BoldBellowsXero to Notion automation for the VAT/GST close book

Xero to Notion automation that assembles each tax period into a close book with its evidence and sign-offs

Closing a tax period means collecting totals, chasing unusual transactions, attaching the paperwork and recording who approved what, usually across tabs and email. BoldBellows connects Xero to Notion so each period becomes a linked review page, material exceptions become pages with evidence blocks and queries, reviewer decisions build a sign-off history, and a late credit note that changes a closed period reopens the right page instead of passing unnoticed.

Chapter 01 the close problem

A tax close run from tabs and email cannot show what was reviewed, or by whom

At period end someone exports totals, someone else chases the odd transactions, and the approval lives in a reply somewhere. Months later an adviser or an authority asks how a figure was reached, and the answer has to be reconstructed from several places.

The approved totals were no longer true, and the only record of the approval was a date.

A tax adviser, reviewing a late amendment

Evidence was scattered

The supplier invoice was in Xero, the query in email and the approval in a chat message, with nothing linking them.

A late credit note changed a closed period

A credit note dated inside the quarter arrived after the first review, and the approved totals were no longer true.

Nobody could see what was still open

Reviewers did not know which exceptions had been cleared, and two people checked the same item.

  • Copies period totals and transactions with no close decision
  • Identifies an item by a description and an amount
  • Overwrites a page whenever Notion's answer is unclear

Chapter 02 How it works

How a Xero period becomes a close book with its evidence attached

The route detects the checkpoint, builds the period page, links each exception with its paperwork and keeps the sign-off trail.

Read the accountable source state

The period totals and the transactions that trip your materiality rules are retrieved from Xero, and anything incomplete or out of scope is rejected before a page is made.

Build the review pages

A control key of tenant, tax period and item is claimed, the period page and its exception pages are written with properties that already exist in the database, and attachments are referenced in evidence blocks.

Record reviews and changes

Queries and sign-offs are kept on the page, and a late change to a reviewed period reopens it with an owner instead of rewriting it.

The Xero and Notion details that shape the design

  • Invoice detail in the Accounting API: Invoices come from the Accounting API with status, dates, line amounts, contacts and what has been paid or is due, which is what each exception page is built from.
  • Notion properties: Pages created inside a data source must use properties that already exist, so the database is designed before any page is written.
  • Xero history and notes: Xero history records are created automatically for many changes, while notes are the change type an integration can add deliberately, so the route never pretends to be the ledger.

Chapter 03 What ships in the build

Period to sign-off: what the Xero Notion close book is made of

Essentials builds period and exception pages. Workflow answers late changes and adds a bounded review of past periods. Control Room revisits each period on a schedule and guards the database.

Close checkpoint filter

Reads only tax-period checkpoints and material accounting exceptions, and records why each one qualified.

Essentials

Xero identity claim

Keeps a source key on each Notion item, which is how a later change finds the Xero record it belongs to.

Essentials

Review page mapper

Builds linked review pages, evidence blocks, queries and sign-off history using Notion-native properties.

Essentials

Late-change handler

Reopens a reviewed period when a late credit note or edit changes it, and names who must look again.

Workflow

Reconciliation checkpoint

A page with an unclear outcome is rechecked against current Xero data first, which stops the book recording a guess.

Control Room

Contract drift register

Finds a changed property, a renamed database or an altered Xero field before the close book breaks.

Control Room

Sync Xero invoices to Notion for the quarter close, run a Xero Notion database sync with Xero Notion page create rules for each exception, and keep Xero contacts data Notion views beside them. A Xero Notion CRM view, Xero Notion API integration and Xero Notion setup are scoped with your finance lead.

Chapter 04 Who this fits

For finance teams that run the VAT or GST close in Notion and keep the books in Xero

If you need to show how a period was closed, the record builds itself as you work.

Finance manager

"Show me what was checked at quarter end, and what was not."

Every period page records the checkpoint that created it and the exceptions it found.

Advisory team

"A closed period that later moves must say so."

A late credit note reopens the period and lists the pages that need another look.

Knowledge manager

"I want evidence and queries in one searchable place."

Periods, exceptions, evidence blocks and approvals are linked pages you can navigate and search.

Systems administrator

"When a late credit note lands, the right person should be told."

The reopened page names an owner and keeps the earlier sign-off visible for comparison.

Chapter 05 The options

Closing a period: pasted exports, a zap or a control record

Each option can put a number in Notion. Only one keeps the evidence, the queries and the approvals with it.

State changes during execution

Where a late credit note alters a reviewed period, Workflow amends the page it knows about, or opens an exception with an owner when the change is too large to apply safely.

Notion creates the page but the answer never comes back

The Control Room package searches tenant, tax period and control key, finds the page that exists and records its ID before a retry is allowed.

Connect Xero to Notion through a control key per period, so the same quarter can never produce two competing close books.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Xero to Notion route.

A focused production route for one Xero organisation and one Notion destination, delivering a linked VAT/GST close book with evidence, queries and sign-off history with identity and failure controls from day one.

  • One authorized Xero account and one Notion target
  • Primary event: tax-period checkpoints and material accounting exceptions
  • Identity contract: tenant + tax period + control key
  • Destination result: linked review pages, evidence blocks, queries, and sign-off history
  • Ordinary and duplicate-path acceptance tests
  • Focused administrator handoff for the named route

Adds branching, matching and a bounded historical pass for teams whose route into Notion cannot be one straight-through action, while still delivering a linked VAT/GST close book with evidence, queries and sign-off history.

  • Everything in Tax Close Book Essentials
  • Two business-rule branches specific to tax close book
  • Controlled handling when a late credit note changes a period after the first review
  • One bounded historical reconciliation pass
  • Exception ownership and repair states
  • Mapping and decision notes for future edits

Adds reconciliation and governance for teams that now depend on a linked VAT/GST close book with evidence, queries and sign-off history, with drift detection and an exception register for Notion.

  • Everything in Tax Close Book Workflow
  • Scheduled reconciliation against Xero current state
  • Drift detection for source and destination structure
  • Operational dashboard or evidence register
  • Volume and timeout protection
  • Thirty-day launch review with control findings

Needs spanning several legal entities, unsupported extensions, regulated retention, or a different operating model receive a custom quote with their own acceptance criteria. On the xero to notion page, this control is accepted against a VAT/GST close book that assembles period totals, unusual transactions, attachments, notes, and reviewer decisions into a navigable control record.

Which Xero events should reach Notion?Required

Lifecycle with reconciliation: Choose this when omissions must be detected after live delivery.

How should Notion recognise a Xero record it has already handled?Required

Conflict quarantine: Use when ambiguous matches need human resolution before mutation.

What should happen when a Notion write can't be confirmed?Required

Create operator case: Use when a late credit note changes a period after the first review requires a named person to decide.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Chapter 06 The process

Five steps from last quarter's close to a book that builds itself

For Xero to Notion, here is the path from first message to a running route, with the few moments where we need you.

  1. About 30 minutes

    Show us last quarter's close

We read how the period was closed, which transactions were reviewed and where the evidence was kept.

  2. Access review

    Approve access

Scoped connections to Xero and Notion are made, and the key that will tie the two together is agreed.

  3. Most of the project

Design the book and the rules

The database properties, the materiality rules, the evidence blocks and the sign-off flow are written down and agreed.

  4. Before you review

    Test with a messy period

A copy of a real quarter is put through late credit notes, edited invoices, missing attachments, repeats and dropped replies.

  5. Handover day

    Launch with notes

Launch day includes the switch-on, a first-run check and the PDF for whoever supports it next.

Chapter 07 Turnaround

From approved access to live: the timings

With Xero to Notion in place, your delivery range begins once the brief and access are complete.

Chapter 09 Trust

Only approved period data reaches Notion, and Xero remains the record

In the Xero to Notion route, the design principle is least privilege: enough access to do the job, documented, and easy to revoke.

Read-only Xero to Notion access: your data stays yoursA brass keyhole plate with a key turning in it and a key ring of tags for you, your team and your accountant, marked named people only and read-only.YouTeamAccountantNAMED PEOPLE ONLY · READ-ONLY

Read-only access to Xero

Period data flows out of Xero only, leaving the ledger as it was.

Scoped, revocable access

Every credential has an owner, a scope and an off switch.

Field and page allowlist

Only the fields and pages you approve are written, and sensitive contact or bank details can be excluded.

Repair begins with a search

Retries begin by finding the stored page, which prevents a second close book for the same period.

Minimal logging

We keep proof that a step happened without keeping what it carried.

Full handover

The field map, credential inventory and recovery notes are yours to keep.

"A close that cannot be retraced is just a set of numbers, so the evidence and the approvals are built into the page from the first checkpoint."

Chapter 11 Questions

Closing the quarter with Xero and Notion: your questions answered

The questions that come up most while buyers compare options, answered once.

Is access read-only?Who owns the result? What happens after handover? Can it be changed later?Open any question
Why not stay with a Xero to Notion Zapier setup?

If a row per invoice is all you want, a zap could do. It will not assemble a period page, link the evidence or reopen a period after a late credit note. The build does all of this; if your needs are smaller we will say so.

Can you sync Xero invoices to Notion as a close book?

Yes. Each tax period becomes a linked review page, material exceptions become pages with evidence blocks, and reviewer queries and sign-offs are kept on them.

What happens when a late credit note changes a reviewed period?

The period is reopened with a named owner, the earlier sign-off stays visible for comparison, and the pages that need another look are listed.

Is mapping part of the fixed price on the Xero to Notion route?

Yes. Field types, formats and exclusions are settled up front through the Xero Notion field mapping service, then tested on real records.

Can we tailor what moves to Notion on the Xero to Notion route?

Yes. Rule-based routing produces a custom Xero workflow for Notion. The price starts at $415 and includes a Xero Notion integration consultant's guidance.

Does the route fail safely?

Changes are expected, so the route fails safe: the affected record waits and is flagged. Anything needed after the review window is quoted separately. Related searches this service covers include xero notion automation, xero notion workflow and sync xero data to notion.

Give Notion a tax period you can walk an auditor through
