BoldBellowsDone-for-you Shopify order workflows

Shopify to Asana, set up for you so every order becomes a task your team can finish

We connect Shopify to Asana and turn each order into a task in a project, dropped into the right section with the order details, an owner and a due date. Turning shopify orders to asana task cards this way means nothing sits unseen in an inbox, and the whole team can see what is picked, packed and shipped. No copy-pasting, and no monthly fee to us.

01The lost-order problem

Orders arrive, but the work behind them has no home

An order notification only says money landed. It says nothing about who owns the packing, what stage the job is at, or whether it is running late, and that part usually lives in one person's head. Sound familiar?

"Orders live in the order email, and nowhere else."

A confirmation lands in a shared inbox, someone maybe reads it, and the actual job of fulfilling it never becomes a thing anyone owns.

"Nobody is sure whose order this is."

Two people pack the same order, or none do, because there is no owner, no due date and no board that shows what is still open.

"A refund comes in and the task just stays open."

The order changes in Shopify, but the job carries on as if nothing happened, so the team packs something that has already been cancelled.

The cost is not the order that got missed. It is the trust you lose when a customer chases you and no one on the team even knew the order was theirs to run.

Same store, same team. The difference is whether an order becomes a piece of work someone owns, or stays a line in an inbox.

02How it works

How the Shopify to Asana build turns orders into tasks

One direction, four parts. We read new orders from Shopify, build each into a task, place it in your project with an owner and a due date, and let your team run it to Done. You touch no code and no automation tool.

Re-checks on a schedule STEP 1Your store New orders, edits, refunds, cancellations STEP 2The sync Builds each order intoa task, then checks it STEP 3Your project Right section, ownerand due date set STEP 4Your team Picks, packs, ships, moves it to Done STEP 1Your store Orders, edits, refunds STEP 2The sync Order becomes a task STEP 3Your project Section, owner, due date STEP 4Your team Runs it to Done Re-checks on a schedule
Work only travels one way: out of Shopify and into your project. We never write anything back to your store.

The plumbing behind a clean shopify asana project sync, in plain English

  • Older orders. Shopify hands apps only the last 60 days of orders unless it approves wider access. We request that approval, so orders already open when we connect are not left behind.
  • One task per order. The sync matches each task to its order id, so an edited order updates its own task rather than creating a second one. That is the difference between a real shopify asana workflow and a pile of duplicates.
  • Missed events. Shopify's "an order changed" messages sometimes go astray. A scheduled re-check compares the store against the board, so a dropped notification never leaves a task out of step.

03What you get

Inside the task we build in Asana for every order

The moment an order is paid, the shopify asana task create step runs and a card appears. Task Board starts with a task per order and the sections you already use. Team Workflow adds owners, due dates and a subtask per item. Ops Control adds routing across projects, custom fields and return tasks.

A task per order Task Board

One task the moment an order is paid, titled by order number, with items, total and customer written in and a link back to Shopify.

Sections by stage Task Board

The task drops into the section that matches your flow, whether that is New, Picking, Packed and Shipped, or whatever you call your stages.

An owner, set by rule Team Workflow

Each task is assigned to the right person by turn, product or channel, so an order is never sitting there waiting for someone to claim it.

A due date Team Workflow

Set from the order date or your ship-by promise, so a late order shows up on the calendar before the customer has to ask about it.

A subtask per item Team Workflow

Every product in the order becomes its own subtask, so a packer ticks each one off and a multi-item order is never sent half full.

Custom fields Ops Control

Value, priority, SKU and ship-by written into fields you can sort and filter, so the urgent and the high-value rise to the top of the board.

Return tasks Ops Control

A refund, return or cancellation raises its own follow-up task, so the work of putting it right lands on the board instead of getting lost.

Routing across projects Ops Control

Orders sorted into separate projects by product line, sales channel or fulfilling location, so each team sees only the work that is theirs.

FULFILMENT · THIS WEEK New6 Packing4 Ready to ship3 Overdue1 Tasks done by day Shipped on time 96% Oldest open2 days AssignedAll
Because every order is a task, shopify asana tracking is just your project view: what is open, what is overdue and what shipped, without anyone building a report by hand.

04Who it's for

Built for the team that runs the work in Asana

If your orders need packing, making or fulfilling by more than one person, and you already plan your work in Asana, this is for you: growing brands, small studios, and teams juggling more than one channel.

Fulfilment and ops teams

Every order on one board with an owner and a due date, so nothing is packed twice and nothing is forgotten in an inbox.

Makers and studios

Custom-build and made-to-order jobs captured as tasks with a step for each stage, so a bespoke order gets the same care as a stock one.

Founders wearing every hat

See the whole order pipeline at a glance without asking anyone for an update, and hand it off cleanly the day you hire.

Multi-channel sellers

Orders from more than one store or channel routed into the right project, so a wholesale run and a retail order do not tangle.

05Compare

Getting Shopify to Asana: four routes compared

Each option can put an order in front of your team somehow. The difference shows once the order is edited, once it needs an owner and a due date, and once you count the monthly bill.

Why not just a shopify to asana zapier task?

A single Zap moves one event at a time. It cannot tell an edited order from a new one, so refunds and changes tend to raise duplicate tasks, and it bills per task, so the cost climbs as you sell more. Fine for a nudge, not for a workflow your team runs on all day.

Choose your packageRequired

The three packages differ by how much of the fulfilment workflow we wire up, from a simple task board to routing across several projects.

Every paid order lands as a task in one Asana project, sorted into the right section.

  • A task created in Asana for each new paid Shopify order
  • Order number, items, total and customer name written into the task
  • One project with the sections your fulfilment stages already use
  • A link back to the order in Shopify inside every task
  • A scheduled re-check so a missed order still shows up
  • Premium handover notes (PDF) that walk through the project and every field
  • Two rounds of changes once you have run a week of orders through it

Tasks that assign themselves, carry a due date, and break down into a step per line item.

  • Everything in the Task Board package
  • Tasks assigned by rule, so the right person picks up each order
  • A due date set from the order date or your ship-by promise
  • A subtask for each product in the order, ticked off as it is picked
  • Board and list views tuned to how your team moves work along
  • An order edit updates its task instead of raising a duplicate
  • Premium handover notes (PDF) covering the assignment and due-date rules
  • Three rounds of changes once you see it running on real orders

Orders routed across projects, with custom fields, return tasks and studio intake.

  • Everything in the Team Workflow package
  • Orders routed to different projects by product line, channel or warehouse
  • Custom fields for value, priority, SKU and ship-by, filled from the order
  • A follow-up task raised when an order is refunded, returned or cancelled
  • Custom-build, made-to-order and wholesale requests captured as their own tasks
  • Asana Rules set up to move and flag tasks as their status changes
  • Premium handover notes (PDF) covering every project, field and rule
  • Four rounds of changes once it is live across your team

Several stores into one Asana organisation, a portfolio of projects, an approval step before fulfilment, or a routing map none of the packages above describe. Tell us how your team runs orders and we will price it.

Which orders should become Asana tasks?Required

This sets what triggers a task. Most teams start with paid orders and add the rest later.

How should the project be organised?Required

Sections are the columns your work moves through. We name them after your real stages.

How should tasks be assigned and dated?Required

This decides who picks up an order and by when, the moment its task appears.

How many past orders should we bring in?Required

Shopify hands apps only the last 60 days of orders unless we request wider access, which takes an extra approval step.

How soon do you need it?Required

Standard runs to the schedule your other choices set. Pay to move up the queue and go live sooner.

Optional extrasOptional

Each of these is off to start with. Turn on what fits your team, watch the total move, turn it back off if it does not.

06The process

How we go from your workflow notes to a live order project, in six steps

Task Board runs about 4 to 7 working days, Team Workflow about 7 to 11, and Ops Control about 11 to 17. Want it running sooner? Pick a quicker delivery slot when you build your price below.

  1. Map your stages

In writing, walk us through the stages an order passes through, who handles each one, and the point at which you count a job as late.

  2. You give access

You add a read-only Shopify connection and invite us to the Asana project. We send written steps with pictures, and it is a quick job either way.

  3. We build it

We set up the project, the sections, the assignment and due-date rules, and the fields, then map how an order fills each part of a task.

  4. We fire every trigger

New order, edit, refund and cancellation are each fired against test data and watched into the board, so a real order behaves the way you expect.

  5. You run it live

Your team works real orders for a few days. We adjust sections, owners and wording over two, three or four rounds, depending on your package.

  6. Handover

Your handover lands as a premium PDF that documents each project, every rule and each field we set up. From there, the board keeps filling on its own as orders arrive.

What we need from you: a short brief and two invites

  • Shopify admin access. Enough to add a read-only connection, or a staff invite if you would rather.
  • An Asana project. A new one we set up, or a project you already use. It stays in your account throughout.
  • Your stages and rules, or a quick note on how orders move, who packs them and what counts as late.

07Security and ownership

We only read your store, and the Asana project belongs to you

Order data and customer contact details deserve care. We ask for the least access that gets the job done, keep personal details off the task unless you want them there, and everything we build sits in your own Asana from day one.

Shopify access is view-only

The connection can look at orders and refunds and nothing more. It cannot edit an order, change a product or alter a price in your store.

Customer details, your call

Names and emails can be left off the task or shortened, so a packer sees what to ship without holding personal data on the board.

Only the people you invite

Tasks are visible to the project members you choose. Nobody outside your team can open the board or the orders on it.

A shopify asana notification, if you want one

An optional message can post to Slack or email the moment a task is created or falls overdue, so the team hears about it wherever they already work.

Nothing kept on our side

The sync passes an order into your project and moves on. We hold no copy of your orders or your board on our own servers.

Yours to keep, no monthly fee

The project, the rules and the fields all live in your Asana. Switch off the Shopify connection any time and the board is still entirely yours.

09FAQ

Shopify to Asana questions, answered

Questions operations and fulfilment leads raise before their first order runs through the board. Anything not covered here, add it to your quote request and we will answer it.

Do you build the whole workflow, or just connect the two apps?

We build the workflow. Connecting the apps is the small part. We set up the project, the sections, the assignment and due-date rules, the subtasks and any custom fields, then test it on real orders. You end up with a running system, not a raw feed of cards.

What ends up written into each task?

The order number in the title, the items, quantities and total, the customer name and a link straight back to the order in Shopify. On the higher packages the shopify asana task create step also fills custom fields for value, priority and ship-by, and adds a subtask for each product.

If an order is edited or refunded, does the task keep up?

Yes. Each task is matched to its order, so an edit updates the same task rather than adding a second one. A refund or cancellation flags the task, and on Ops Control it raises a separate follow-up so the return is handled and never quietly dropped.

Can we get a message when a task appears or runs late?

Yes. A shopify asana notification can post to a Slack channel or an email inbox when a task is created or misses its due date. If Slack is where your team actually lives, our Shopify to Slack automation can carry that side, and we join the two together.

Why not just set up a shopify to asana zapier task ourselves?

You can, and for a single reminder it is fine. A single-event tool creates one task per event, so edited orders and refunds tend to pile up as duplicates, and it bills per task as you grow. We build a workflow that de-duplicates, assigns, dates and routes, and you pay once for us to do it.

Do we need a paid Asana plan for this?

We work with whatever plan you are on. A small team on the free Personal plan can run a task-per-order board; larger teams, timelines and heavier automation live on Asana's paid plans. We tell you honestly if a feature you want needs a plan you do not yet have, and design around it if not.

How is our store data kept safe, and will this cost us every month?

The Shopify side is read-only, so we can never change an order, and customer details can be shortened or left off the board. We keep no copy of your data, the project sits in your own Asana, and you can end our access in a moment. You pay us once to build it, with no subscription to keep it running.
