BoldBellowsXero to email automation for debtor and cash digests

Xero to email automation that separates the finance digest from the customer statement and proves what was sent

Internal alerts and customer-facing statements have very different rules, and a single email rule treats them as one. BoldBellows connects Xero to email so scheduled aging windows and high-materiality payments produce an internal digest, approved statements go only to the recipients you named, the version sent is recorded, and a changed contact address stops a stale draft from going to the wrong person.

Chapter 01 the email problem

One email rule for every Xero event sends the wrong message to the wrong person

Finance email is not one thing. The weekly aging digest goes to the team, the statement goes to a customer, and a large payment may warrant an alert to neither. A single trigger blurs them, so internal numbers reach customers, statements repeat, and nobody can say which version a debtor actually received.

The customer insisted they had never received a statement, and all we had was a sent folder.

From a credit controller's notebook

Internal figures reached a customer

A rule meant for the finance team also fired on a customer record, and a summary of overdue totals was sent to the debtor.

The statement went out twice

A scheduled retry after a timeout repeated the send, and the customer received two statements an hour apart.

A draft used an old address

The contact's email changed after the draft was created, and the message went to the previous address.

Before

  • Copies contacts, invoices and payments into a message with no digest decision
  • Identifies each send by a recipient name or a row in a log
  • Sends once more whenever the provider's answer is slow

After

  • Filters for aging windows and material payments and records why each qualified
  • Builds internal summaries, approved statements and provider IDs under clear rules
  • Checks the contact at dispatch and hands an address change to a named person

Chapter 02 How it works

How a Xero event becomes an email that goes out exactly once

To sync Xero data to email safely, the route reads the ledger, builds the right message for the right audience, re-checks the recipient and then sends and records.

How Xero to Email automation works: invoices in, one clean email each, on a scheduleEmail of invoices from your Xero organization feed through the rollers of the sync we build, a letterpress that checks each one, and come out as neat emails in your email inbox.Your organizationINVOICES INTHE PRESSchecks each inboxINVOICE · NET#1046$128.00#1047$74.00#1048$56.25#1049$212.00READ-ONLYACCESSONE EMAILPER INVOICEYour Xero organizationThe sync we buildYour email inboxInvoices, accounts, balanceFixes edits, checks on a scheduleInvoices, revenue, reportsHow Xero to Email automation works: invoices in, one clean email each, on a schedule, stacked: your organization, the press, then your inbox.Your Xero organizationThe sync we buildYour email inbox#1046$128.00#1047$74.00#1048$56.25READ-ONLYACCESSONE EMAILPER INVOICE
Fig. 3. One digest key per period and purpose, claimed before a message is built and checked again at dispatch.

Read the accountable source state

The aging windows and payment facts in Xero are retrieved for the period, and anything incomplete or outside your rules is rejected before a draft exists.

Build the message

The digest key is claimed, the approved template for that audience is filled with only the fields allowed, and statements wait for approval if you require it.

Re-check, send and prove

The contact is read again at dispatch, the message is sent once, and the provider's ID and the template version are stored with the digest.

How Xero and Email actually behave

  • Message IDs as evidence: Sending through the Gmail API returns a message resource with an ID, so the route holds evidence that a request was made instead of assuming an email left.
  • Incremental reads: Xero's If-Modified-Since header keeps each read small, yet pages and overlapping windows still need care, or an invoice that is closing can be skipped.
  • Attachments: Xero attachments can be tied to invoices, credit notes and contacts, so a statement can carry exactly the supporting document you approved.

Chapter 03 What ships in the build

What your Xero email workflow contains, part by part

Foundation builds and sends the digest safely. Control branches by audience and watches for address changes. Assurance closes the loop with scheduled reconciliation and a drift watch.

Digest event filter

Reads only scheduled aging windows and high-materiality payments and records why each one qualified.

Foundation

Send identity claim

Stores the identity of every Xero record alongside what Email returned for it.

Foundation

Message structure mapper

Builds internal summaries, approved statements, attachments and provider IDs from email-native fields.

Foundation

Address-change guard

Re-reads the recipient at dispatch and rebuilds the draft if the contact address moved since it was created.

Control

Reconciliation checkpoint

Asks Xero where things stand before an uncertain send is replayed; doubt never becomes a second email.

Assurance

Contract drift register

Raises a flag when a template, field or permission changes, before customers receive something different.

Assurance

Set up Xero invoices email notification rules, a Xero auto reply email and Xero payment confirmation email, with a Xero email alert setup for the team and a Xero custom email response for customers. Xero contacts email trigger logic and every Xero notification email are scoped with you.

Chapter 04 Who this fits

For finance teams that email from Xero and need to show what went out

If a customer says they never received a statement, this lets you answer with evidence.

Finance manager

"Tell me the digest went out, and to whom."

Each digest has a key, a sent version and a message ID, so the answer is a lookup rather than a search of inboxes.

Advisory team

"No customer should ever get the same statement twice."

A retry finds the claimed key and stops, so a customer gets one statement, not two.

Executive assistant

"I want a short summary in my inbox, ready to act on."

The internal digest arrives as a readable summary with the period, the totals and the items that need a decision.

Systems administrator

"If an address changes at the last minute, the send must notice."

The address check rebuilds the draft and logs who approved the recipient, so the repair has an owner.

Chapter 05 The options

Sending from Xero by hand, by rule, or with a send ledger

Each option can get an email out. Only one can say which audience received which version.

Comparison table: Sending from Xero by hand, by rule, or with a send ledger
Question Sending each statement by hand A single Xero to email Zapier rule BoldBellows digest model
Internal and customer mail Mixed in one inbox One rule for both Separate digests, separate approval
A repeated send Depends on memory Sends again after a retry Stopped by the digest key
A changed address Noticed or not Uses the address it saw first Re-read at dispatch
Proof of the version A sent folder A run log Version and message ID stored
By handAutomated37 files · 12 errors1 inbox · 0 errors

The contact's address changes after the draft exists

Control reads the contact afresh at dispatch, compares it with the revision it claimed, and either rebuilds the draft for the current address or raises an owned exception.

The mail provider accepts the send, yet no confirmation comes back

Assurance finds the message by its digest key, notes the provider ID it already has, and holds every retry until that is done.

Before you connect Xero to email, fix the digest key: an auto email from Xero invoices is only as safe as its send key.

Build your Xero to Email price

Pick a package, answer three short questions about how Xero data should reach Email, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Xero to Email route.

A focused production route for one Xero organisation and one Email destination, delivering a debtor-and-cash digest that records exactly which message was sent with identity and failure controls from day one.

  • One authorized Xero account and one Email target
  • Primary event: scheduled aging windows and high-materiality payment events
  • Identity contract: tenant + digest period + recipient purpose
  • Destination result: internal summaries, approved statements, attachments, and provider IDs
  • Ordinary and duplicate-path acceptance tests
  • Focused administrator handoff for the named route

Adds branching, matching and a bounded historical pass for teams whose route into Email cannot be one straight-through action, while still delivering a debtor-and-cash digest that records exactly which message was sent.

  • Everything in Debtor Digest Foundation
  • Two business-rule branches specific to debtor digest
  • Controlled handling when the contact address changes between draft creation and dispatch
  • One bounded historical reconciliation pass
  • Exception ownership and repair states
  • Mapping and decision notes for future edits

Adds reconciliation and governance for teams that now depend on a debtor-and-cash digest that records exactly which message was sent, with drift detection and an exception register for Email.

  • Everything in Debtor Digest Control
  • Scheduled reconciliation against Xero current state
  • Drift detection for source and destination structure
  • Operational dashboard or evidence register
  • Volume and timeout protection
  • Thirty-day launch review with control findings

Needs spanning several legal entities, unsupported extensions, regulated retention, or a different operating model receive a custom quote with their own acceptance criteria. On the xero to email page, this control is accepted against a debtor-and-cash digest that separates internal finance alerts from customer-facing statements and records which version was sent.

Which Xero events should reach Email?Required

Lifecycle with reconciliation: Choose this when omissions must be detected after live delivery.

How should Email recognise a Xero record it has already handled?Required

Conflict quarantine: Use when ambiguous matches need human resolution before mutation.

What should happen when an Email write can't be confirmed?Required

Create operator case: Use when the contact address changes between draft creation and dispatch requires a named person to decide.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

From a message plan to a digest that sends itself, in five steps

On this Xero to Email route, we keep your involvement light: answer a short brief, grant scoped access, review the result and sign off.

  1. About 30 minutes

    Map who should receive what

We list the internal alerts, the customer statements and the rules for when each one is allowed.

  2. Access review

    Approve access

A short review of Xero and Email settles what can be read, what can be written and what is off limits.

  3. Most of the project

    Write the templates and approvals

Each template, its allowed fields, the recipient rules and the approval step are drafted and signed off.

  4. Before you review

    Test the awkward sends

Changed addresses, repeated schedules, large payments, missing contacts and dropped replies are run against test recipients.

  5. Handover day

    Launch with notes

We launch at a checkpoint, watch the first runs with you, and deliver the written handover.

Scoped, revocable access

The integration user or token carries only the rights the route requires.

Recipient allowlist

Messages reach only the recipient purposes you named, and internal totals can never appear in a customer template.

Repair begins with a search

Searching for the stored message comes before any resend, which rules out a second email.

Minimal logging

Log lines name the record and the result; they do not reproduce the record.

Chapter 11 Questions

What people ask before emailing from Xero, answered plainly

Before you commit, here is what buyers most often want confirmed.

?How long does it take?Asked most often3 to 5 daysSet date, no surprisesAnswers, straight away
Do you replace a Xero to Email Zapier zap or sit beside it?

For one plain message it could be. A zap will not keep internal figures away from customers, stop a retry sending twice or re-check an address that moved. Those are the gaps this build closes, and if a zap suffices we say so.

Can Xero payment confirmation emails be sent without duplicates?

Yes. Each confirmation claims a key built from the tenant, the period and the recipient purpose, so a retry finds the claim and does not send again.

How does a Xero email alert setup avoid sending to an old address?

The contact is read again just before dispatch. If the address changed since the draft, the draft is rebuilt for the current one and the old draft is voided.

Is field mapping included, or extra?

It comes with the fee. Our Xero Email field mapping service produces a short document that pairs each Xero field with its Email destination.

Can it follow how our team really works in the Xero to Email route?

Absolutely. We shape a custom Xero workflow for Email around your rules, acting as your Xero Email integration consultant. It begins at $295.

What if a permission or scope is withdrawn on the Xero to Email route?

We document each dependency. When a platform alters something, only the records touching it pause, and you are told which. Fixes beyond the review period are priced on their own. It is also the answer to xero email automation.
