Shopify to Trello, set up for you so every order lands as a card on your board

Do you run fulfilment or made-to-order jobs off a Trello board? BoldBellows wires Shopify to Trello for you: the second an order is paid, a Kanban card appears in your first list, carrying its line items, the buyer and any gift note. Your team pulls it rightward, from New to In production to Packed and Shipped, as each job gets done. We prove every card against the real Shopify order, then step back. The board belongs to you, and nothing recurring is owed to us.

Most builds go live in about 4 to 14 working days, with your chosen package deciding where you land.

B2Before and after

Your orders live in the Shopify admin, and your board is guesswork

A paid order lands in your Shopify admin as one more line, and that is where the help stops. The person at the bench cannot see it, the packer has no idea it is ready, and a slipping job stays hidden until a buyer chases it. So someone keys each order onto a card by hand, or a rushed shopify orders to trello card recipe double-fires and the cards never budge. One board, one week: here is the difference once the cards look after themselves.

Sound familiar?

“I key every order into a card myself.”

Order number, line items, the gift note: all typed out again in Trello, and the board is stale by lunchtime.

“One order, three cards on the list.”

A plain shopify to trello zapier recipe re-fires whenever the order changes, so the same job clogs the list twice over.

“The cards never move themselves.”

A card gets made, then sits on the first list forever. Nobody trusts the board to show what is really done.

“A refund shipped anyway.”

An order was cancelled in Shopify, but its card looked no different, so it went out the door regardless.

D4How it works

Connecting Shopify to Trello, the way we do it

A shopify trello board sync that holds up has three moving parts. We build every one, so nobody on your team ever opens a settings screen or writes an automation rule.

Your Shopify store Orders, items, refunds, customers Read-only BoldBellows sync One card per order Edits and refunds update it Labels, due dates, checklists Right list Your Trello board Lists, labels and cards Your Shopify store Orders, items, refunds and customers Read-only BoldBellows sync One card per order Edits and refunds update it Labels, due dates, checklists Right list Your Trello board Lists, labels and cards

1. A view-only link

Following the written steps we send, you set up a read-only app inside Shopify admin and drop us onto the board as a member. We can read orders and post cards; editing an order is simply not something we are able to do.

2. A sync that writes each card

This shopify trello task creation reads an order a single time, writes a card with its items and details, and keeps a note of which card belongs to which order. Edit, fulfil or refund the order and that very card changes; no stray copy ever turns up.

3. Lists and labels that fit your team

Cards land on the list you name and move along as work happens, with labels and due dates set the way your team already talks about an order. The whole shopify trello workflow is built around you.

What lands on your board, list by list

We turn shopify orders to trello card by card, then set up the lists that match your day. Plain list names, one card per order, and a card back that holds everything the maker and packer need.

Order card

A card per paid order

Its title reads the order number and buyer; open the back and you find line items, quantities, totals and any checkout note.

Lists

Stages, as lists

New, In production, Packed and Shipped, or whatever your team calls them. Cards move between them.

Labels

Labels you can scan

Colour labels for priority, shipping method or product type, so the board reads at a glance.

Due dates

A ship-by date on each card

Worked out from the order date or your lead time, so nothing quietly slips past its promise.

Checklists

A tick box per item

For made-to-order work, each line item becomes a checklist step to make, pick and pack.

Refund list

Refunds kept apart

Cancelled and refunded orders land on their own list, so money back is never mixed with new work.

A card per order and one board of lists come with every package. Automatic card moves, labels and due dates arrive with Fulfilment Board; per-item checklists, routing and a calendar come with Workshop. The pricing below spells out which package carries which.

Views your team will actually open

A stack of cards is a start, not the finish. On top of the board we shape the card back and the calendar people reach for, so the board answers the day's questions without a hunt through Shopify.

Set-ups we build most often

  • Stage lists: New, In production, Packed and Shipped, tuned to your words
  • Label scheme: priority, shipping method or product type
  • Ship-by due dates from the order date or your lead time
  • Per-item checklists for made-to-order work
  • A refund and returns list, kept apart from new orders
  • A calendar view so due dates sit on a date, not a pile

G7Who it is for

Made for the bench, the packing table and the founder

If one of these lines is your week, this shopify trello automation lifts the copy-and-paste off your team for good.

Makers and studios

“Which orders am I making today?”

Custom and made-to-order work arrives as a card with a checklist, so nothing at the bench is forgotten.

Packing and dispatch

“What is ready to go out?”

Cards move into Packed and Shipped as it happens, so the bench sees today's queue without asking.

Founders running the show

“I want shopify project management trello, not a to-do list in my head.”

One board shows every order and where it stands, so you can step away from the day-to-day chase.

Support and VIP care

“Did we look after the new customer?”

A new shopify customers trello card can be raised on a first order, so a welcome or a gift note is never missed.

I9Your options

Four routes from Shopify to Trello, and how they stack up

Four routes tend to get an order onto a Kanban board. This is how each one holds up once a real bench and packing table lean on it every day.

Zapier and Make earn their place, yet a shopify to trello zapier recipe posts a card per event, so edited or refunded orders creep in as duplicates unless you wire the de-duplication yourself. Prefer your figures in a spreadsheet? Our Shopify to Google Sheets automation is the right home for reporting, and when clean books are the aim, look at Shopify to QuickBooks automation. Here, the whole point is a live Kanban board your bench works from.

Choose your packageRequired

The three packages differ by how far the board goes: from a card per order, to cards that move through your lists, to a full made-to-order workshop.

A tidy card for every paid order, landing on the first list of your board.

  • A card per paid order, titled with the order number and customer name
  • Items, quantities, the order total and any customer note on the card back
  • Cards land on the first list of one Trello board you already use
  • One colour label so you can tell order cards apart at a glance
  • Repeat orders update the same card instead of stacking up duplicates
  • Card counts checked against your Shopify orders before handover
  • Premium handover notes (PDF) covering the board and how a card is built

Cards that move across your lists as the order gets picked, packed and shipped.

  • Everything in the Order Cards package
  • Lists set up for your stages, such as New, In production, Packed and Shipped
  • A label scheme for priority, shipping method or product type, your choice
  • A due date on each card, worked out from the order date or your lead time
  • Fulfilled and shipped orders slide the card into the matching list on their own
  • A cancelled or refunded order flags its card so nothing ships by mistake
  • Premium handover notes (PDF) covering every list, label and card move
  • Three rounds of changes once you have used the board on real orders

A made-to-order workshop board with per-item checklists, a calendar and routing.

  • Everything in the Fulfilment Board package
  • A checklist on each card, one tick box per line item to make and pack
  • Cards routed to the right board or list by product, vendor or order tag
  • A calendar view so ship-by dates sit on a date instead of a to-do pile
  • New Shopify customers raised as their own card so a first order is greeted
  • A refunds and returns list, so money back is tracked apart from new work
  • Premium handover notes (PDF) covering routing, checklists and the calendar
  • Four rounds of changes once the board is running on live orders

Which orders should become cards?Required

This decides what earns a place on the board, so it does not fill with orders your team never touches.

How should the board be laid out?Required

We shape the lists and labels around the way your team already talks about an order.

What should move a card along?Required

A card that never moves is just a note. This sets how much of the movement is automatic.

Which existing orders should open the board?Required

Shopify passes on roughly its last two months of orders unless you grant more, so anything older needs an extra step.

How soon do you need it?Required

Standard runs to the timetable your other answers set. Pay to move up the queue and go live earlier.

Optional extrasOptional

Each one starts switched off. Turn on what your team would use, see the price change, turn it back off if not.

J11The process

Six steps from a quick brief to cards that stock their own lists

All told, your own involvement comes to roughly an hour, of which the access step is ten minutes. No developer required: if you can invite a member to a Trello board, you can hold up your end.

  1. Show us how an order flows

A short online brief: the stages an order passes through, what the card should say, and who works the board each day.

    Day 1
  2. Hand over read-only access

Add a read-only app in Shopify and invite us to the board. Each part comes with written steps and screenshots to follow.

    About 10 minutes
  3. We build the cards and the lists

The board takes shape: cards for your orders, the lists you named, and the labels, due dates and moves that fit your day.

    Most of the build
  4. We match cards to your orders

Card by card, we check the items, totals and status against the same orders in Shopify, so the board is right before you look.

    Before you review
  5. You work it, we tune it

Put the board through a few real days. Call for another list, a fresh label colour or a card that reads cleaner. You get three passes on Fulfilment Board and four on Workshop.

    Your feedback
  6. Handover, and it carries on

You get premium handover notes as a PDF that walks through each list and label. New cards keep landing and sliding along once we have stepped away.

    Final day

K12Getting started

What we need from you

  • Access to your Shopify admin
  • A Trello board, on any plan
  • The stages a job passes through
  • A lead time, should you want ship-by dates

L13Safety and ownership

Read-only on the store, and a board that stays yours

Letting anyone near your orders should sit easy with you. So here, in plain words, is exactly what our access reaches and where it stops.

You own it Read-only access

Read access, and no more

We view orders, items and buyers so we can draw the cards. Changing an order, a product or a price is beyond what the link allows.

Just what the card needs

How much a card reveals is your call. Buyer emails and addresses can be trimmed short or dropped from the card altogether.

One named board, your people

Cards post only to the board you point us at, visible to the members you asked in. Nothing public, no shareable link left open.

Off in a single click

Drop us from the board or delete the read-only app and the link closes that instant. No contract keeps you tied in.

We hold nothing on our side

An order's details pass from Shopify onto the card and no further. No copy of your orders sits on a BoldBellows server.

Nothing recurring to BoldBellows

The board and the sync stay with you. Whatever Trello plan you settle on is your decision, never a charge we take.

N15FAQ

Shopify to Trello questions, answered

What fulfilment and made-to-order teams tend to raise before a build begins. Got another question? Drop it into a quote request below and we will answer in plain words.

Can you post a card on my board for every new Shopify order?

That is exactly what this does. Each paid order turns into a card carrying its items, the buyer and any note, dropped onto the opening list. If you would rather, we narrow it to tagged orders or made-to-order items, so only work your team touches ever reaches the board.

Could I not just wire up a Shopify to Trello Zapier recipe myself?

A basic Zap or Make scenario creates a card per event, so an edited or refunded order tends to create a second and third card, and the recipe rarely moves a card once it exists. Each order also uses a task, so the bill climbs with your sales. We build one card per order that updates in place and moves along your lists, with no per-task cost to run.

Do the cards travel down the lists as orders get fulfilled?

On the Fulfilment Board and Workshop packages, yes. When an order is marked fulfilled or shipped in Shopify, its card slides into the matching list, and a cancelled or refunded order flags its card so nothing ships by mistake. On the entry package we create and update the cards, and your team drags them along.

Does this need a paid Trello plan, or will Free do?

No. It works on the Free Trello plan, which already includes cards, lists, labels, due dates and checklists. The Free plan allows up to ten boards per Workspace and holds unlimited cards, so most small teams are fine. If you want extra board views such as a calendar across boards, a paid plan adds those, but that is your choice and not a fee to us.

Can I get a shopify trello notification when a card lands?

Yes. As an optional extra we can send a short alert to Slack or email the moment a new card arrives, so the team knows to check the board without watching it all day. Trello's own card notifications keep working alongside it. If you would rather keep customer messaging in an email tool, our Shopify to Mailchimp automation handles that side.

Can you bring in orders that are already open?

Yes. Shopify hands over roughly the last two months of orders by default, so we can raise cards for your current open orders, or load the last 60 days as starting cards sorted into the right list. Older orders need a little more access, which we walk you through, and we load them in gentle batches so the board is never flooded.

How safe is my store data, and do I pay you every month?

Our link into Shopify is read-only, which leaves an order, a product or a price simply not ours to alter. You choose how little shows on a card, the board is seen only by members you invite, and we keep no copy of your orders. You pay us once for the build; there is no ongoing fee to BoldBellows, and any Trello plan you keep is your own.
