reconciliation
  • Schema, field, scope, and webhook drift checks within the Workable to Airtable service.
  • Volume-aware retry ceilings and stale-event protection
  • Aged-exception reporting with ownership status
  • Thirty-day release watch and operating review

For Workable to Airtable, multi-business-unit routing, unrestricted bidirectional synchronization, regulated archives, unsupported extensions, or additional destination systems receive a separate written quote. Third-party subscriptions and usage charges are excluded.

Which Workable events should reach Airtable?Required

Governed lifecycle set: Use this when several approved Workable transitions must converge on one Airtable record.

How should Airtable recognise a Workable record it has already handled?Required

Ambiguity queue: Route zero-match and multi-match cases to an owner instead of letting Airtable guess.

How much Workable context should travel into Airtable?Required

Managed repair case: Capture evidence, ownership and a safe next action whenever an Airtable write is uncertain.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

06The process

Six steps from a one-way export to a living hiring base

A short, repeatable process of six steps, ending in a launch review.

  1. Design the base

We map candidates, jobs and history to tables, fields and links.

  2. Approve access

Together we approve what the route may read in Workable and where it may write in Airtable.

  3. Fix the tables and exclusions

The tables, the matching rule and the list of Workable fields that stay out are drafted and signed off before the build.

  4. Test what goes wrong

Duplicate deliveries, slow events, blank fields and denied permissions are run in a test copy of Airtable, in the Workable to Airtable route.

  5. Launch with notes

We switch the route on at a checkpoint you approve and leave you with written notes on how it works.

  6. Launch support

For a short period after launch we respond quickly to anything unexpected in the live route.

07Turnaround

Timing for the Airtable build

08Before we start

What you supply to begin

Approved, revocable access to the Workable side

Workable read access, and an Airtable base you can edit with a personal access token

Test records in Workable for the acceptance runs

Names of the people who decide when a Workable event is valid

Your rule for what to do when Workable and Airtable disagree

A decision on whether history should be loaded or only new events

09Security and ownership

A route that borrows access, never rewrites your tools

Only agreed Workable data leaves, and it goes to one named place in Airtable.

Reversible by design

Because nothing inside Workable or Airtable is modified, switching the route off returns both tools to how they were.

Scoped, revocable access

Scopes are reviewed with you before launch and again at handover.

A purpose for every field

Each mapped field has a reason recorded beside it, so a later review can tell why it was sent.

Find first, write second

The route finds the record through the Workable candidate ID as the merge field, with the job linked to a Jobs table before choosing between create, update and leave alone.

Minimal logging

Logs hold identifiers, times and error types, not your customer content.

Full handover

Handover includes the rules, the owners and the repair steps in one PDF.

11FAQ

A linked Airtable base from Workable: what small teams ask

A handful of honest answers before you spend anything.

We tried a Workable to Airtable Zapier flow; what changes?

To get a base that mirrors your hiring, a connector will do. To merge each candidate into one record, keep stage history or stay inside Airtable's limits, you need a designed route. Each of those is covered, tested and handed over in writing.

Why not a zap per new candidate?

On this Workable to Airtable route, it records the stage on the day of arrival and never updates it.

Are disqualified candidates included?

Yes, marked by status so reports stay honest.

Are ratings and notes copied?

No. They are never written.

What limits apply?

Workable's 10 requests per 10 seconds per account token and Airtable's 5 per second per base, which the route respects.

Does it work with OAuth tokens?

Yes, with higher limits where Workable grants them.

Does the base change Workable?

No. It only receives.

Will you map custom fields as well in the Workable to Airtable route?

Absolutely. Nothing reaches Airtable until the Workable Airtable field mapping service has your approval on the page.

Is a tailored workflow possible, or only a standard one on the Workable to Airtable route?

Yes. Anything you can state as a rule can become part of a custom Workable workflow for Airtable. That includes Workable Airtable integration consultant advice, from $520.

What happens if Workable or Airtable changes something later?

You get a list of the interfaces we rely on. When one shifts, the affected records hold and you are told. Later maintenance is quoted on its own.
