BigCommerce to Airtable, orders and customers linked in one relational base

We connect BigCommerce to Airtable for you, so every order lands as a record linked to its customer, every customer rolls up their own lifetime spend, and every storefront channel stays filterable in its own view. No flat spreadsheet pretending to be a database.

01The flat-sheet problem

A spreadsheet export isn't a database, no matter how many tabs it has

Most BigCommerce-to-Airtable setups just dump orders into one giant table. Nothing links back to the customer who placed them, so every question needs a manual filter.

"Every order sits in one flat table."

A customer's name is typed fresh onto every row, so ten orders from the same buyer look like ten unrelated strangers.

"Lifetime spend means opening a filter."

Nothing rolls up automatically, so answering "how much has this customer spent" means filtering and adding by hand, every time.

"Retail and wholesale share one table."

With no channel field, a one-off retail sale and a repeat wholesale order look identical in every view you build.

The real cost is not the missing link. It is a base that answers "what happened" but never "who does this belong to."

Same BigCommerce store, same Airtable workspace. What changes is whether records actually connect to each other.

02How it works

How our BigCommerce Airtable integration works

Four parts make up the BigCommerce-to-Airtable sync, and we build every one of them. No code, no Zapier, no workflow editor for you to learn.

STEP 1Your store Orders, customers, products, stock STEP 2The sync Shapes records and linksthem by customer and order STEP 3Your Airtable Linked tables, keptcurrent and rolled up STEP 4Your team Filters, links and viewswithout a single formula
Data flows in a single direction, out of BigCommerce and into Airtable, with nothing ever written back to the store.

What's actually happening behind the scenes

  • Thin webhooks, real reads. All a BigCommerce webhook hands over is an id. Before a row writes or links to anything, the sync fetches that record's full detail straight from the API.
  • No rolling window. There's no 60-day ceiling on BigCommerce's order history, so a backfill can go back as far as your store's oldest surviving record.
  • Matched, not duplicated. A returning customer is matched to their existing record by email, so a fifth order links to the same row as the first, never a new one.

03What syncs into Airtable

Every record built to be linked, not just listed

Never a raw order dump. Each record links to the ones it belongs with, and rolls up the numbers that matter. Record Sync covers orders; Linked Database adds customers and products; Automation Hub adds stock, shipments and triggered automations.

04Who it helps

Built for BigCommerce sellers who think in tables, not tabs

Direct, wholesale, or a mix of both, your team gets a base where every record connects to the ones it belongs with.

Operations managers

A base that answers "who ordered this" and "what have they spent" without a single manual filter.

Wholesale and B2B teams

Company price lists linked alongside standard retail orders, in tables that stay apart on purpose.

Warehouse and fulfilment leads

A Kanban view grouped by order status, and a low-stock view that flags itself.

Founders and owners

One base to check any number from, across every storefront channel, without asking someone to pull a report.

05The options

Manual export, Zapier, or a base built for you

Each way can get orders into Airtable. The difference shows once you add a second storefront channel, a returning customer, or a rollup someone actually relies on.

Four ways to move BigCommerce orders into Airtable: hand-exported CSVs, Zapier or Make, an off-the-shelf connector, or a build made for this

No native BigCommerce connector

There's simply no built-in link between the two, which is why a Zapier patch or a manual CSV export becomes the default. We build the real connection instead. Need spreadsheet-style reporting too? Our BigCommerce to Google Sheets automation covers that ground.

Linked records are the hard part

A generic connector's default move is a fresh row per order, which means a returning customer looks new every single time. Matching and linking properly is the part we actually build. Also chasing a sales pipeline? Our BigCommerce to HubSpot automation handles that.

Orders sync into a clean Airtable table, deduplicated and always current.

  • Orders synced from BigCommerce into one Airtable table
  • Order status, totals and channel broken into their own fields
  • De-duplication on order id, so a retried webhook never doubles a record
  • A scheduled re-check on real cron that catches anything a webhook missed
  • Your own read-only BigCommerce API account, never a shared public app
  • Premium handover notes (PDF) covering every field and sync rule
  • Two rounds of changes once you see real records land

Orders, customers and products linked together as a real relational base.

  • Everything in the Record Sync package
  • Customer and product tables linked to their orders

  • Full order history brought in from day one, not just recent orders
  • Rollup fields for lifetime spend and order count per customer
  • Premium handover notes (PDF) covering the full base structure
  • Three rounds of changes once it is running

Airtable automations triggered by real store events, stock and shipments included.

  • Everything in the Linked Database package
  • Live stock and variant-level inventory on its own linked table
  • Shipments and refunds linked back to their order record
  • Airtable automations triggered by new records or field changes
  • Multiple BigCommerce stores feeding one base if needed
  • Batched, rate-limit-safe syncing that never chokes on a busy sale day
  • Premium handover notes (PDF) covering every table, link and automation
  • Four rounds of changes once it is running

Several BigCommerce stores feeding one base, a B2B Edition price list table, or a base structure none of the packages above name. Tell us how you want the data organised and we will price it for your build.

Which BigCommerce data should reach Airtable?Required

The more resources you switch on, the more of the V2/V3 API surface we read and shape into records.

How should the base be organised?Required

A Multi-Storefront setup can report everything together or keep each channel filterable on its own.

How often should the base refresh?Required

BigCommerce webhooks arrive thin, so every refresh calls back into the API for the full record before it writes a row.

How soon do you need it live?Required

Standard follows the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each one begins switched off. Turn on what your base needs, watch the total, switch it back off.

06The process

From your table names to a linked base, in six steps

Record Sync runs about 6 to 9 working days, Linked Database about 9 to 13, and Automation Hub about 13 to 17. Want it faster? The pricing tool below lets you bump the turnaround up as you build your quote.

Your handover notes Every table, field and link How each rollup is calculated Adding a view yourself If a sync ever stops Plain English, no jargon PDF Premium handover notes A PDF to keep and share with your team Sync health Last run 09:00 · all OK Daily checks · alert if a record stops syncing
  1. Sketch the base on paper first

Which tables, which links between them, which channels need their own lane, all before anything gets built.

  2. A key changes hands, a base gets shared

Your scoped BigCommerce credential meets our access to the Airtable base, walked through together with screenshots at every step.

  3. Tables, links and rollups come together

Every order and customer field gets mapped as the structure from step one takes real shape.

  4. We try to trip it up before you can

A new order, a repeat buyer, a stock swing: each one gets fired at test data and traced into the table it should land on.

  5. Real orders, watched closely

The base runs live for several days under your eye, with a package-based number of tuning rounds for fields and links.

  6. A guide, then quiet running

A PDF spells out every table, field and link we built. From there, the base stays current without anyone watching it.

A key, a base and a rough sketch — that covers your side

  • A BigCommerce credential you generate, scoped in Store Setup to read Orders, Customers and Products and nothing beyond that.
  • Room in your Airtable workspace to add tables and talk through the structure together.
  • A rough table map, even a messy one, covering what you want tracked, linked and totalled.

07Security and ownership

A store connection built to read, never to touch

Your customer records deserve to be handled carefully. We ask for exactly what the sync needs and nothing sits outside your own Airtable workspace.

Scoped down to reading

Editing a product, changing a price, touching an order: none of it is possible through this credential.

Names, at whatever depth you want

Full, first-name-only, or dropped entirely from a record, that display choice is always yours.

Set up on your store only

This isn't a shared integration used across other merchants. It's yours alone, with its own quota.

We're a conduit, not a vault

Every record flows through and lands in Airtable. None of it stays behind on our infrastructure.

Runs leave a timestamp behind

Any mismatch you spot can be traced back to the specific run that caused it.

Nothing rented, ever

The finished base, links and rollups are yours outright. Pull the credential whenever you like.

09FAQ

What people want cleared up before starting

A running list from prior builds. Whatever isn't covered here, drop into your quote request and we'll answer it there.

Where does the actual work go into this?

Almost entirely into the base design. The API link takes minutes; designing tables, linked-record fields and rollups that actually hold up under real order volume is where the real time goes, tested before you see any of it.

What keeps a repeat customer from cluttering the base with duplicates?

Email matching happens before a record ever gets written. Order number five links to the exact same customer row as order number one, and the rollup simply reflects the new total.

Is this limited to orders placed after we go live?

Not at all. BigCommerce's Orders API has no rolling-window restriction, which means a backfill can reach back to your very first sale, brought in through batches sized to protect your API quota.

We tried Zapier before and records never linked properly. What went wrong?

Zapier's built-in Airtable actions create rows, but stop short of matching one against an existing record and linking them. That lookup-and-link step is exactly what we build on top.

Multi-Storefront means several channels feeding one BigCommerce account. Does Airtable notice the difference?

It does, since the channel id travels with every order. From there it's your call: a tag on each record, a dedicated saved view, or entirely separate linked tables per storefront.

Our B2B Edition has its own price lists. Can those live here too?

Yes, there's a named extra for exactly that. Company account price lists sync into a linked table sitting right next to your standard retail orders.

Suppose BigCommerce or Airtable pushes a breaking API update?

The sync health log catches it the same day it happens. With the optional aftercare add-on, we patch whatever the change broke for 90 days past handover, no extra invoice.

Once this is live, does the meter keep running?

Just the single build fee. The base sits inside your own Airtable workspace, the credential sits on your own store, and there's no subscription tacked onto either.

Next stepA base that links itself together

Turn your order history into a base worth trusting from the start

Get a price in a few clicks, or describe several stores, an unusual table structure, or a base shape the three packages don't cover. Either way, you walk away owning a bigcommerce airtable integration built to extend itself. This page also answers searches for sync bigcommerce orders to airtable, bigcommerce airtable database sync and bigcommerce to airtable zapier.
