BoldBellowsXero to Salesforce automation for multi-currency receivables

Xero to Salesforce automation that gives account teams the receivable, in its own currency, on the right account

An account team that sells in three currencies cannot work from a total that has been converted and forgotten. BoldBellows connects Xero to Salesforce so each approved contact, invoice, credit and payment upserts on the tenant ID plus Xero GUID held as a Salesforce external ID, source currency and base totals both stay on the receivable, account associations are made deliberately, and a Salesforce currency rule that disagrees with the Xero document goes to a conflict review.

Chapter 01 the currency problem

Receivables copied into Salesforce lose their currency and then their meaning

An invoice in euros for an Australian-base company is two numbers: what the customer owes and what the books record. Copy only one and the account team quotes the wrong figure; copy both as text and no report can add them. Retries then make things worse by creating the same receivable twice.

A rep quoted the converted figure, and the customer's invoice said something else.

From an account director's handover notes

The account team quoted the wrong total

The record showed the converted amount only, and a rep told a customer a figure that did not match their invoice.

The same invoice existed twice

A retry after a timeout created a second receivable, and the account's balance was overstated until someone noticed.

A currency rule overruled the invoice

Salesforce applied its own currency setting to a Xero document issued in another, and the amount changed silently.

Before

  • Copies contacts, invoices, credits and payments with no currency decision
  • Matches by a name or an invoice number
  • Creates the record a second time if Salesforce is slow to reply

After

  • Filters for approved contact, invoice, credit and payment visibility events
  • Produces account associations, receivable objects, currency fields and conflict review
  • Returns to Xero before a currency mismatch is left without an owner

Chapter 02 How it works

How a Xero document becomes a Salesforce receivable in two currencies

The route builds the external ID, resolves the account, writes both currencies and stops on any conflict.

Read the accountable source state

The Xero contact, invoice, credit or payment is retrieved with its currency details, and anything outside your approved visibility events is rejected.

Upsert on the external ID

The tenant ID plus Xero GUID is used as the Salesforce external ID, the account is resolved by ContactID, and the source currency and base total are written together.

Prove the result

Salesforce IDs are stored, any doubtful answer is settled by lookup, and a currency rule mismatch opens a conflict review.

Why the Xero to Salesforce route is built this way

  • Salesforce upserts: Salesforce REST resources support upserts against an external ID field, which is how a repeated delivery becomes an update instead of a duplicate.
  • Currency details in the Accounting API: Currency details travel with each invoice from the Accounting API, alongside amounts paid and due, so the source currency and the base total can both be kept.
  • ContactID as identity: Matching an account relies on the ContactID that Xero assigns each contact, because a name can be shared or changed.

Chapter 03 What ships in the build

Account to conflict review: how the Xero Salesforce build is put together

Start upserts on the external ID and stores both currencies. Scale resolves currency-rule differences and revisits history once. Oversight reconciles on a timetable.

Receivable visibility filter

Reads only the approved contact, invoice, credit and payment visibility events and records why each one qualified.

Start

Xero identity claim

Holds the record ID and modified time for each Xero change, so a repeat is recognised rather than re-created.

Start

Salesforce structure mapper

Builds account associations, receivable objects, currency fields and a conflict review using Salesforce-native objects.

Start

Currency rule resolver

Detects when a Salesforce currency setting differs from the Xero document and opens a case instead of converting silently.

Scale

Reconciliation checkpoint

Xero's present state is consulted before an unclear write is repeated, so no receivable appears on a hunch.

Oversight

Contract drift register

Reports a changed field, currency setting or scope before account teams see different figures.

Oversight

Sync Xero contacts to Salesforce, add a Xero Salesforce invoice sync with Xero Salesforce account mapping, and show the Xero Salesforce opportunity picture beside the receivable. Xero Salesforce CRM sync, Xero Salesforce API integration and Xero Salesforce setup are scoped with your Salesforce administrator.

Chapter 04 Who this fits

For finance and CRM teams who share customers across Xero and Salesforce

If account teams quote balances, they should quote the ones in the books.

Finance manager

"Tell me whether a payment event reached the right account."

Every event is logged against the external ID with the Salesforce record it updated.

Advisory team

"The account view must match what finance sees."

A nightly reconciliation places Salesforce beside Xero and lists what differs, oldest first.

CRM architect

"I want currency fields I can report on properly."

Receivable objects attach to accounts with currency fields that reports can sum or convert as you choose.

Systems administrator

"If a currency rule disagrees with an invoice, raise it, do not overwrite it."

The mismatch opens a conflict review with an owner and both figures attached.

Chapter 05 The options

Xero receivables in Salesforce: an app, a zap or a keyed view

Each option can create a record. Only one keeps the currency, the key and the account together.

State changes during execution

When a Salesforce currency rule disagrees with the Xero document, Scale applies your rule to the known record or opens a conflict review with both figures attached.

Salesforce commits the write but the confirmation is missing

Oversight queries the external ID, finds the record in place and stores its Salesforce ID; another attempt is allowed only after that.

Connect Xero to Salesforce on the external ID from the start, since every account association and currency field rests on it.

Build your Xero to Salesforce price

Pick a package, answer three short questions about how Xero data should reach Salesforce, and your price and turnaround move as you choose.

Choose your packageRequired

The three packages differ by how much routing, reconciliation and governance sits around the Xero to Salesforce route.

A focused production route for one Xero organisation and one Salesforce destination, delivering a multi-currency receivables view in Salesforce that upserts on the Xero GUID with identity and failure controls from day one.

  • One authorized Xero account and one Salesforce target
  • Primary event: approved contact, invoice, credit, and payment visibility events
  • Identity contract: tenant ID plus Xero GUID as Salesforce external ID
  • Destination result: account associations, receivable objects, currency fields, and conflict review
  • Ordinary and duplicate-path acceptance tests
  • Focused administrator handoff for the named route

Adds branching, matching and a bounded historical pass for teams whose route into Salesforce cannot be one straight-through action, while still delivering a multi-currency receivables view in Salesforce that upserts on the Xero GUID.

  • Everything in Currency Account View Start
  • Two business-rule branches specific to currency account view
  • Controlled handling when a Salesforce currency rule differs from the Xero document currency
  • One bounded historical reconciliation pass
  • Exception ownership and repair states
  • Mapping and decision notes for future edits

Adds reconciliation and governance for teams that now depend on a multi-currency receivables view in Salesforce that upserts on the Xero GUID, with drift detection and an exception register for Salesforce.

  • Everything in Currency Account View Scale
  • Scheduled reconciliation against Xero current state
  • Drift detection for source and destination structure
  • Operational dashboard or evidence register
  • Volume and timeout protection
  • Thirty-day launch review with control findings

Needs spanning several legal entities, unsupported extensions, regulated retention, or a different operating model receive a custom quote with their own acceptance criteria. On the xero to salesforce page, this control is accepted against a multi-currency receivables view that upserts by Xero GUID and preserves source currency, base totals, and payment state for account teams.

Which Xero events should reach Salesforce?Required

Lifecycle with reconciliation: Choose this when omissions must be detected after live delivery.

How should Salesforce recognise a Xero record it has already handled?Required

Conflict quarantine: Use when ambiguous matches need human resolution before mutation.

What should happen when a Salesforce write can't be confirmed?Required

Create operator case: Use when a Salesforce currency rule differs from the Xero document currency requires a named person to decide.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your rollout needs, watch the total, switch it back off.

Chapter 06 The process

Five steps from a currency audit to a live receivable view

With Xero to Salesforce in place, each stage has a clear output, so you always know what has been agreed and what happens next.

  1. About 30 minutes

Audit how you bill in currency

We read the currencies you invoice in, how Salesforce handles them and what account teams need to see.

  2. Access review

    Approve access

The Xero and Salesforce connections are configured with the narrowest permissions that work.

  3. Most of the project

Agree the object and the rules

The receivable object, the external ID field, the currency fields and the conflict rules are written down and signed off.

  4. Before you review

    Test with multi-currency documents

A sandbox receives foreign-currency invoices, credits, part payments, repeats and lost replies.

  5. Handover day

    Launch with notes

The live route starts from a fixed boundary, followed by a handover PDF for your administrators.

Chapter 08 Getting started

Getting started: what you provide

The go-ahead to connect to Xero with limited scope

Administrator access to Salesforce, ideally including a sandbox

Your list of active currencies and the base currency of each tenant

The person who decides how a currency mismatch is resolved

Chapter 09 Trust

Only approved receivable data reaches Salesforce, and Xero is untouched

The route reads what you approve in Xero and writes only where you point it in Salesforce.

Read-only Xero to Salesforce access: your data stays yoursAn organization ledger under a glass cloche with a read-only tag hanging from the knob, meaning it can be looked at but never changed.Organization ledgerEvery invoice, onceREAD-ONLYBehind glass: yours to look at, never to change.

Read-only access to Xero

Documents are read from Xero; the route has no permission to alter them.

Scoped, revocable access

Access ends the moment you disconnect, with no lingering copies.

Field-level permissions respected

The integration user holds only the object and field access it needs, and bank details never leave Xero.

Repair begins with a search

A lookup by external ID precedes every retry, which keeps a shaky reply from making a twin.

Minimal logging

History is kept as outcomes and references, so a leak would reveal little.

Full handover

Nothing is rented back: the configuration and the notes transfer to you.

"A receivable is only useful to an account team if it shows the number the customer sees, so both currencies are stored and neither is discarded."

Chapter 11 Questions

Xero, Salesforce and multiple currencies: questions answered

Answers from real scoping conversations, so you can decide faster.

PriceTimeAccessHandover?Every question, answered
How is this different from a Xero to Salesforce Zapier workflow?

To create a record, perhaps. A zap will not upsert on a stable external ID, keep the source currency beside the base total or stop on a currency conflict. Each of these is in the build, and we will point you to a simpler option if one exists.

Can you sync Xero contacts to Salesforce on a stable key?

Yes. The tenant ID plus Xero GUID is held as a Salesforce external ID, so every delivery is an upsert and a repeat updates the record it already made.

How does a multi-currency Xero invoice appear in Salesforce?

The receivable stores the document's source currency and the base total together, with payment state, so account teams see what the customer owes and what the books record.

Who signs off the mapping?

Think of it as a Xero Salesforce field mapping service with the results on paper.

Can different records take different paths?

Yes. You describe the logic, we build a custom Xero workflow for Salesforce, and we advise as a Xero Salesforce integration consultant along the way. From $595.

What if the interfaces change after launch on the Xero to Salesforce route?

Nothing is silently patched. A platform change surfaces as a paused step with a clear reason, and remediation after your review window is quoted apart. Related searches this service covers include xero salesforce automation, xero salesforce workflow and xero contacts salesforce.
