BoldBellowsXero ecommerce bookkeeping, done for you

Shopify to Xero, wired so each payout matches on the bank rec

Our Shopify to Xero integration posts each day's sales, Shopify Payments fees, refunds and the GST or VAT you charged straight into Xero, then lands every payout as a single statement line that matches in one click on the Reconcile screen. The in-transit account empties to zero, your GST return or VAT return lines up with Shopify, and there's no monthly connector to rent. We wire it up, prove it on a real month against your Shopify finance summary, and leave you owning the whole thing.

01The Reconcile-screen problem

The Shopify statement line won't match in Xero

Shopify handles the checkout beautifully. Turning those orders into a clean Shopify Xero reconciliation, where the deposit on your bank feed matches something real in Xero, is a different craft. Recognise any of these?

"There's a payout on the bank feed and nothing to match it to."

A payout is sales less fees less refunds, dropped in as one figure. Code the whole line to income and your turnover is overstated and the fees never appear.

"My in-transit account carries a balance that never goes away."

Miss a few fees or a late refund and the Shopify in-transit account drifts. By BAS or return time nobody trusts the balance it holds.

"The VAT or GST return doesn't tie to Shopify."

Post the tax to a catch-all rate and your return parts ways with Shopify's figures, which is awkward now the tax office is fed platform sales data directly.

The real cost isn't the ten minutes on one payout. It's signing a GST or VAT return you can't fully stand behind, and books the partner quietly re-does before sign-off.

Same store, same Xero organisation. What changes is whether the statement line matches with one click, and whether the in-transit account reads zero afterwards.

02How it works

We sync Shopify orders to Xero in three plain-spoken parts

One direction, three parts. We pull from Shopify, break each payout into the entries a Xero bookkeeper would expect, and write them into your organisation against your own tax rates and chart of accounts. Nothing flows back the other way, and your store and ledger are left exactly as they were.

Re-checks on a schedule STEP 1Your store Orders, fees, refunds,GST or VAT and payouts STEP 2The sync Breaks each payout, then double-checks it STEP 3Your Xero Sales, fees, tax and anin-transit account STEP 4Reconcile Statement line matched,in-transit at zero STEP 1Your store Orders, fees, refunds, tax STEP 2The sync Breaks each payout STEP 3Your Xero Sales, fees, tax, in-transit STEP 4Reconcile Line matched, at zero Re-checks on a schedule
Everything flows in a single direction, from Shopify into Xero; the store itself is only ever read.

Three things Xero bookkeepers ask us

  • Older orders. Shopify hands apps only the last 60 days unless an app asks for more. We ask, so a full trading history can land in Xero and be reconciled.
  • The right rate. We match Shopify's tax to your Xero tax rates, UK VAT (Making Tax Digital ready), Australian or New Zealand GST, so this Shopify Xero tax sync feeds the return, not a catch-all code.
  • Missed changes. Shopify's update pings can go astray. The sync sweeps again on a schedule, so a late refund or an edited order is never left off.

03Inside your Xero

What a Shopify Xero accounting sync writes, line by line

Every package starts with sales, fees and GST or VAT on the right rate. Bank-Reconciled adds the in-transit account and per-order detail. Full Set of Books adds cost of goods, tracking categories and more than one currency. Any mapping can be tuned during your rounds of changes.

Sales income Tidy Ledger

Takings net of discounts, posted daily or per order, so turnover in Xero is right from month one.

Shopify fees Tidy Ledger

Processing fees on a bank-charges account of their own, so the partner sees them on the P&L.

GST or VAT Tidy Ledger

Tax you charged coded to the right Xero rate, so this Shopify Xero tax sync feeds your return, not a catch-all.

In-transit account Bank-Reconciled

Holds each payout's takings until the deposit lands, then reads zero once you hit reconcile.

Refunds and returns Bank-Reconciled

Full and part refunds dated the day they were issued, inside the payout that carried them.

Cost of goods Full Set

Cost of sales and a stock journal, so gross margin in Xero reflects what each order truly cost.

More than one currency Full Set

Overseas orders converted into your base currency, with realised gains and losses, on a Xero plan that allows it.

Tracking categories Full Set

Takings tagged by channel, store or region, so a scaling brand reads each part of the business apart.

A GST or VAT return summary and a fees view, straight off the reconciled data. Full Set of Books adds tracking categories, so each channel or region reads on its own.

04Who it's for

For the people who sign off the return

When the payout on the bank feed refuses to reconcile, a proper Shopify Xero integration hands that hour back. This is Shopify Xero bookkeeping built for UK, Australian and New Zealand practices and their clients.

Bookkeepers

Payouts that match on the Reconcile screen and an in-transit account that clears, so a client's month-end is a review rather than a rebuild.

Accounting practices

A setup you can repeat across every Shopify client, wired to the Xero tax rates and chart of accounts your practice already runs.

Founders and finance leads

Numbers you can trust on the first of the month, and a GST, VAT or BAS return that already agrees with Shopify.

Cross-border sellers

Orders in several currencies converted into your base currency, with tracking categories to keep each store or region apart.

Four routes from Shopify into Xero, weighed up

Each route posts something. The gap shows at return time, when the payout has to match on the bank rec and the GST or VAT has to tie to what you file.

The 60-day limit

Out of the box Shopify shares only your last 60 days of orders with apps. We request full access, so earlier months land in Xero and reconcile too.

Currency in Xero

Trading in more than one currency needs a higher-tier Xero plan. We check yours before we begin, so nothing stalls partway through.

Where each route fits. A free connected app suits a small seller, but you still design the in-transit account, the tax rates and the bank rec yourself, and a subscription connector bills every month as orders climb. A Shopify to Xero Zapier build fires one event at a time and rarely squares a payout. If the books live in QuickBooks with US sales tax instead, our Shopify to QuickBooks automation is the better fit, and if you only want a live reporting workbook, look at our Shopify to Google Sheets automation.

Choose your packageRequired

The three packages differ by how far the bookkeeping goes, from a tidy summary of sales to a fully reconciled Xero ledger.

Your Shopify sales in Xero each day, with GST or VAT on the right tax rate.

  • A daily sales summary posted to Xero: gross sales, discounts, refunds and shipping
  • Shopify Payments fees posted to their own expense account
  • GST or VAT mapped to the correct Xero tax rates, so the return agrees with Shopify
  • Mapped to one Xero organisation and your chart of accounts
  • Every posted month checked against your Shopify finance summary
  • Premium handover notes (PDF) explaining every account and tax rate
  • Two rounds of changes after you see the first month posted

Every Shopify payout matched to the bank in Xero, with a clearing account that clears.

  • Everything in the Tidy Ledger package
  • A Shopify Clearing account that returns to zero after each payout
  • Each payout posted as its sales, fees and refunds, then the deposit matched on the bank rec
  • Per-order detail, so any Xero line traces back to the order behind it
  • GST or VAT reconciled to the figures on your return, ready to file
  • Refunds and part refunds posted on the date they happened
  • Premium handover notes (PDF) covering the month-end reconciliation routine
  • Three rounds of changes after you see it running

Cost of goods, inventory and multiple currencies, for a growing brand.

  • Everything in the Bank-Reconciled package
  • Cost of goods and an inventory journal posted alongside your sales
  • Multiple currencies posted in your home currency, with realised gains and losses
  • Tracking categories split by sales channel, store or region
  • Gift cards, tips and rounding posted to the right accounts
  • Premium handover notes (PDF) covering every account, tax rate and tracking category
  • Four rounds of changes after you see it running

Several stores or entities, a mix of Shopify Payments with Stripe or PayPal, an inventory or ERP system in the loop, or a mapping none of the packages above describe. Tell us how the books are kept and we will price it.

How are you registered for GST or VAT?Required

This decides which Xero tax rates we post to, so your return agrees with what Shopify actually collected.

How should each payout land in Xero?Required

A payout is net of fees and refunds, so the bank line is smaller than gross sales. This sets how it lines up on Xero's Reconcile screen.

Do you sell in more than one currency?Required

Multiple currencies in Xero need a higher-tier plan, and each foreign payout is posted in your home currency.

How far back should the books go?Required

Shopify hands apps only the last 60 days of orders unless we ask for more, so earlier months take extra work.

How soon do you need it?Required

Standard runs on the timeline your other answers set. Choose to jump the queue and reconcile sooner.

Optional extrasOptional

Each of these starts switched off. Turn on what your books need, see the price move, turn it off again.

06The process

Six steps to a Xero file that squares itself

Tidy Ledger runs about 5 to 8 working days, Bank-Reconciled about 9 to 13, and Full Set of Books about 14 to 20. On a tight deadline? You can pay to jump the queue when you build your price.

Your handover notes Every account and tax rate How to match a payout Filing the GST or VAT return If the in-transit ever drifts Plain English, no jargon PDF Premium handover notes A PDF to keep and share with your team Reconciliation health Last payout · in-transit $0.00 Daily sweep · alert email if anything drifts
  1. Tell us about the books

A quick online form. You share your chart of accounts and how you file GST, VAT or BAS today, and we agree which Xero account and tax rate each part of a sale should hit.

  2. Grant read access

You spin up a read-only Shopify app and connect your Xero organisation, roughly a ten-minute job with our written instructions beside you. Your bank login stays with you.

  3. We wire the mapping and in-transit

We build the accounts, the tax rates, the in-transit logic and, if you want one, a daily summary Shopify Xero invoice, then rebuild the history you asked for.

  4. We prove it on a real month

Sales, fees, refunds and tax are tied to your Shopify finance summary for the same dates, and we show the in-transit account landing at zero before you ever log in.

  5. You and the partner check it

You open a genuine month in Xero with whoever signs off. Account names, tax treatment, how much detail you want: the rounds of changes are there for exactly this.

  6. Handover

Premium handover notes as a PDF, covering every account, every tax rate and the month-end routine. From there the books keep squaring on their own.

Your part: roughly ten minutes, no accounting-speak needed

  • Store admin rights. Enough to spin up a read-only custom app, or add us as staff if that's easier.
  • Your Xero organisation, connected so we can post, plus a line on how you file GST, VAT or BAS.
  • Your chart of accounts, and unit costs if you'd like cost of sales and gross margin in Xero.

07Security and ownership

The least access we can take, and a Xero file that's yours alone

Your Xero organisation and your buyer list hold sensitive detail. We ask for the narrowest access that does the job, keep personal data out of the ledger unless you want it there, and step away the moment you say so.

Read access on Shopify

We read orders, fees and payouts. Editing your store, its products or its prices is simply not something the connection can do.

Buyer data your call

Names and email addresses can be dropped from Xero altogether, or masked, so the ledger carries figures instead of contact records.

Your bank is off-limits

We write entries into Xero; we never link to your bank or move a penny. The deposit is matched on the rec, not set in motion.

Pull access when you like

Uninstall the Shopify app or disconnect Xero and our access ends that second. Nothing lingers, and there's no separate account to close.

We keep no copy

The sync moves figures from Shopify into your Xero and holds nothing of its own; your orders and ledger never rest on our servers.

Owned outright

The mapping and posting rules sit inside your own Xero organisation, and no recurring charge is needed to keep the ledger up to date.

09FAQ

Shopify to Xero questions, answered

The things Shopify sellers and their bookkeepers raise with us most often. Something not here? Add it to your quote request and we'll answer without the accounting-speak.

A free app already connects Shopify to Xero. Why pay for a build?

A free connected app is a decent start for a small seller, but you still design the in-transit account, the tax rates and the payout match yourself, and most free tiers stop at a handful of orders a month. We wire all of that around your organisation, code GST or VAT to the right Xero rate, prove it against Shopify, and you settle it once rather than renting it.

Will that Shopify payout finally match on the Xero bank rec?

Yes — squaring that deposit is exactly what a proper Shopify Xero reconciliation sets out to do. Each payout's sales, fees and refunds pass through an in-transit account, and the deposit lands as a transfer that empties it. On the Reconcile screen the statement line matches that transfer, the in-transit reads zero, and the two agree to the penny.

How does GST or VAT get coded, and will my return tie to Shopify?

We code the tax you actually charged to the matching Xero tax rate, UK VAT under Making Tax Digital, Australian or New Zealand GST, including flat-rate or margin schemes where they apply. Because the figures come from real orders, your return agrees with Shopify's tax report, which counts now platforms share sales data with the tax office directly.

Can you post a Shopify Xero invoice per order, or just a daily total?

Either way. Plenty of sellers want a daily total, posted to Xero as one clean invoice or journal a day, which keeps the ledger uncluttered. Prefer order-level records, or an invoice per order for wholesale buyers? We post those. You set the depth when you build your price below.

Can you run a Shopify customers Xero payment sync too?

With order-level posting switched on, we can carry Shopify customers into Xero against their sales and tie each payment to the payout it came in on. Many owners would rather keep personal detail out of the ledger and post totals, and we mask or drop buyer data when you ask. If it's a full contact record you're after rather than a ledger, our Shopify to HubSpot automation is the right home for customers.

Could I not just wire Shopify to Xero with Zapier?

A Shopify to Xero Zapier flow handles a single event per trigger and seldom balances a whole payout, because one payout nets off dozens of orders, fees and refunds at once. Every trigger can burn a task too, so the running cost creeps up as order volume rises. We post balanced entries and show the in-transit account landing at zero, which a one-event tool was never built for.

There are years of trading behind us. Can you rebuild it in Xero?

Yes. Shopify hands over only the last 60 days unless we request more, which we walk you through. You can begin from today, cover the current financial year, or rebuild every month you've traded, loaded one month at a time so nothing is bundled together.

Is the data secure, and does it lock me into a monthly fee?

We hold read access on Shopify, stay clear of your bank, and can mask or drop buyer detail. The mapping and posting rules live inside your own Xero organisation, so there's no subscription and nothing breaks if we part ways. This is Shopify Xero bookkeeping you keep for good.
