BoldBellowsXero to Airtable automation for debtor control

Xero to Airtable automation that keeps contacts, invoices, payments and credits linked in a base finance can trust

A flat export cannot show that one payment covers several invoices or that a credit is only partly allocated. BoldBellows connects Xero to Airtable so every table carries the Xero GUID, contacts, invoices, payments, credits and evidence are joined by linked records, DSO rolls up from real allocations, and anything the route cannot settle becomes an owned exception instead of a silent gap.

  • Linked, never flattened contacts, invoices, payments, credits and evidence sit in their own Airtable tables and point at each other
  • GUIDs as the key Xero identifiers on every table replace names and email addresses as the thing records are matched on
  • Allocations kept whole one payment across several invoices, or a credit only partly applied, stays visible instead of being summed away
  • Evidence beside the debt attachments and history notes are linked to the record they prove, so a chase starts with the paperwork
  • No meter running $430 covers design, build, tests and handover; nothing accrues afterwards

Chapter 01 the flat export problem

A flat Xero export in Airtable cannot show which payment settled which invoice

Debtor control is a question about relationships: which invoices a payment cleared, which credit is still partly open, which contact has ignored three reminders. A table of copied rows answers none of it. The finance team ends up opening Xero to reconstruct what the base was supposed to show.

One payment cleared three invoices, and the base showed two of them overdue.

Overheard in a month-end review

One payment, three invoices, one row

A single receipt that cleared three invoices was written as one line, so two invoices still looked overdue.

A credit note nobody could place

A part-allocated credit sat in the base with no link to the invoice it reduced, and the debtor was chased for the full amount.

Contacts matched on a name

Two customers with similar names shared a record, and their balances were added together.

Before

  • Copies contacts, invoices, payments and credits without a debtor decision
  • Keys each row on a contact name or an invoice number typed by hand
  • Writes again whenever Airtable's answer is slow to arrive

After

  • Filters for the accounting objects and allocations that matter and records why each event qualified
  • Builds linked records, DSO rollups and evidence views under destination-native rules
  • Reads Xero's latest state, then gives any half-applied payment an owner

Chapter 02 How it works

How a Xero change becomes a linked record with an owner

The route reads the accounting facts, claims the identity, writes the links and proves the result before it moves on.

Read the accountable source state

The Xero object and the facts around it are retrieved, including allocations, so an incomplete or out-of-scope event is rejected before anything is built.

Build the Airtable records

Xero GUIDs are claimed on each table, the mapping and privacy rules are applied, and linked records, rollups and evidence views are prepared without copying unrelated fields.

Prove the result

New record IDs are kept against the Xero GUIDs, any doubtful answer is settled by looking it up, and a part-allocated payment becomes an operator case.

Technical facts behind the route

  • Xero ContactID: Xero contacts carry a ContactID and can sit in contact groups, which is why names and email addresses are never used as the cross-system key.
  • Idempotency-Key headers: Eligible Xero requests take an Idempotency-Key, yet a repeated attempt still uses up rate limit, so the route plans its retries instead of hammering.
  • Airtable linked records: Linked-record fields store record references, which makes a multi-table base possible but means record IDs have to be handled deliberately.

Chapter 03 What ships in the build

What your Xero Airtable workflow builds, table by table

Foundation filters the events and claims identity. Control adds part-allocation rules and one look back at history. Assurance then checks the base against Xero on a schedule and watches for drift.

Debtor event filter

Reads only the incremental accounting objects and allocation relationships you named and records why each event qualified.

Foundation

Xero identity claim

Keeps a durable pointer from each Xero record to the Airtable item it produced.

Foundation

Airtable structure mapper

Builds linked records, DSO rollups, evidence views and exception ownership using Airtable-native fields.

Foundation

Exception state machine

Turns a payment that covers several invoices, or a part-allocated credit, into a visible state with an owner.

Control

Reconciliation checkpoint

Reads the ledger's current state before a doubtful write is repeated, so the base does not act on a hunch.

Assurance

Contract drift register

Warns when a field, scope or status moves, before it can corrupt a table without anyone noticing.

Assurance

Sync Xero invoices to Airtable, run a Xero Airtable database sync and Xero Airtable record create rules, and build a Xero Airtable CRM view of contacts data. Xero Airtable API integration, Xero Airtable setup and Xero Airtable data sync are all scoped with your base owner.

Chapter 04 Who this fits

For finance and advisory teams who track debtors in Airtable and keep the books in Xero

If you need the base to explain a balance rather than repeat it, this gives it the relationships.

Finance manager

"Show me which invoices each payment actually cleared."

Every payment links to the invoices it cleared, and a partial allocation is flagged rather than rounded away.

Advisory team

"A base that is only right until the next late change is not much use."

A scheduled check sets the base beside Xero and ranks every gap by how long it has been open.

Operations analyst

"Give me linked tables and DSO I can trust."

Contacts, invoices, payments and credits are separate tables joined by ID, with DSO calculated from allocations.

Systems administrator

"If a credit is half applied, somebody has to own it."

An exception record names an owner, shows the evidence and stays open until the allocation is settled.

Chapter 05 The options

Xero to Airtable by export, by zap, or with a debtor-control model

Each option can copy an invoice. Only one keeps allocations, identity and evidence together.

Comparison table: Xero to Airtable by export, by zap, or with a debtor-control model

A payment is edited while it is being processed

Control re-reads the payment, compares it with the revision it had claimed, and then either amends the Airtable record it already made or raises an exception with an owner.

Airtable saves the record but the reply never arrives

Assurance looks the GUID up, finds the record that is already there and stores its ID, and only then may a retry proceed.

Connect Xero to Airtable through the GUID first, because every link, rollup and exception in the base depends on it.

Build your Xero to Airtable price

Pick a package, answer three short questions about how Xero data should reach Airtable, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Xero to Airtable route.

A focused production route for one Xero organisation and one Airtable destination, delivering a linked debtor-control base in Airtable that keeps Xero as the source of truth with identity and failure controls from day one.

  • One authorized Xero account and one Airtable target
  • Primary event: incremental accounting objects and their allocation relationships
  • Identity contract: Xero GUIDs on each Airtable table plus source-link fields
  • Destination result: linked records, DSO rollups, evidence views, and exception ownership
  • Ordinary and duplicate-path acceptance tests
  • Focused administrator handoff for the named route

Adds branching, matching and a bounded historical pass for teams whose route into Airtable cannot be one straight-through action, while still delivering a linked debtor-control base in Airtable that keeps Xero as the source of truth.

  • Everything in Debtor Relationship Base Foundation
  • Two business-rule branches specific to debtor relationship base
  • Controlled handling when one payment covers several invoices or a credit is only partially allocated
  • One bounded historical reconciliation pass
  • Exception ownership and repair states
  • Mapping and decision notes for future edits

Adds reconciliation and governance for teams that now depend on a linked debtor-control base in Airtable that keeps Xero as the source of truth, with drift detection and an exception register for Airtable.

  • Everything in Debtor Relationship Base Control
  • Scheduled reconciliation against Xero current state
  • Drift detection for source and destination structure
  • Operational dashboard or evidence register
  • Volume and timeout protection
  • Thirty-day launch review with control findings

Needs spanning several legal entities, unsupported extensions, regulated retention, or a different operating model receive a custom quote with their own acceptance criteria. On the xero to airtable page, this control is accepted against a debtor-control base with linked contacts, invoices, payments, credits, and evidence attachments, giving operators relationships a flat export cannot express.

Which Xero events should reach Airtable?Required

Lifecycle with reconciliation: Choose this when omissions must be detected after live delivery.

How should Airtable recognise a Xero record it has already handled?Required

Conflict quarantine: Use when ambiguous matches need human resolution before mutation.

What should happen when an Airtable write can't be confirmed?Required

Create operator case: Use when one payment covers several invoices or a credit is only partially allocated requires a named person to decide.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

From a chart of receivables to a working debtor base, in five steps

In the Xero to Airtable route, five stages take you from a written brief to a live route, and only the first two need much from your team.

  1. About 30 minutes

Show us how you chase debt

We read your current aged receivables, the tables you use and the questions the base must answer.

  2. Access review

    Approve access

We set up the Xero read side and the Airtable write side, and note every permission requested.

  3. Most of the project

    Design links and allocation rules

Table relationships, field types, the DSO definition and the rules for part-allocations are written down and signed off.

  4. Before you review

    Test with awkward ledgers

We run split payments, part-applied credits, edited invoices, repeat deliveries and dropped replies against copies of your own ledger.

  5. Handover day

    Launch with notes

The last step is release: a defined start, a review window and a PDF you can keep.

Chapter 08 Getting started

What we ask of you

Authorisation to reach the Xero objects in scope

Creator access to the Airtable base, or permission to create one

Your definition of DSO and of an overdue debtor

A person who decides how a part-allocation should be resolved

Chapter 09 Trust

Only approved ledger fields reach the base, and Xero stays the source of truth

You decide which Xero data may travel and where in Airtable it lands; the route cannot see or do more than that.

Read-only Xero to Airtable access: your data stays yoursAn organization ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Organization ledgerEvery invoice, onceREAD-ONLYBehind glass: yours to look at, never to change.

Read-first access to Xero

Accounting objects are read and the ledger is left alone, apart from a note on the record if you ask for one.

Scoped, revocable access

Permissions are written down, minimal and reversible.

Field allowlist

Only approved fields are written; bank details and private notes can be left out or masked.

Repair begins with a search

Every retry starts with a GUID lookup; uncertainty about a reply therefore cannot leave two records.

Minimal logging

Evidence of a run is kept as references, not as copies of data.

Full handover

The PDF names each rule, credential and owner so your admins are never guessing.

"I would rather a base say 'this credit is partly applied, and here is who owns it' than show a tidy total that turns out to be wrong."

Chapter 11 Questions

Xero to Airtable: questions finance teams ask first

We collected the questions that decide most purchases and answered them.

PriceTimeAccessHandover?Every question, answered
Where does a Xero to Airtable Zapier approach fall short?

If all you need is a list of invoices, perhaps. A zap will not tie a payment to each invoice it cleared, keep a part-applied credit visible or survive a lost reply without writing twice. This build handles all three, and tells you when a zap is enough.

Can you sync Xero invoices to Airtable as linked records?

Yes. Contacts, invoices, payments, credits and attachments become related records in separate tables, joined by Xero GUIDs rather than pasted names.

How is a Xero to Airtable setup kept from writing duplicates?

Each table stores the Xero GUID, and a retry searches by it before writing. Where the response is uncertain, the existing record is reconciled first.

Who decides which fields go where?

Yes. Before building we run the Xero Airtable field mapping service, which documents types, required fields and exclusions on both sides for your approval.

What about unusual cases in our process in the Xero to Airtable route?

Yes. Splitting by owner, stage or size gives you a custom Xero workflow for Airtable. It works like hiring a Xero Airtable integration consultant who also builds, from $430.

Is the route safe when the tools update on the Xero to Airtable route?

The handover lists every interface the route uses. If one changes, the affected item stops and is flagged instead of being written from a guess. Repairs after your review window are quoted separately. It is also the answer to xero airtable automation and xero contacts data airtable.
