01The buried-alert problem

Store alerts that everyone in Teams has learned to scroll past

When every order, refund and stock warning pings the same general channel, the ones that matter sink under the ones that do not, and the team stops looking. A well-built shopify teams alert automation drops each event into the channel its team already watches, and gathers the quiet ones into a digest.

"Everything pours into one general channel."

Sales, stock and finance events land together, so the warehouse scrolls past a stockout and finance never spots the refund.

"So we muted the channel, and now we miss things."

Once a room pings all day, someone turns it off. The failed payment that needed chasing sat there unseen until the order was gone.

"Our old webhook stopped, and nobody knew."

The Teams connector that fed those posts was retired, and the alerts quietly dried up. There was no one to tell you they had.

The cost is not the noise itself. It is the refund chased a day late, the reorder placed a week too late, and a whole team that no longer trusts the channel.

Same store, same Microsoft 365 tenant. The difference is where each event goes, and whether the right team ever sees it.

02The build

How your Shopify to Microsoft Teams alerts come together

Three parts, all set up by us. Your store fires an event, our sync shapes it and picks its channel, and Teams shows the card. You do not build a Power Automate flow, learn Adaptive Card syntax or touch any code. This is a shopify microsoft teams integration your whole org can read.

Re-checks on a schedule STEP 1Your store Orders, refunds, stock, payments and buyers STEP 2The sync Routes, de-duplicates andbuilds the Adaptive Card STEP 3Your Teams channels The right team sees a card, not a wall of text STEP 4Your team acts Ship, refund, reorder, approve, all in Teams STEP 1Your store Orders, refunds, stock STEP 2The sync Routes and builds cards STEP 3Teams channels The right team, a clean card STEP 4Your team acts Ship, refund, reorder Re-checks on a schedule
Everything moves in one direction: read from Shopify, posted into your Teams channels, and never written back to the store.

The technical bits, in plain English

  • Built on Workflows, not the old connector. Microsoft retired the Office 365 connector that used to feed Teams, so a modern shopify teams workflow posts through Power Automate Workflows instead. We build it that way from the start.
  • Older orders. Shopify shares only the last 60 days of orders with an app unless it is granted wider access. We request that permission, so a back-fill or a replay can reach further back.
  • Bursts and missed events. Shopify can retry or drop a webhook, and Power Automate flows have their own limits. We batch a rush and re-check on a schedule, so no card is missed or sent twice.

03What reaches your channels

Every store event, shaped into an Adaptive Card for the right team

Never a raw event feed poured into one channel. Each shopify teams channel message is written for the person reading it, carries only the fields that matter, and posts where that team already works. Channel Alerts covers new orders; Team Routing adds the money events; Org Ops adds the whole store set.

New orders Channel Alerts

Your core shopify orders teams notification: order number, total, items and shipping, posted the moment it is placed.

Refunds & cancellations Team Routing

The money events, sent to finance so a refund or a pulled order is seen the instant it happens.

Low and out-of-stock Org Ops

A card into the warehouse channel the moment a variant drops below its reorder point, before the shelf empties.

Failed payments Org Ops

A declined charge raised to the team that can recover it while the order is still savable.

First-time customers Org Ops

A shopify customers teams webhook that flags a first purchase, so support can welcome a brand-new buyer.

VIP & high value Org Ops

A standout basket or a returning buyer surfaced to the channel your leads keep open, so the big ones are never missed.

Daily digest card Extra

One card a day summing orders, revenue and refunds, so the low-priority numbers arrive together instead of all day.

Approvals Extra

A refund or large order pauses for an approve or reject tap in Teams, powered by a Power Automate approval step.

WHERE EACH EVENT GOES New order Sales Order > $250 Leads Refund Finance Low stock Warehouse Failed payment Warehouse Quiet events roll into the 5pm digest card
Route by event type or by order value, so a big basket can jump to a channel your leads keep open. Instant for what matters, a digest for the rest.

04Who it helps

Built for the teams that already run the day in Teams

If your organisation lives in Microsoft 365 and your store is on Shopify, this puts each event in front of the people who act on it: operations, the warehouse, finance and support, plus the leads who want the big ones.

Operations leads

One place to see what the store is doing, without opening Shopify. The events that need a decision arrive where your team already talks.

Warehouse and fulfilment

Low and out-of-stock cards in the warehouse channel mean a reorder goes out on time, not a week after the shelf emptied.

Finance and support

Refunds, cancellations and first-time buyers routed to finance and support, so the money events and the welcomes never get missed.

Owners and leads

A quiet channel of only the big baskets and standout days, plus an end-of-day digest, so leadership stays close without the noise.

05The options

Checking Shopify by hand vs a zap vs a done-for-you build

Each way can put something in Teams. The difference shows once orders are busy, the events split across teams, and the alerts have to keep running after Microsoft changes how Teams works.

The connector was retired

Microsoft retired the Office 365 connector that fed Teams, so older order-alert setups stopped posting. We build on Power Automate Workflows, the supported path today. Prefer a startup-style feed instead? Our Shopify to Slack automation does the same job in Slack.

No native Shopify connector

Power Automate has no built-in Shopify connector, so a shopify to teams zapier route or a hand-built webhook is the usual patch. We wire the store to your flows properly, and if you need the numbers in a sheet as well, see our Shopify to Google Sheets automation.

How many Teams channels should alerts post to?Required

Each channel we post to is another Workflows connection to build and test, so every team reads only what it owns.

Which store events should raise a card?Required

Every event type you switch on is more Shopify data we read and shape into an Adaptive Card.

How much detail on each Adaptive Card?Required

A card's layout decides how fast someone can glance at it and act without opening Shopify.

Post instantly, in a digest, or both?Required

Instant suits events someone must act on; a digest keeps the quiet, high-volume ones from turning into noise.

How soon do you need it live?Required

Standard keeps to the timeline your other answers set. Pay to jump ahead in the queue and go live sooner.

Each one begins switched off. Turn on what your organisation needs, watch the price move, switch it back off.

06How delivery goes

From a short brief to cards landing in Teams, in six steps

Channel Alerts runs about 4 to 6 working days, Team Routing about 6 to 9, and Org Ops about 9 to 13. Need it sooner? Pick a faster option in the pricing section and we bring it forward.

Your handover notes Every rule and channel Which event goes where Changing a card safely If a flow ever stops Plain English, no jargon PDF Premium handover notes A PDF to keep and share with the org Flow health Last run 06:00 · all OK Daily checks · a card if anything stops
  1. Your brief

A short online form. You list your events, name the team that owns each one, and say which Teams channels they belong in.

  2. You connect the store and Teams

You create a read-only Shopify app and let us reach the Teams channels. It takes a few minutes, and every step comes with a written guide.

  3. We build the flows and cards

We set up the Workflows, write the routing rules and design each Adaptive Card, laid out and labelled in plain English.

  4. A live test run

Ahead of go-live we push genuine store events through, watch each card reach its channel, and confirm no event ever double-posts.

  5. You review, we refine

Your teams try the cards in Teams for real. We adjust the wording, fields and routing: two, three or four rounds by package.

  6. The handover

Premium handover notes as a PDF, documenting each flow, rule and channel. After that, the cards just keep landing.

What we need from you: a few minutes of access

  • Store admin access. Enough to create a read-only custom app, or a staff account if you would rather.
  • The Teams channels you want alerts in, or the go-ahead for someone with rights to add the Workflows connection.
  • A quick note on which team owns what, so each event ends up in front of the people who act on it.

07Security and ownership

Read-only on the store, and the flows stay in your tenant

We only ever read from your store, and post into the channels you name. The Workflows, the routing rules and the cards all live in your own Microsoft 365 tenant, so nothing depends on us to keep running.

Read-only on Shopify

The connection reads orders, refunds and stock only. It has no power to change an order, a product or a price.

Customer details kept light

A card can carry just a first name, or mask personal details entirely, so channels hold what a team needs and no more.

Inside your Microsoft 365

Everything runs in your tenant under your own governance, not on a platform you rent from us.

Switch it off any time

Delete the Shopify app or pause the flow whenever you like, and the cards stop that minute.

Nothing stored our side

An event passes from Shopify straight to your channel. No copy of your orders is stored on our side.

Owned outright, no fee

You pay once and own the build. No subscription keeps the cards alive, and there is no seat to renew.

09FAQ

Shopify to Microsoft Teams questions, answered

What Microsoft 365 teams tend to ask before we begin. For anything not here, drop it into your quote request and we will answer in plain English.

How do you connect Shopify to Microsoft Teams now the old connector is gone?

We build on Power Automate Workflows, which is the path Microsoft recommends after retiring the Office 365 connectors that used to carry these posts. Your store sends its events to a flow in your own tenant, and the flow posts a card to the right channel. It is a modern, supported way to connect Shopify to Microsoft Teams that will not stop working the next time Teams changes.

Can't a zap do this for a few dollars a month?

A single-line zap can post an order into one channel. It rarely routes by team, sends plain text rather than a proper card, and bills you for every task as orders grow. We write the routing, design the cards, de-duplicate the retries and prove it against real events, and you pay once instead of every month.

What is an Adaptive Card, and why does it matter?

An Adaptive Card is Microsoft's format for a rich, structured message in Teams: a title, labelled fields and, if you want, buttons. It means an order or refund reads as a tidy card your team can scan in a second, rather than a run-on line of text. Every event we post is shaped as one.

Can different teams get different alerts?

Yes, and that is really the point. We write rules so each event reaches the channel whose team owns it, by type or by order value, so sales sees orders, the warehouse sees stock, and finance sees refunds. A big basket can jump to a channel your leads keep open.

Does this work on the entry-level Shopify plan?

Yes. Every Shopify tier is supported, Basic included. We read your events through Shopify's API, so there is no need to move up a plan to get proper cards in Teams.

Will an order ever get posted twice, or missed?

We match each event by its id, so a retried Shopify webhook updates or skips rather than posting a second card. A scheduled re-check then compares against your store and picks up anything that slipped, so a busy hour does not leave gaps or repeats.

Is our store data safe, and do we own the flows?

We take read-only access to Shopify, so nothing in your store can be changed, and personal details can be trimmed or masked on each card. The flows and rules sit in your own Microsoft 365 tenant, there is no monthly fee, and you can hand the build to anyone. If you would also like each buyer written into a customer record, our Shopify to HubSpot automation handles that side.
